Getting started with QuoteCloud

Mark the Pipedrive deal won on signature

When the buyer signs and pays, one Zap finds the Pipedrive deal and sets its status to won the moment the last signer signs, so nobody has to remember to do it.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up. QuoteCloud's Document Signing Complete trigger fires once every signer has signed; Pipedrive's Find Deals finds the deal by its title, and Update Deal sets its status to won. Without the Zap, the rep marks the deal won in Pipedrive by hand.

Two overlapping panels with sample data. Behind, Quillfield IT's managed services proposal QF-4122 for Calder Physio Group: 14 users at $85 a month plus onboarding of $2,772.00 including tax, signed by Jake Calder and paid by card through Stripe. In front, an illustration of the Pipedrive deal with its status Won, set by a Zap.

Why mark the deal won on signature?

Quillfield IT moves clinics and practices from break-fix call-outs to one monthly fee. Account manager Nina Castell's proposal for Calder Physio Group asks director Jake Calder to sign and pay the onboarding fee in one step.

Once he has, the deal is won. Pipedrive doesn't hear about the signature on its own, so either Nina marks it won herself or a Zap does it the moment the last signer signs.

How do I mark a Pipedrive deal won automatically?

Three steps. Every name is the exact event you pick in Zapier.

The same job can be built in Make, bring your own: a scenario that takes QuoteCloud's signing event through Make's built-in OAuth connection and updates the deal with Make's own Pipedrive modules.

Jake signs QF-4122 on Thursday at 9:41 am and pays the $2,772.00 onboarding fee by card. A minute later the Calder Physio deal is won, without Nina opening Pipedrive.

Result

The deal's status is right the moment the proposal is fully signed, and the pipeline report is right without anyone touching it.

Before the last signature

Until every signer has signed, the deal stays open where your rep left it, and nothing in this Zap fires.

That's the difference between Document Signing Complete, which waits for everyone, and Recipient Signed Document, which fires for each signer and suits a note, not a status change.

Variations on this recipe

  • Attach the signed PDF too

Add Generate or Fetch Document PDF Link and Pipedrive's Attach File to the same Zap: file the signed PDF on the deal.

  • Paid, not just signed

If the quote takes a payment on signing, a Zap on QuoteCloud's Document Paid trigger can add a note to the deal. QuoteCloud Payments is on Essentials and up.

  • Move the stage as well

Update Deal also takes a Stage, if your pipeline has a stage such as Onboarding for signed deals.

  • Build it in Make instead

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Pipedrive modules. No ready-made QuoteCloud app on Make.

Close deals on signature

Build the won Zap in five steps

  1. Match the titles

Use the Pipedrive deal's title as the document's title, or keep the deal ID in a data item.

  2. Start with Document Signing Complete

In Zapier, choose QuoteCloud's Document Signing Complete trigger and test it with a fully signed test quote.

  3. Find the deal

Add Pipedrive's Find Deals on the title, or Get Deal on the ID.

  4. Update the deal

Add Update Deal with the deal's ID and the status set to won.

  5. Test with two signers

Send a test quote to two @example.com signers, sign as both, check the test deal, then switch the Zap on.

Questions about won on signature

Does QuoteCloud mark the Pipedrive deal won when the quote is signed?

Only through a Zap you build. QuoteCloud has no direct connection to Pipedrive, so the deal changes when a Zap starting with Document Signing Complete finds it with Pipedrive's Find Deals and runs Update Deal with the status set to won. Without the Zap, your rep marks it won by hand.

Should I use Document Signing Complete or Recipient Signed Document?

Use Document Signing Complete to mark the deal won: it fires once every signer has signed. Recipient Signed Document fires for each signer, so with two signers the deal would be won after the first. It's the right trigger for a note per signature.

Can the same Zap attach the signed PDF to the deal?

Yes. Add QuoteCloud's Generate or Fetch Document PDF Link, then Pipedrive's Attach File, after Update Deal. The PDF link is short-lived, so the file must be attached in the same Zap rather than the link saved on the deal, where it would stop working.

Does the won Zap carry a QuoteCloud document fee?

No. It reads a signed document and updates Pipedrive; it doesn't create a document. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API. QuoteCloud's Zapier app is on the Essentials plan and up.
