Getting started with QuoteCloud

Create quotes from Pipedrive deals

When a deal reaches your proposal stage, a Zap drafts the quote from your QuoteCloud template with the deal's ID, address, owner and person filled in, ready for the rep to check and send.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up. Pipedrive's Updated Deal Stage trigger starts it, Get Person reads the deal's person, and QuoteCloud's Create Document drafts the quote from your template with the deal's ID, address and owner in data items. Leave it as a draft for the rep, or add Send Document.

Two overlapping panels with sample data. Behind, Tallowwood Solar & Storage's draft proposal TS-2668 for Kofi and Dana Mensah, its data items filled by a Zap from the Pipedrive deal: prepared for Kofi and Dana Mensah, Pipedrive deal ID 2051, site address 7 Wattle Crescent, consultant Nate Carrow, and the template's price table, $15,460.00 plus tax. In front, an illustration of the deal at the Proposal made stage, owned by Nate Carrow, person Kofi Mensah.

Why draft the quote from the Pipedrive deal?

Tallowwood Solar & Storage runs every enquiry as a Pipedrive deal. By the site visit, the deal already holds the homeowners, the address and the owner, energy consultant Nate Carrow. Copying that into a proposal by hand is slow, and it's where the wrong address creeps in.

With one Zap, moving the deal to Proposal made is all Nate does. QuoteCloud drafts the proposal from Tallowwood's solar and battery template, fills its data items from the deal and adds Kofi Mensah as the recipient. Nate checks the system sizing and sends it.

  • The template decides the content, the price table and the options; the Zap fills the details.
  • The quote can wait as a draft for the rep, or go out straight away for small standard deals.
  • The deal's title becomes the document's title and its ID a data item, so later Zaps can find the deal again.

How does a Pipedrive deal stage create the quote?

Most of the steps are lookups. Every name is the exact event you pick in Zapier.

Nate moves the Mensah deal to Proposal made at 9:05 am. At 9:06 the draft is waiting in QuoteCloud with the deal's ID, the site address and his name filled in, Kofi added as the recipient, and a note on the deal saying it's ready.

Result

A draft proposal from Tallowwood's template, filled with the deal's details a minute after the stage change. Nate checks the sizing note and sends it himself.

Variations for Pipedrive teams

Small changes to the Zap, each an extra step or a different trigger, and the Make route.

  • Start when the deal is created

Use Pipedrive's New Deal trigger instead of Updated Deal Stage when every new deal needs a draft.

  • Only deals that match a filter

Pipedrive's Deal Matching Filter trigger starts the Zap when a deal first matches a filter you saved in Pipedrive.

  • A different template per pipeline

Use Paths by Zapier on the pipeline or a deal field, with a Create Document step and its own template in each path.

  • Build it in Make instead

Bring your own: connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API from a scenario that starts with Make's own Pipedrive modules. No ready-made QuoteCloud app on Make.

Build it with a free trial

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial, connect Pipedrive in Zapier and test with a sample deal.

Build the quote Zap in five steps

  1. Add data items to the template

In QuoteCloud, add data items such as Pipedrive deal ID, Site address and Consultant to the template the quote starts from. Custom data items are on Essentials and up.

  2. Start with Updated Deal Stage

In Zapier, choose Pipedrive's Updated Deal Stage trigger and the stage that means a quote is needed, such as Proposal made.

  3. Read the deal's person

Add Pipedrive's Get Person if the trigger doesn't carry the person's name and email, then QuoteCloud's Find or Create Contact.

  4. Create the document

Add Create Document with your template and the deal's title as the document's title, then Add Document Recipient.

  5. Test, then turn it on

Move a test deal with an @example.com person to the stage, check the draft in QuoteCloud, then switch the Zap on.

Questions about quotes from deals

Which Pipedrive trigger should start the quote?

Updated Deal Stage, when a quote belongs to one stage of your pipeline, or New Deal when every new deal needs one. Deal Matching Filter suits teams that already keep a Pipedrive filter for deals ready to quote. All three are Pipedrive triggers in Zapier; add a Filter by Zapier step to narrow them further.

Can the deal's products become price-table rows?

Not as a whole list. Create Document can add price-table rows from values you map, with a label, note, price, quantity, term, tax and discount, but Pipedrive's Find Deal Products finds one product at a time. Most teams keep their packages in the template's price table and map the deal's details into data items.

Will the quote be sent automatically?

Only if you add QuoteCloud's Send Document step. Without it the quote stays a draft for the rep to check, edit and send. Many teams send straight away only for small standard deals, using a Zapier path or filter on the deal's value.

Does each quote the Zap creates carry a fee?

Yes. Documents created through Zapier or the API carry a per-document fee of US$2.00, $1.80 or $1.60 by volume, and QuoteCloud's Zapier app is on the Essentials plan and up. Steps that only read or update Pipedrive, such as Get Person or Create Note, don't create documents.
