Getting started with QuoteCloud

Test and troubleshoot the Xero Zaps

Test every Zap with a fictional quote before a real client signs, then use this list when a draft is missing, a line is wrong or a payment didn't land.

Test with a template, an @example.com signer and, ideally, a test Xero organisation. Sign the test quote, pay a test deposit, then check the draft, the lines, the attachment and the payment in Xero. Most problems are a contact found by the wrong name, a line without an account, or a payment sent to a draft.

How do I test the Xero Zaps?

  1. Use test data

A test Xero organisation if you can, and a QuoteCloud quote from your real template sent to an @example.com address.

  2. Sign it fully

Every signer signs, with an optional row ticked and one left unticked, so the line items show both cases.

  3. Pay a test deposit

A small real payment on the test quote that you refund afterwards, so Document Part Paid has data to load.

  4. Load and check the data

Load each trigger's test data in Zapier and check the fields you map: number, signer, lines, SKUs, amount.

  5. Check Xero

The contact (no twin), the draft's lines and totals against the quote, the attachment opens, the payment or note is there.

The usual problems, and the fix

  • A second contact appeared

Find or Create Contact searched a name that differs slightly. Search by account number with the QuoteCloud contact ID, or use the business name the invoice goes to. Contacts.

  • A line was rejected

Xero needs an Item Code, or a Description and a Unit Price, and every line needs an account. Map Item Code, or set a fixed Account in the Zap.

  • Unexpected lines

Heading rows or unticked options in the line items? Look at the trigger's test data, and check how rows arrive before you go live.

  • The payment step failed

Xero records payments on approved invoices, not drafts. Use Paths: Create Payment when approved, Add Note to Invoice on a draft. Deposits.

  • No invoice found for the deposit

The deposit Zap ran before the invoice Zap finished. Add Delay by Zapier at the start, or create a separate deposit invoice.

  • The attachment is missing

The PDF link is short-lived, so it must be mapped in the next steps of the same Zap. Files over 3 MB won't attach: file them in OneDrive or Google Drive instead.

What a good test leaves behind

One draft on the right contact, with the quote number in Reference, the same lines and total as the signed quote, the signed PDF attached, and a note or a payment for the deposit.

Compare it line by line with the quote before you switch the Zap on, then delete the test invoice and contact in Xero, or void it if it was approved.

Why keep test data fictional?

Because a Zap does exactly what it's told. A test quote sent to a real client's address is a real quote, and an invoice in your live Xero file appears in your reports until someone removes it.

Use @example.com addresses, names you'd never invoice, and a test organisation in Xero where you can. When you switch to the live organisation, run one more test and remove what it creates.

  • Leave new Zaps creating drafts until you trust the mapping.
  • Zapier's run history shows what each step sent: the quickest way to see why a field was empty.

Troubleshooting questions

Why did the Zap create a second contact in Xero?

Because the search didn't match. Xero's Find or Create Contact searches by name or account number and creates a contact when nothing matches, so a slightly different name makes a twin. Keep the QuoteCloud contact ID in Xero's account number and search on that.

Why didn't the deposit show on the invoice?

Usually because the invoice was a draft. Xero records payments against approved invoices, so Create Payment fails on a draft. Add Paths so a draft gets a note instead, or create the invoice as Awaiting Payment. If no invoice was found at all, add a short delay.

Why is the attachment missing from the invoice?

Either the PDF link expired or the file was too big. Generate or Fetch Document PDF Link returns a short-lived link, so map it in a later step of the same Zap. Xero takes attachments up to 3 MB; larger PDFs belong in OneDrive or Google Drive.

How do I replay a run after fixing the Zap?

In Zapier's history, find the halted or failed run and replay it once the Zap is fixed. Check Xero first, so the replay doesn't create a second invoice or payment for a run that partly worked, and remove anything the first attempt left behind.
