Ramp, usage and ROI calculators in the order form
Your deal desk's spreadsheet as a block in the order form: its cells set the price lines and the total comes back for the return estimate.

QuoteCloud's Spreadsheet block, on Essentials and up, holds your ramp calculator inside the order form: seats by year, price per seat and months. Connect any cell to a price line's description and unit price, and bring the price table total back into a cell for your return estimate. Quantities stay on the lines; Zapier can write values into cells.

An engineered isometric drawing of Plinthwork's three-year order form for Calloway Retail Group, PW-2355. At the back left, the Spreadsheet block (1) floats over a plinth with three connected cells; at the right, the order form's price lines (2). Aqua routes run from each year's cell to its price line, and a dashed aqua route brings the price table subtotal back into the sheet (4). In front, the ramp as a staircase of three year blocks (3) for 150, 220 and 300 seats. A circular detail enlarges the connected cells: $79,200, $116,160, $158,400 and the $368,260 subtotal. The drawing steps through year 1, year 2 and year 3, then the subtotal coming back. A formula bar card shows each cell's formula, such as Seats!E7 =B2*C2*D2 for the year 1 line's unit price, and ROI!B6 taking the price table subtotal. The price card lists Year 1, 150 Scale seats for 12 months at $79,200; Year 2, 220 seats at $116,160; Year 3, 300 seats at $158,400; implementation at $14,500; subtotal $368,260 plus tax.

Change the ramp and watch the order form follow
This is Plinthwork's ramp calculator for Calloway, built as a Spreadsheet block in the order form. Type a different seat count for year 2, try $46 a seat on the Rates tab or change the hourly cost on the ROI tab.
The sheet recalculates with its own formulas. The cells connected to the price table set each year line's description and unit price, the price table's subtotal comes back into Seats!E10 and ROI!B6, and the return estimate follows. Drop the total under $250,000 and the approval rule no longer applies.
- Cells set a line's description and unit price
- Quantity stays on the line: one per contract year
- The subtotal comes back into the sheet

A real spreadsheet, inside the document
The Spreadsheet block works like the sheets your deal desk already uses, so the calculator moves into the template instead of living on a laptop.
Formulas you know
SUM, AVERAGE, MAX, ROUNDUP, IF and lookups. Plinthwork's overage estimate is =MAX(0,B4*B2-B3).
Several tabs
Seats, Rates, Usage and ROI on separate tabs, referenced across the sheet like Rates!B3.
.xlsx import
Import the workbook your deal desk built rather than rebuilding it cell by cell.
Connected to price lines
Connect any cell to a price line's description and unit price. Quantities stay on the lines as usual.
Totals come back
Bring the price table total back into a cell, so a return or payback estimate always uses the real figure.
Values from Zapier
Zapier can write values into cells, such as a seat count from your CRM, when a document is created.
Usage overage, estimated before it happens
Calloway's Usage tab multiplies the year 3 seats by Plinthwork's estimate of API calls per seat. 300 seats would make about 2.7 million calls a month, 700,000 over the 2 million Scale includes, so the sheet estimates $280 a month in overage at $4 per 10,000 calls.
Beside it, Theo offers the API capacity pack as a line Noor can tick: $120 a month for another million calls. The estimate is Plinthwork's own and labelled so; QuoteCloud doesn't meter usage or bill overage.
- The vendor's estimate, labelled as one
- An optional line the customer ticks
- Usage metered and billed by your own systems

Three years, three price lines, one figure nobody retyped
150, 220 and 300 seats at $44, plus implementation: the subtotal the sheet sends to the price table and gets back for the return estimate.
Move your ramp calculator into the order form
Set it up once in the template. After that the deal desk changes inputs, not documents.
- 1
Import your workbook
Add a Spreadsheet block to the order form template and import the .xlsx your deal desk uses.
- 2
Mark the inputs
Seats by year, the agreed price and the customer's hourly cost; label assumptions and estimates.

Ramp and usage calculator questions, answered
Can a QuoteCloud spreadsheet set prices in the order form?
Yes. The Spreadsheet block, on Essentials and up, works with formulas, several tabs and .xlsx import. Connect any cell to a price line's description and unit price, and bring a price table total back into a cell. Quantities stay on the lines as usual, so a ramp year is a qty-1 line priced by the sheet.
How do we show a three-year ramp with different seats each year?
Type each year's seats into the sheet, let a formula work out the year's subscription, and connect it to one price line per contract year. The line's description reads the seats and months from the sheet, so it always matches. The total contract value comes from the price table as usual.
Does QuoteCloud meter usage or bill overage?
No. Usage and overage figures in the sheet are your own estimates from your own assumptions, labelled as estimates. QuoteCloud shows them in the document; your systems meter usage and your billing system invoices it. You can offer a capacity pack as an optional line the customer ticks.
Can our CRM fill in the calculator?
Zapier can write values into spreadsheet cells, such as a seat count or an agreed price, so a document created from your CRM can start with them filled in. Writing cells through the API isn't something we claim. The formulas and connected lines then work as they do when you type.
Do large ramp deals still need approval?
If you set an approval rule on total value, yes. On the Business plan, an order form over your limit, such as $250,000, waits In Review until every approver agrees, and only then can a person send it. Change the sheet so the total drops under the limit and the rule no longer applies.
