Getting started with QuoteCloud

Take a deposit the moment a quote is accepted

Set the deposit once, as a percentage or a fixed amount. Your client signs and pays it by card on the same page, and the figure always matches what they chose.

In QuoteCloud, set the deposit in the document's Payments panel or on the template: a percentage of the total or a fixed amount. It fills in from the price table and is recalculated when the client ticks extras or changes quantities. When they sign, they pay it by card through your connected Stripe account.

Auto-playing illustration with sample data: Tidewell Pavilion's wedding reception proposal TP-2741 for Hannah Lee and James Okoro. The couple add a welcome cocktail and the total and the 20% deposit update; Hannah and James sign; the deposit is paid by card through Stripe and the document shows Paid.

Why take the deposit on signing?

Tidewell Pavilion holds a Saturday wedding date for seven days. Before the deposit, a signed proposal still meant an invoice, a reminder and a week of waiting while another couple asked about the same date.

Now the deposit is part of the proposal. Hannah and James tick the late-night grazing station, sign, and pay 20% by card before they close the page. The date is confirmed the moment the money is in, and the coordinator sees it as Paid on the dashboard.

  • The amount comes from the price table, so it always matches what the couple chose.
  • No separate invoice for the deposit: the payment request is on the signed page.
  • The balance stays with the venue's own invoice, due before the event.

How much do they pay when they sign?

Tick the extras and change the rule, as the couple and the venue would. The amount due follows the total.

The options are sample settings for this proposal: you set any percentage or a fixed amount. Tidewell's real rule is 20% to confirm the date. See it in the events microsite.

Where the deposit is set

While editing the proposal, the $ icon opens the document's Payments panel: the payment description your client sees, your instructions, and the amount, as a percentage of the total or a fixed figure.

Set it on the template and every proposal made from it carries the same rule. Change it on one document when a couple needs something different.

  • A discount can be set in the same panel, for that document alone.
  • The payment goes to the Stripe account of the team that owns the document.

Variations on the deposit

  • A percentage, or a set figure

20% of the total for a wedding, a fixed $500 to book a crew: the Payments panel takes either.

  • Everything up front

Set 100% when the job is small or the seats are limited: pay in full on signing.

  • Deposit, then milestones

The balance stays on your invoices. See part payments and milestones.

  • Set it on the template

Templates carry the payment settings, so every proposal starts with the deposit rule you want.

  • Tell the team when it's paid

A Zap on Document Part Paid posts in Slack or Microsoft Teams: after-payment Zaps.

  • Signed, not paid yet

Automated reminders follow up a deposit that's still owed: payment reminders.

  2. Open the template

Edit the proposal template you send most, so every new proposal carries the deposit.

  3. Click the $ icon

In the Payments panel, write the payment description and your instructions for the balance.

  4. Choose the amount

A percentage of the total, such as 20%, or a fixed amount. It fills in from the price table.

Your client signs and pays by card; the document shows Paid on your dashboard.

Deposit questions

Can QuoteCloud take a deposit when a quote is accepted?

Yes. Set a percentage of the total or a fixed amount in the document's Payments panel or on the template. When your client signs, the payment request appears on the same page and they pay it by card through your connected Stripe account. QuoteCloud Payments is on Essentials and up.

Does the deposit change if the client adds options?

Yes, for a percentage. The deposit is worked out from the price table, so when your client ticks an optional item or changes a quantity before signing, the amount due is recalculated for what they chose. A fixed amount stays the same.

Can I set a different deposit on one quote?

Yes. Templates carry the payment settings, and the $ Payments panel on a single document changes its description, instructions, amount and discount for that document only.

How do I collect the balance after the deposit?

On your own invoices, or on a later QuoteCloud document with its own payment. The deposit is the part QuoteCloud collects on signing; a Zap on Document Part Paid can start the invoice in Xero or QuickBooks Online.
