Getting started with QuoteCloud

See quote views and signatures on the Pipedrive deal

Two small Zaps write the quote's news onto the Pipedrive deal: a note when a recipient first opens it, and a note and a follow-up activity each time someone signs.

Build Zaps with QuoteCloud's Zapier app, on Essentials and up. QuoteCloud's Recipient First Viewed Document or Recipient Signed Document trigger starts each one, Pipedrive's Find Deals finds the deal by its title, and Create Note writes who did what and when. Create Activity can give the deal's owner a follow-up call to make.

Why see quote activity on the Pipedrive deal?

Ashby Lane Recruitment runs executive searches. Partner Claudia Moreno works from Pipedrive all day, and a retained search proposal is read by a chief executive and a chief people officer before both sign.

Knowing it's been opened, and that one of the two has signed, is what makes the next call well timed instead of a guess. QuoteCloud's events don't reach Pipedrive by themselves: a Zap writes each one onto the deal.

  • Recipe 1: a recipient's first view becomes a note on the deal.
  • Recipe 2: each signature becomes a note, and an activity to chase whoever hasn't signed.
  • When every signer has signed, mark the deal won.

How does a first view become a note on the deal?

Three steps, plus an optional alert for the team.

Claudia sends AL-ES-0412 to Andrew Lim and Sarah Quinn at Bellbrook Foods on Wednesday morning. Andrew opens it at 6:20 pm, and a minute later a note on the deal says who opened it and when, so Claudia sees it in the deal's history the next morning.

Result

A note on the deal for each recipient's first view, with the time and the reference.

When every signer must have signed before anything changes, use Document Signing Complete instead: won on signature.

Andrew signs on Friday at 4:40 pm. The deal gets a note saying he has signed, and Claudia gets a call in her Pipedrive activities for Monday: follow up Sarah Quinn for the second signature.

Result

Every signature is on the deal's timeline, and the owner knows who to chase before the proposal goes quiet.

Variations on these recipes

  • A comment becomes a call

Start with QuoteCloud's Document Comment Event, then Find Deals and Create Activity, so a question in the quote is a dated call for the deal's owner.

  • Alert the team as well

Add Send Channel Message for Slack or Microsoft Teams, so the owner hears about a view or a signature straight away.

  • Only for bigger deals

Add a Filter by Zapier step after Find Deals, for example to continue only when the deal's value is over $20,000.

  • Build it in Make instead

Bring your own: connect Make to QuoteCloud with Make's built-in OAuth, take the same QuoteCloud events from its Zapier endpoints, and write the note with Make's own Pipedrive modules.

Follow up while the quote is open

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and build the first-view Zap with a test deal.

Build the first-view Zap in five steps

  1. Match the titles

Use the Pipedrive deal's title as the document's title, or keep the deal ID in a data item.

  2. Start with Recipient First Viewed Document

In Zapier, choose QuoteCloud and the trigger, then test it with a document you've opened.

  3. Find the deal

Add Pipedrive's Find Deals, searching on the title from the trigger.

  4. Add the note

Add Create Note with the deal's ID and a line built from the recipient's name, the time and the reference.

  5. Test, then turn it on

Open a test quote sent to an @example.com address, check the note on the test deal, then switch the Zap on.

Questions about quote activity

Does QuoteCloud show a quote's status in Pipedrive by itself?

No. There is no direct connection between QuoteCloud and Pipedrive, so a quote's views and signatures reach the deal only through a Zap you build, or a Make scenario. QuoteCloud's own document analytics always show who viewed, commented on and signed a document, and when.

Can a QuoteCloud view or signature add a note to the Pipedrive deal?

Yes, with a Zap. QuoteCloud's Recipient First Viewed Document or Recipient Signed Document trigger starts it, Pipedrive's Find Deals finds the deal, and Create Note adds the note. Create Activity can give the deal's owner a call to make as well, or instead.

How does a Zap find the right Pipedrive deal?

With a value both apps share. The simplest is the deal's title, used as the document's title, which Find Deals searches on. If you keep the Pipedrive deal ID in a data item and your trigger's test data shows it, Get Deal finds the deal by its ID, which is surer when titles look alike.

Do the activity Zaps carry a QuoteCloud document fee?

No. They read QuoteCloud events and write notes and activities in Pipedrive; they don't create documents. The per-document fee of US$2.00, $1.80 or $1.60 by volume is for documents created through Zapier or the API. QuoteCloud's Zapier app is on the Essentials plan and up.
