Getting started with QuoteCloud

Monthly cleaning audit reports clients actually read

Each site's scores against your target, the six-month trend, what you're doing about each finding, and photos, from your audit app's results.

QuoteCloud turns each site's monthly cleaning audit into a branded report: scores by zone against your target, the trend over six months, findings with photos and what you're doing about them. Scores come from your audit app; an AI assistant connected through QuoteCloud's MCP service can be set up to draft the report for review.

An engineered drawing of Halden House, Level 3, for a fictional contractor, Pellucid Facility Services, with a square gauge rising from each of six zones to its October audit score: open office 92, meeting rooms 88, kitchen 78, washrooms 81, lift lobby 90 and stairs 84. A dashed plane across the floor marks the 85% target; the kitchen, washrooms and stairs gauges fall below it and are hatched. Beside it, the report card PF-QA-2410: an average of 83.6% against the 85% target, 4 of 7 zones below target and quoted in PF-3142, and the last six months' averages as small bars.

Why it matters

Contracts are kept month by month, in the report

A facilities manager who reads a clear report each month knows what you cleaned, what fell short and what you did about it. That's the conversation that gets the agreement renewed.

Renewals and rate reviews

What goes into a cleaning audit report

Your template, built once in QuoteCloud and filled each month.

  • Scores against your target

Each zone's score from your audit app, the average and your own target. QuoteCloud shows your figures; it doesn't calculate them.

  • Six-month trend

The last six averages side by side, so a dip reads as a dip, not a crisis.

  • Findings and fixes

The auditor's words for each zone below target, and what you've done or will quote.

  • Marked-up photos

Photos of findings with numbered notes from the image editor (Starter and up).

  • Drafted for review

An AI assistant connected through QuoteCloud's MCP service can be set up to draft the report from the scores.

  • Or filled by Zapier

Zapier can create the report from your template and fill its data items from your audit app's export (Essentials and up).

Audit reports: questions

Does QuoteCloud run our cleaning audits?

No. Your audit or inspection app runs them and holds the scores. QuoteCloud is where the monthly report goes to the client: your template with the scores, trend, findings and photos, tracked when it's opened, with comments from the client.

Can the report link to a quote for the extra work?

Yes. Findings outside your scope can be priced from your product catalogue in a separate extra-work quote the client signs online. The report names the quote, so the finding and the fix stay together.

How do the scores get into the report?

However suits your team: typed into the template, filled by Zapier from your audit app's export into data items, or drafted by an AI assistant connected through QuoteCloud's MCP service. Zapier and MCP are on Essentials and up; every draft is reviewed before it's sent.

Will we know if the facilities manager read it?

Yes. Document tracking shows when a report is opened, how often and for how long, and the client can comment on any part of it. Slack and Microsoft Teams can alert you to document updates, comments and actions.

Can every site use the same report template?

Yes. Build the report once as a template with your target, sections and branding, and create one report per site each month. Each report holds that site's own zones, scores and findings.
