Getting started with QuoteCloud

Connect Zendesk to QuoteCloud, ticket to signature

When a customer asks for more seats, an upgrade, a repair or a renewal on a ticket, answer with a quote they can sign. Zaps put every view, comment and signature back on the ticket, as an internal note or a public reply.

QuoteCloud connects to Zendesk through QuoteCloud's Zapier app, on the Essentials plan and up. A Zap can draft a quote when an agent tags a ticket, then add internal notes or public replies, attach the signed PDF and set the ticket to Solved when the quote is viewed, commented on or signed. Make works too, as a bring-your-own setup.

Illustration with sample data: on the left a generic Zendesk ticket, #4182 Add 15 seats for our second clinic; on the right Plinthwork's seat add-on quote PW-2451 in QuoteCloud; a thread joins them (Zapier). Six jobs play in turn, the data riding the thread: 1, Quote: Priyanka tags the ticket quote_request; a Zap drafts PW-2451 with the ticket's details (New Tag Added to Ticket then Create Document). 2, Track: Dana opens the quote; an internal note lands on the ticket (Recipient First Viewed Document then Add Comment to Ticket). 3, Solve: Dana signs; a public reply thanks her and the ticket is Solved (Document Signing Complete then Update Ticket). 4, File: The same Zap attaches the signed PDF to the ticket (Generate or Fetch Document PDF Link then Attach File to Ticket). 5, Notify: One more step tells the account team in Slack or Microsoft Teams (Document Signing Complete then Send Channel Message). 6, Follow up (what if the quote expires instead): the ticket reopens with an internal note (Document Expired then Update Ticket). It ends on the signed quote with the solved ticket.

What can QuoteCloud do with a Zendesk ticket?

Six jobs across a ticket's life, each one a Zap. Each links to the recipe that builds it, with the exact Zapier steps.

  1. Quote

Tag a ticket asking for seats, an upgrade or an add-on, and a draft quote is created from your template with the ticket's details.

    • New Tag Added to Ticket
    • Create Document
  2. Track

First views become internal notes; the signature becomes a public reply, and the ticket is set to Solved.

    • Recipient First Viewed Document
    • Add Comment to Ticket
  3. Repair

A signed repair or call-out quote is attached to the ticket and handed to the workshop group, tagged as approved.

    • Document Signing Complete
    • Attach File to Ticket
  4. Renew

A renewal or add-on quote that expires or is lost opens a ticket for account management, with the details in an internal note.

    • Document Expired
    • Create Ticket
  5. Answer

A customer's comment on the quote lands on their ticket as an internal note and reopens it, so the agent answers in one place.

    • Document Comment Event
    • Update Ticket
  6. Notify

Any of these Zaps can also post to the account team's channel when a quote is signed.

    • Document Signing Complete
    • Send Channel Message

Every Zap runs one way, from its trigger to its steps. For each comment a Zap writes, you choose whether the customer sees it. The same jobs can be built in Make, bring your own. See what it can and can't do.

Which teams turn tickets into revenue?

Support desks hear about upgrades and repairs before sales does. QuoteCloud gives the agent a quote to send instead of a hand-off.

  • Software and SaaS support

Extra seats, a plan upgrade or an add-on asked for on a ticket, quoted the same morning, with the customer free to change the seat count before signing.

    Quotes from tickets
  • IT and service desks

Out-of-warranty repairs, on-site call-outs and hardware requests: the signed approval on the ticket before the workshop starts.

    Repairs & call-outs
  • Account management

Renewals and add-ons that expire unsigned come back as tickets, assigned to the account team with the details in an internal note.

What moves between Zendesk and QuoteCloud?

Ticket details go in, the quote's news comes back. The customer's choices stay with the customer.

  • From the ticket into the quote

The ticket ID, subject, organization and assignee, and the requester's name and email, mapped into the template's data items and the recipient. Create Document can also add price-table rows you map.

  • What stays with people

A Zap never ticks options or chooses content blocks: the customer ticks options and can change quantities you allow, and your agent checks and sends the draft.

Zapier or Make, and Zendesk or Zendesk Sell?

Both routes reach the same QuoteCloud events and actions. This site is about Zendesk's help desk; deals in Zendesk Sell have their own recipes.

  • Zapier: QuoteCloud's Zapier app

Ready-made QuoteCloud triggers, actions and searches beside Zendesk's own Zapier app: the recipes on this site. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

    Connect it, step by step
  • Make: bring your own

Connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Zendesk modules. No ready-made QuoteCloud app on Make: you design each step.

  • Selling from Zendesk Sell?

If your quotes start from deals in Zendesk Sell, the CRM, the recipes are different: deals, stages and won or lost.

Zendesk questions, answered

How does QuoteCloud connect to Zendesk?

Through QuoteCloud's Zapier app, with no code to write. Each Zap starts from one event, such as a tag added to a Zendesk ticket or a QuoteCloud document being signed, and runs steps in the other app. A Zap runs one way, so you build one Zap for each job, such as drafting quotes or solving tickets on signature.

Can a QuoteCloud update go on the ticket as an internal note?

Yes. Zendesk's Add Comment to Ticket, Update Ticket and Attach File to Ticket actions on Zapier each have a field that sets whether the comment is public. Set it to No for an internal note only agents see, or Yes for a reply the customer sees. You choose per step.

Which QuoteCloud plan do I need for the Zendesk connection?

Essentials or higher: Zapier and API access are on QuoteCloud's Essentials plan and up. Documents created through Zapier or the API carry a per-document fee of US$2.00, $1.80 or $1.60 by volume. Zaps that only write to Zendesk, such as adding a note or solving a ticket, don't create documents.

Is this the same as the Zendesk Sell integration?

No. This site is about Zendesk's help desk: tickets, requesters and agents. Zendesk Sell is Zendesk's CRM, with deals and a pipeline, and its QuoteCloud recipes start from and update deals instead. Both connect through Zapier or Make.

Can we use Make instead of Zapier with Zendesk?

Yes, as a bring-your-own setup. QuoteCloud has no ready-made app on Make: you connect Make to QuoteCloud with Make's built-in OAuth connection, then call QuoteCloud's API or Zapier endpoints from your scenario, beside Make's own Zendesk modules. API access is on Essentials and up.
