Getting started with QuoteCloud

New sites and scope changes, signed mid-contract

When a client adds a floor, a site or a day porter, send a change document with the old and new monthly charges and get it signed.

QuoteCloud handles mid-contract changes for cleaning agreements as their own signed documents: a new site, a changed frequency or a dropped zone, with the current and new monthly charges side by side, priced in your sheet and signed by the client. You can also revise the agreement itself and keep its version history on Business.

A fictional scope change, PF-3107-C1, to Halden Property Group's cleaning agreement from 1 December 2026: the Level 7 tenancy at Halden House added at $2,480 a month and Lakeview Building C's meeting rooms cut from five to three nights a week, minus $310 a month, a change of $2,170 a month ex tax. In front, the signature with its summary: $32,145 a month before, $34,315 a month from 1 December, expiry unchanged at 31 October 2028.

Cleaning contracts change every few months

A tenant moves in, a floor is vacated, the portfolio grows, the hours move. Each change has a monthly price, and each one is easier to invoice when it's signed.

  • A new site

Price the new building on its own tab of your pricing sheet and add its monthly charge to the agreement, or send it as its own agreement.

  • A floor added or vacated

Add or remove the zone rows in the sheet; the site's hours, monthly price and line description follow.

  • More or fewer nights

Change the nights a week and the connected line moves, so the client sees the new monthly charge before signing.

  • A day porter or extra service

Offer it as an optional line the client ticks. The monthly total and the value over the term follow.

A new floor and one fewer night, in one signed change

In October Halden took a new tenancy on Level 7 of Halden House and asked Pellucid to cut Lakeview's meeting rooms to three nights. Lucia priced both in the agreement's pricing sheet: Level 7 adds $2,480 a month, the Lakeview nights save $310.

Theo sent the change as its own short document, PF-3107-C1: the two changed lines, the change to the monthly total and over the remaining 23 months, and a summary of the monthly charge before and after. Clare and Owen both signed it. Everything else in the agreement stays as signed.

  • Only the changed lines, with the reason in each note
  • Change to the monthly total and over the term
  • Before and after in the signature summary
  • Monthly charges shown, invoiced by you

Every change to the monthly charge, signed

With Level 7 added and Lakeview's meeting rooms on three nights, Halden's agreement is $34,315 a month ex tax for the remaining 23 months. Clare and Owen signed the change online, so the invoice and next year's renewal start from the same number.

Three ways to put a change in writing

Pick the one that suits the change. In each case the client signs, and QuoteCloud keeps the signed document; your accounts system keeps the invoices.

  • Revise the agreement

Use Revise Last Version to send a new version of the agreement with the change in it. Each version is kept; version history is on the Business plan.

  • Send a change document

Duplicate the agreement, keep the cover, the changed lines and the terms, and send it as a short change document for the client to sign.

  • Add a site as its own agreement

Duplicate the multi-site agreement for the new site, price it on a new tab and send it. Several people can sign each one.

A signed record of what the client agreed, and when

Each signed change carries every signer's signature, the date and a certificate of authenticity, and its activity shows who opened it and when. When the renewal comes round, the starting point is the last signed monthly charge, not someone's memory of an email.

When a change is signed, a Zapier trigger such as Recipient Signed Document can update the deal in your CRM or create a task for whoever updates the invoices in your accounting system.

  • Several signers, each with their own signature
  • Certificate of authenticity and audit trail
  • Signed events to your other apps through Zapier

Questions about scope changes

How do we add a new site to an existing cleaning agreement?

Price the new site on its own tab of your pricing sheet, then either revise the agreement with the new site's monthly charge or send the site as its own agreement. The client signs it online. Revisions keep their version history on the Business plan.

Does QuoteCloud update our invoices when the scope changes?

No. QuoteCloud holds the signed change and shows the new monthly charges. You update invoicing in your accounting system, or connect a signed-document event to it through Zapier so the right person is told.

Can the client see the old and new monthly charges?

Yes. The change document shows each changed line, the change to the monthly total and over the remaining term, and the before and after in its summary. Or send a revised agreement whose price table shows the new monthly total and value over the term. Monthly charges are shown ex tax and invoiced by you.

Can the facilities manager and the finance director both sign the change?

Yes. Add both as signers. Each signs with their own signature from their own device, or in person on yours, and the signed document carries a certificate of authenticity. QuoteCloud doesn't enforce a signing order.

What happens to the agreement's expiry date after a change?

It stays whatever you set. A change doesn't extend the term unless you write that into the revised agreement and give it a new expiry date, which the Expiring Soon filter then follows.
