With QuoteCloud's Forms block (Business plan) a studio puts its discovery questions inside a document: goals, pages, features, content, timing and budget. The client answers in their browser, the answers are saved with the document, and Zapier's Form Submitted on Document trigger can start the next step, such as creating the proposal from your template.
Two sample documents from a fictional studio, Glasswing Studio. A discovery questionnaire for Sparrow & Pine Florist, answered inside the document with the Forms block: what the new site should do (sell bouquets and gift boxes online and take workshop bookings), roughly 10 to 15 pages, an online shop, bookings and a blog, photos supplied and text partly, live before Mother's Day, and a budget of $15,000 to $25,000. In front, the sitemap of the proposal those answers became: 12 pages from 5 page templates, with the shop and workshop bookings marked as features.

A questionnaire the client fills in where they'll later sign
Before Mia quotes Sparrow & Pine, she sends GS-D-0412 from Glasswing's questionnaire template. Ella opens it in her browser and answers in the document itself: what the old site can't do, how many pages, which features, whose photos, the deadline and a budget range.
The answers are saved with the document, next to the cover and the studio's intro, and the document shows Form submitted. Nobody copies a web form into an email, then into a spreadsheet, then into a proposal.

Each answer has a place in the proposal
How Glasswing reads Ella's answers when Sam builds GS-2611. The studio decides where each answer goes; the questionnaire just makes sure it's asked.
Questions studios put in their discovery questionnaire
A starting set for a website build. Keep the ones that change your price or your plan, and drop the rest.
Goals and the old site
What should the new site do that the current one can't? Who is it for, and what should they do on it?
Pages and structure
Roughly how many pages, and which kinds: shop, booking, articles, a contact page. This sets the page count and templates.
Features
A shop, bookings, a second language, member logins. Each becomes an optional item with its own price.
Content and brand
Who supplies text and photos, whether there's a logo and colours, and which sites they like.
Timing
A launch date or an event to work back from, so the phases fit on the Gantt.
Access, the safe way
Ask who manages the domain and hosting today. Never ask for logins or passwords in the document: collect access through your studio's own secure process.
Ask your next client the right questions first
Free for 14 days, no credit card required. The Forms block is on the Business plan; send us your current questionnaire and we'll convert one template during the trial.
A submitted questionnaire can start the proposal
Zapier's Form Submitted on Document trigger fires when Ella submits her answers. A Zap can then create a document from Glasswing's website proposal template, fill its data items (client name, business, contact) and add price-table rows, ready for Sam to check.
Sam still reads the answers, sets the page count, ticks the features she asked for and lays out the phases before sending. Automation fills fields and adds rows; it doesn't choose options or blocks for you.

Set up a discovery questionnaire in five steps
From a blank template to answers you can quote from.
- 1
Make the template
Start a document with your cover and a short intro, then add a Forms block with your questions.
- 2
Keep it short
Ask what changes the price or the plan: goals, pages, features, content, timing, budget.
- 3
Send it
Send it to the lead by email. They open it in a browser without an account.
- 4
Read the answers
The answers are saved with the document. Use them to set the sitemap, the features and the phases.
- 5
Quote from them
Create the website proposal from your template, by hand or through a Zap.
Discovery questionnaire questions
Is the questionnaire a form on my website?
No. QuoteCloud's Forms block puts questions inside a QuoteCloud document that you send to the client. They open it in a browser and answer it there, and the answers are saved with the document. It isn't a form builder for your own website or a contact form.
Which plan includes the Forms block?
The Forms block is on the Business plan ($59 per user a month). Essentials and Business both start with a 14-day free trial with no credit card, and one template conversion is free during the trial, so you can send us your current questionnaire.
Can a submitted questionnaire create the proposal automatically?
It can start one. Zapier's Form Submitted on Document trigger can run a Zap that creates a document from your proposal template, fills its data items and adds price-table rows. Someone in the studio still reviews it, ticks options and sends it: automation doesn't choose options or content blocks.
Should I ask for website logins in the questionnaire?
No. Ask who manages the domain, hosting and email today, but never collect logins or passwords in a QuoteCloud document. Gather access through your studio's own secure process, such as your password manager's sharing feature.
Can the client ask a question about the questionnaire?
Yes. Clients can leave comments on a QuoteCloud document and your team can reply, so a question like 'does a blog count as a page?' is answered in the same place. You also see when the document is opened and how long it is read.
