Getting started with QuoteCloud

Keep Pipedrive persons and organizations matched

Two small Zaps, one for each direction, keep QuoteCloud contacts and Pipedrive persons matched on email address, with each new person linked to their organization.

Use two Zaps with QuoteCloud's Zapier app, on Essentials and up. The first starts with Pipedrive's New Person trigger and runs QuoteCloud's Find or Create Contact. The second starts with QuoteCloud's New Contact Created and runs Pipedrive's Find or Create Organization and Find or Create Person. Each runs one way; together they cover both directions.

Why keep Pipedrive persons and QuoteCloud contacts matched?

Ashby Lane's consultants add people to Pipedrive after intake calls. While quoting, they add more in QuoteCloud: a finance manager who has to co-sign the terms, a procurement lead who wants a copy. Without a link, one list always lags behind the other.

Matching on the email address keeps it simple: the same email is the same person in both apps, and the company name finds the Pipedrive organization.

  • Zap 1 brings each new Pipedrive person into QuoteCloud, without duplicates.
  • Zap 2 creates each new QuoteCloud contact in Pipedrive, linked to their organization.
  • Then draft quotes from the deal with the right people already in both apps.

Jonah Pierce adds Owen Mercer, head of engineering at Kiteline Software, after an intake call. The Zap finds Owen in QuoteCloud by email, or creates him, so he's there when the proposal is.

Result

Every new Pipedrive person with an email is a QuoteCloud contact, without duplicates.

A person Zap 1 brings into QuoteCloud also fires Zap 2. Find or Create Person then finds the same email and stops there: no duplicate, one extra Zapier task.

While preparing Kiteline's terms, Jonah adds finance manager Priya Natarajan in QuoteCloud as a second signer. The Zap finds Kiteline Software in Pipedrive and creates Priya there, linked to it.

Result

New QuoteCloud contacts land in Pipedrive as persons, matched on email and linked to their organization.

Variations on these Zaps

  • Copy changes, not only new people

Add Zaps on Pipedrive's Updated Person and QuoteCloud's Contact Updated, running Update Contact or Update Person in the other app.

  • Start from new organizations

Pipedrive's New Organization trigger can find or create a QuoteCloud contact for the organization's main contact.

  • Label people who came from QuoteCloud

After Find or Create Person, Pipedrive's Add Label to Person can mark people your team met while quoting.

  • Build it in Make instead

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Pipedrive modules. No ready-made QuoteCloud app on Make.

Build both Zaps with a free trial

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and test with @example.com people.

Build both Zaps in five steps

  1. Agree the match key

Use the email address for people and the company name for organizations.

  2. Zap 1: New Person to Find or Create Contact

Pipedrive's New Person trigger, a Filter by Zapier step on Email, Get Organization, then QuoteCloud's Find or Create Contact.

  3. Zap 2: New Contact Created to Find or Create Person

QuoteCloud's New Contact Created trigger, then Pipedrive's Find or Create Organization and Find or Create Person.

  4. Test with @example.com people

Add a test person in each app and check they appear once in the other.

  5. Turn both on

Switch both Zaps on, and watch the first day's runs in Zapier's history.

Questions about matching people

Does QuoteCloud copy Pipedrive persons into its contacts by itself?

No. QuoteCloud has no direct connection to Pipedrive, so people move between the apps only through Zaps you build, or a Make scenario. Two Zaps keep both lists matched: one from Pipedrive's New Person trigger to QuoteCloud's Find or Create Contact, one from QuoteCloud's New Contact Created to Pipedrive's Find or Create Person.

Will the Zaps create duplicate people?

Not when each one matches on email. QuoteCloud's Find or Create Contact uses the contact it finds, and Pipedrive's Find or Create Person finds a person by email before creating one. People without an email are skipped by the filter in Zap 1.

Can a new QuoteCloud contact be linked to the right Pipedrive organization?

Yes. Zap 2 runs Pipedrive's Find or Create Organization on the contact's company name first, then Find or Create Person with that organization. Use the same spelling of company names in both apps, or the Zap will create a second organization.

Do the matching Zaps carry a QuoteCloud document fee?

No. The per-document fee of US$2.00, $1.80 or $1.60 by volume is for documents created through Zapier or the API, and finding or creating people doesn't create documents. Each step uses a Zapier task, and QuoteCloud's Zapier app is on the Essentials plan and up.
