Getting started with QuoteCloud

Zendesk to QuoteCloud field map

Which Zendesk fields go into a quote, which QuoteCloud events come back to the ticket, and the one field every return Zap depends on.

Ticket details travel into the quote as data items and the recipient: ticket ID, subject, organization, assignee, requester name and email. QuoteCloud events come back as Zendesk comments (public or internal), a new status, group, tags and the signed PDF. Keep the ticket ID in a data item so return Zaps can find the ticket.

Field names vary with your Zendesk set-up and ticket forms; check each step's test data. All values are sample data.

The one field every return Zap needs

A Zap that starts in QuoteCloud can only write to Zendesk once it knows which ticket. The surest way is the ticket ID in a data item, filled by the quote Zap when the quote is drafted.

If your trigger's test data shows that data item, map it straight into the Ticket field. If it doesn't, or the quote was made by hand, search with Find Tickets on the requester's email and a tag.

Field types to watch

  • Public or internal

Every comment field has a public setting. Leave nothing to the default: set Yes or No in each step.

  • Tags add or replace

Update Ticket has Tags, Additional Tags and Remove Tags. Use Additional Tags to keep the tags the ticket already has.

  • PDF links expire

Generate or Fetch Document PDF Link gives a short-lived link: attach the file in the very next step.

  • Rows, not options

Create Document can add price-table rows you map. It never ticks optional lines or chooses content blocks.

  • Requesters by email

Match people on email: Find or Create Contact in QuoteCloud, Find a User or Requester Email in Zendesk.

  • Status values

Set statuses your Zendesk uses, such as Open, Pending and Solved, and test each one on a test ticket.

Field map questions

Which Zendesk fields can fill a QuoteCloud quote?

Whatever the Zendesk trigger or search passes on, mapped into Create Document's data items, title and recipient. Typical ones are the ticket ID, subject, organization, assignee, and the requester's name and email. Custom data items are on QuoteCloud's Essentials plan and up.

Can ticket details become price-table lines?

Partly. Create Document can add price-table rows with a label, note, price and quantity you map, so a field such as a seat count can set a row's quantity if the trigger passes it. A Zap doesn't tick optional lines or choose content blocks; the customer does.

Why keep the Zendesk ticket ID in a data item?

So Zaps that start in QuoteCloud can write back to the right ticket without a search. If your trigger's test data shows the data item, map it into the Ticket field of Add Comment to Ticket or Update Ticket. Otherwise, search with Find Tickets.

Can a Zap change the ticket's group, assignee or tags?

Yes. Zendesk's Update Ticket on Zapier takes a group, an assignee, a status, tags, additional tags and tags to remove, as well as a comment, so one step can route the ticket and explain why.
