Zoho CRM products and the QuoteCloud product library
Reps quote from QuoteCloud's product library; your catalogue may start in Zoho CRM's Products module. One Zap adds each new Zoho CRM product to the library, and another writes QuoteCloud product changes back to Zoho CRM, so both show the same code and price.

- Building QuoteCloud since 2013
Build two Zaps with QuoteCloud's Zapier app, on Essentials and up. Zoho CRM's New Module Entry on the Products module runs QuoteCloud's Find or Create Product, adding new products to the library. QuoteCloud's Product Changed runs Zoho CRM's Create/Update Module Entry on Products. QuoteCloud has no update-product action in Zapier, so change prices in QuoteCloud.

Why keep Zoho CRM products and the product library matched?
Tessmore Engineering adds new standard parts in Zoho CRM's Products module, where the commercial team keeps the catalogue and reports on it. Estimators quote from QuoteCloud's product library, adding parts to price tables in a couple of clicks. When a new bracket existed in one and not the other, someone keyed it twice, or quoted it as a one-off line.
Now Bianca Ferraro adds a product once, in Zoho CRM, and a Zap adds it to the library. When she changes a price in QuoteCloud, a second Zap writes it back to the Zoho CRM product.
- New products go one way, Zoho CRM to QuoteCloud; changes go the other way, QuoteCloud to Zoho CRM.
- The product code is the key both Zaps match on, so keep it unique.
- Quotes already sent keep their prices: a Zap changes the library, not documents.
How does a new Zoho CRM product reach the library?
One trigger on the Products module and one QuoteCloud search that creates when nothing is found.

Bianca adds TE-BRK-220, a 3 mm mounting bracket at $14.80, in Zoho CRM at 2:10 pm on Monday. Callum Reid quotes Quenda Robotics an hour later and the bracket is already in the library, at the same price and code.

Stainless went up, so Bianca changes TE-BRK-240 from $20.40 to $21.60 in QuoteCloud's product library on Thursday afternoon. The Zoho CRM product shows $21.60 a minute later, and the commercial team's report agrees with what estimators quote.

Costs and margins stay in QuoteCloud; the Zaps don't copy them. The product record is our illustration of a generic CRM with sample data, not Zoho CRM's screen.
Where should each change be made?
Two Zaps, two directions. A simple rule keeps them from working against each other.
New products: in Zoho CRM
Add them in the Products module with a unique product code. The first Zap adds each one to QuoteCloud's library.
Price changes: in QuoteCloud
QuoteCloud's Zapier app has no action that updates an existing product, so a price changed in Zoho CRM wouldn't reach the library. Change it in QuoteCloud and the second Zap updates Zoho CRM.
Costs and margins: in QuoteCloud
The library's costs and margins are for your team only. Leave them out of the Zaps and out of Zoho CRM.

Questions about products
Can Zoho CRM products appear in QuoteCloud's product library?
Yes, through a Zap. Zoho CRM's New Module Entry trigger on the Products module runs QuoteCloud's Find or Create Product, which adds the product to the library unless it's already there. The product library and Zapier app are on QuoteCloud's Essentials plan and up.
Will a price change in Zoho CRM update QuoteCloud?
No. QuoteCloud's Zapier app can find, create and list products, but it has no action that updates an existing one. Change prices in QuoteCloud's product library instead: the Product Changed trigger can write the new price back to the Zoho CRM product.
Can a Zap fill a proposal's price table from a deal's products?
Not on this site. Create Document can add price-table rows from values you map, but copying a whole list of a deal's products into rows hasn't been confirmed. Estimators add products from the library to the price table in QuoteCloud, in a couple of clicks.
Do changed prices change proposals already sent?
No. A Zap changes the product in the library or in Zoho CRM, not documents that already exist. Proposals already sent keep the prices they were sent with, which is what the buyer saw and signed.
More on QuoteCloud and Zoho CRM
Six use cases with the exact Zapier steps, then how to connect, the field map, the limits and the cost.
- From a converted Zoho CRM lead to the first proposalWhen a lead converts and its deal is created, a Zap drafts the first proposal; a signature can convert a lead too.
- Let Zoho CRM deal stages and blueprints drive documentsA deal reaching your proposal stage, by hand or through a blueprint transition, drafts the document; its status comes back.
- Proposals that go beyond the Zoho CRM Quotes moduleWhat the buyer gets in a QuoteCloud proposal: packages, options, comments, eSignature and payment, with the deal kept up to date.
- Multi-signer approvals on Zoho CRM dealsEach signature updates the deal and chases the next signer; the last one closes it won and files the signed PDF.
- See quote activity on the Zoho CRM dealFirst views, comments, expiry and lost quotes become deal fields and tasks for the deal's owner.
