Getting started with QuoteCloud

File the signed PDF on the Pipedrive deal

When the last signer signs, one Zap fetches the signed QuoteCloud PDF and attaches it to the Pipedrive deal, so whoever opens the deal next has the signed copy in front of them.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up. QuoteCloud's Document Signing Complete trigger starts it, Pipedrive's Find Deals finds the deal, Generate or Fetch Document PDF Link gets a short-lived link to the signed PDF, and Pipedrive's Attach File puts the file on the deal in the same Zap.

Two overlapping panels with sample data. Behind, Halden Climate Co.'s system quote HC-5108 for Claire and Tom Hadley, a ducted 14 kW system with four zones, $23,368.40 including tax, signed by both with the deposit paid through Stripe. In front, an illustration of the Pipedrive deal with the file HC-5108 signed.pdf, attached by a Zap.

Why keep the signed PDF on the Pipedrive deal?

Halden Climate Co. installs ducted heating and cooling. Once Claire and Tom Hadley sign system designer Rosa Calder's quote, the job passes to the install scheduler, who works from the Pipedrive deal, not from QuoteCloud.

With the signed quote attached to the deal, the scheduler sees exactly what was agreed, including the condensate pump the Hadleys ticked, without asking Rosa for a copy.

  • The Zap waits for every signer, so only the fully signed copy is filed.
  • The PDF link is short-lived, so the file is attached in the same Zap, never saved as a link.
  • The same Zap can mark the deal won first.

How do I attach the signed QuoteCloud PDF to a Pipedrive deal?

Four steps, one Zap. Every name is the exact event you pick in Zapier.

The same job can be built in Make, bring your own: Make's built-in OAuth connection to QuoteCloud fetches the PDF link through QuoteCloud's API, and Make's own Pipedrive modules attach the file.

Claire signs HC-5108 on Sunday at 7:42 pm and Tom at 7:55 pm, paying the $4,673.68 deposit. At 7:56 the Hadley deal has HC-5108 signed.pdf attached, and the scheduler books the install on Monday morning from the deal.

Variations on this recipe

  • File it in Google Drive too

After Generate or Fetch Document PDF Link, Google Drive's Upload File can put a copy in the client's folder, in the same Zap.

  • A note with the file

Add Pipedrive's Create Note after Attach File: who signed, the signed date and the total, for whoever opens the deal next.

  • Tell the install team

Add Send Channel Message for Slack or Microsoft Teams once the file is on the deal.

  • Build it in Make instead

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Pipedrive modules. No ready-made QuoteCloud app on Make.

File every signed quote

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and build the signed-PDF Zap with a test deal.

Build the signed-PDF Zap in five steps

  1. Match the titles

Use the Pipedrive deal's title as the document's title, or keep the deal ID in a data item.

  2. Start with Document Signing Complete

In Zapier, choose QuoteCloud's Document Signing Complete trigger and test it with a fully signed test quote.

  3. Find the deal

Add Pipedrive's Find Deals on the title, or Get Deal on the ID.

  4. Fetch the PDF, then attach it

Add QuoteCloud's Generate or Fetch Document PDF Link, then Pipedrive's Attach File with the link, a file name and the deal's ID.

  5. Test, then turn it on

Sign a test quote sent to @example.com signers, check the file opens on the test deal, then switch the Zap on.

Questions about the signed PDF

Can a signed QuoteCloud quote be attached to the Pipedrive deal?

Yes, with a Zap. QuoteCloud's Document Signing Complete trigger starts it once every signer has signed. Pipedrive's Find Deals finds the deal, QuoteCloud's Generate or Fetch Document PDF Link gets the signed PDF, and Pipedrive's Attach File uploads it to the deal in the next step.

Why not save the PDF link on the deal instead?

Because it stops working. Generate or Fetch Document PDF Link returns a short-lived link on purpose, so the file has to be uploaded in the same Zap, with Pipedrive's Attach File or Google Drive's Upload File. A link saved in a deal field would fail when someone opens it later.

Will a quote with two signers be filed twice?

No. Document Signing Complete fires once, when the last signer has signed, so the deal gets one fully signed copy. Recipient Signed Document fires for each signer, which suits a note per signature but would file a half-signed PDF here.

Does attaching the PDF carry a QuoteCloud document fee?

No. The Zap reads a signed document and attaches a file in Pipedrive; it doesn't create a document. The per-document fee of US$2.00, $1.80 or $1.60 by volume is for documents created through Zapier or the API. QuoteCloud's Zapier app is on the Essentials plan and up.
