Getting started with QuoteCloud

Test and troubleshoot the QuickBooks Online Zaps

Test each Zap with a sample customer before it touches your books, then use this list when an invoice is missing, a customer appears twice or a total is a few cents out.

Test with a test customer, a test quote sent to @example.com signers and a small test payment. Zapier tests run against your real QuickBooks company, so void test invoices afterwards. Most problems come from four things: a customer search that misses, tax set differently, an invoice number the payment Zap can't find, and line items that arrive as text.

How do I test the QuickBooks Zaps?

  1. Make test records

A customer named so it's obviously a test, a test quote template and signers at @example.com addresses.

  2. Sign a test quote

Send it to your @example.com address, tick an option, sign it and check the invoice's lines and total in QuickBooks.

  3. Pay a small deposit

Pay a small test deposit through Stripe or PayPal and check the payment lands on the right invoice.

  4. Test each Zap step

Zapier tests each step against the real apps: a test of Create Invoice creates a real invoice in your company.

  5. Tidy up

Void or delete test invoices and payments with your bookkeeper, then switch the Zaps on.

The usual problems, and the fix

  • The customer appears twice

Use Find or Create Customer, not Create Customer, and search on the same value every time: email for households, company name for businesses.

  • The total is out by the tax

Rate must be before tax, and the tax code must be the one you charge. Compare the test invoice's tax line with the quote's.

  • Find Invoice finds nothing

The deposit Zap searches on the invoice number. Use the QuoteCloud reference as the Invoice Number, with Auto Generate off.

  • All the lines land in one

If the line items arrive as text, map them with Formatter by Zapier's line-item tools, or use one summary line with the total.

  • The PDF won't attach

Generate or Fetch Document PDF Link is short-lived. Run it right before Attach File(s) or Note, in the same Zap.

  • An invoice for half a signature

Use Document Signing Complete, which waits for every signer. Recipient Signed Document fires for each one.

What a good test leaves behind

After a test of the invoice and deposit Zaps, the test invoice should show the signed lines, the quote's total, the signed PDF and the deposit applied, with the right balance due.

If anything is missing, open the Zap's run in Zapier's history: each step shows the data it received and what it sent.

Why keep test data out of your real totals?

Tests talk to the real apps. A test of Create Invoice makes a real invoice in your QuickBooks company, and a test of Create Payment records a real payment, so test with a customer made for testing and tell your bookkeeper what you're doing.

Void or delete test invoices and payments afterwards, the way your bookkeeper prefers. QuickBooks' Zapier app has a Void Invoice action if you'd rather tidy up with a Zap of its own.

  • None of these Zaps creates a QuoteCloud document, so testing them carries no QuoteCloud per-document fee.
  • What the connection costs in Zapier tasks.

Troubleshooting questions

Why did the Zap create a second customer?

Because the search didn't match. Find or Create Customer creates a customer only when its search finds nothing, so search on a value both apps share exactly: the email for households, the company name for business customers. Check spelling and spaces in both apps.

Why is the invoice total a few cents different from the quote?

Usually tax. QuickBooks applies tax through its own settings, so check the tax code on the lines and whether tax is calculated per line or on the total. Map rates before tax, as QuoteCloud's prices are, then compare a test invoice with the signed quote.

Why didn't the deposit land on the invoice?

Usually Find Invoice found nothing. It searches by invoice number, so the invoice Zap must use the QuoteCloud reference as the Invoice Number. Also check the invoice Zap ran first: a deposit paid seconds after signing can arrive before the invoice exists, so add a short Delay by Zapier step before Find Invoice.

Do test runs cost anything in QuoteCloud?

Not for these Zaps. None of them creates a QuoteCloud document, so they carry no per-document fee. Each Zap step that runs uses tasks on your Zapier plan, which Zapier bills separately.
