Getting started with QuoteCloud

A cleaning price calculator inside the proposal

Area by floor type, times visits, divided by your production rates: your own sheet works out the hours and sets each site's monthly line.

In QuoteCloud your cleaning pricing spreadsheet becomes a Spreadsheet block in the proposal. Areas by zone and floor type, visits a week and your production rates give the hours; labour, consumables and margin give the monthly price. Connect any cell to a price line's description and unit price, and bring the total back into a cell.

An engineered drawing of a fictional contractor's pricing sheet for Halden House: six zones laid out as floor plates on one slab, each sized by its area and extruded into a column as tall as its hours a week (open office 40.79, meeting rooms 8.67, kitchens 11.25, washrooms 20.00, reception and lift lobbies 8.50, stairs and corridors 1.82; 91.03 in total). Above it the Spreadsheet block's formula bar steps through cell C2 (3,100 m², typed in), F2 (=ROUND(C2*D2/E2,2), 40.79 hours a week) and F15 (=ROUND((F12+F13)*(1+F14),0), $18,545 a month). Below, the agreement's Halden House line, whose description and unit price are connected to cells B16 and F15, at $18,545 a month.

Spreadsheet block and price tables: Essentials and up

A cell can be connected to a price line's description and unit price, and a price table total can be brought back into a cell. Quantities, optional lines and the client's choices stay on the price table as usual.

Your production rates, in a tab of their own

The Rates tab holds what makes your price yours: the labour rate with on-costs, consumables per square metre, your margin, and the square metres an hour your team cleans on each floor type.

Every one is marked as your assumption, so the next estimator knows which numbers to question and which to leave alone. QuoteCloud doesn't supply rates; they come from your own measured jobs.

  • Labour, consumables and margin in one place
  • Production rates by zone and floor type
  • Assumptions labelled, formulas visible to the team
  • Lock the block so it isn't edited by accident (Business)

A full spreadsheet, not a calculator widget

The Spreadsheet block works like the spreadsheets your estimators already use.

  • Formulas you know

SUM, ROUND, ROUNDUP and IF for hours, labour and margin, written the way you'd write them anywhere.

  • Tabs per site

One tab per site and a Rates tab they all read from, with references across tabs.

  • .xlsx import

Import the workbook you already price with instead of rebuilding it from scratch.

  • Cells to price lines

Connect any cell to a line's description and unit price, and bring a total back into a cell.

  • Zapier can fill cells

Zapier can write values into cells, such as areas from a measurement form. The API writing cells isn't confirmed.

  • Hidden costs stay hidden

Cost and margin columns on the price table are for your team only, never in the client's document.

Three sites, three tabs, three lines

Halden House, Northgate Medical Suites and Lakeview Building C each have their own tab with their own zones and frequencies. Each tab's monthly price sets its own line in the agreement, and the chips in the editor show which cell feeds which line.

The monthly total for all three sites comes back into the Halden tab's cell B17, where the sheet works out the value over 24 months.

  • One tab per site, one line per site
  • Description and unit price from each tab
  • Options such as a day porter stay on the price table

Move your pricing sheet into the proposal

Five steps to one pricing model for every estimator.

  1. Import the workbook

Add a Spreadsheet block to your template and import your .xlsx.

  2. Label assumptions

Mark your rates, consumables and margin so estimators know what's typed and what's calculated.

  3. Connect cells

Connect each site's monthly price and description to its line in the price table.

  4. Bring the total back

Bring the price table's monthly total into a cell for the value over the term.

  5. Lock the block

On Business, lock the sheet so the formulas stay as you built them.

Pricing sheets: questions

Can we import our existing cleaning pricing spreadsheet?

Yes. The Spreadsheet block imports .xlsx files and supports formulas, several tabs and cross-tab references, so your production rates, labour rate and margin can come across as they are. It's on Essentials and up.

Does the sheet change the quantities on the price table?

No. A cell can set a line's description and unit price, and a price table total can come back into a cell. Quantities, optional lines and choices stay on the price table as usual.

Where do the production rates come from?

From you. QuoteCloud doesn't know production rates, award rates or market prices. Put your own measured rates in the sheet and label them as your assumptions, so every estimator prices from the same numbers.

Can the client see our labour rate and margin?

The cost and margin columns on the price table are for your team only. The Spreadsheet block is document content like any other block, so decide which workings belong in the version the client reads, and keep your detailed rates in the sheet your team uses.

Can another system fill in the sheet?

Zapier can write values into spreadsheet cells, for example areas from a measurement form. Writing cells through the API isn't confirmed. Zapier and the API are on Essentials and up.
