Getting started with QuoteCloud

Device count calculators that price the proposal

Cameras, sensors, readers and detectors counted per zone, cable runs worked out, and the monitoring tier chosen, in a Spreadsheet block whose cells set the price lines.

In QuoteCloud your device count becomes a Spreadsheet block in the proposal template: counts per zone, cable runs and monitoring tiers with your own formulas and rates. Connect any cell to a price line's description and unit price, and bring a price table total back into a cell. Spreadsheet block: Essentials and up.

Last reviewed by the QuoteCloud team

A device-count spreadsheet for the fictional Penrose Cold Stores depot: five zones (office and reception, loading dock, cold rooms, warehouse floor, perimeter and yard) with counts of cameras, sensors, readers and detectors. One column at a time lights: its total (27 cameras, 12 sensors, 7 readers, 22 detectors), the same devices drawn on five engineered zone plinths, and the connected price line, for example 27 IP cameras, turret and dome at $11,340, its description from cell Zones!B9 and its unit price from Zones!B10, quantity 1. Last, the cable run of 1,920 metres through every zone sets the cabling line at $8,064 from Cable!D8 and D9.

Try it: change a count, and the proposal re-prices

Marcus's device count for Penrose Cold Stores, connected to the proposal's price table. Change any count and watch the connected lines, the cable run, the total and the deposit follow, then the total come back into the sheet.

A demo with a fictional business. In QuoteCloud, the Spreadsheet block (Essentials and up) is a full spreadsheet: any cell can be connected to a price line's description and unit price, and a price table total can be brought back into a cell. Quantities stay on the price table: each connected line here is one lot.

The full Penrose proposal

Four tabs, one calculator, built once

Zones holds the survey counts; Cable works out the runs from the counts and your average run lengths; Monitoring picks the tier with XLOOKUP; Rates holds your supplied-and-fitted prices. Click any cell to see its formula.

Import your existing .xlsx to start, then connect the cells that set each line. Every proposal from the template is priced the same way, whoever builds it.

The spreadsheet functions security designers use

A full spreadsheet inside the proposal, not a fixed calculator.

  • SUM

Devices per type across the zones.

  • Runs × metres

Cable metres from the counts and your average run lengths.

  • XLOOKUP

The monitoring tier's name and monthly price from a choice.

  • ROUND, ROUNDUP

Whole drums of cable, whole days of labour.

  • IF

A reader line only where a zone has controlled doors.

  • Several tabs

Zones, cable, monitoring and rates, referencing each other.

  • Connected cells

A cell sets a line's description and unit price.

  • Total back in

The price table total returns to a cell, such as price per device.

Cable runs priced from the count, not guessed

The Cable tab multiplies each device count by your average run length for that kind of device, adds the detection loop, and prices the metres at your installed rate. Cable!D8 writes "Cabling, 1,920 m installed" into the line and D9 its price.

Your survey counts can also arrive from a site form through Zapier, which can write values into spreadsheet cells. The designer checks them before the proposal goes out.

  • Average runs as your own assumptions
  • Cable!D8 → description, D9 → unit price
  • Zapier can write survey counts into cells

Build your device calculator in five steps

Done once, in the proposal template.

  1. Import

Import your existing .xlsx into a Spreadsheet block in the proposal template.

  2. Label

Mark the typed counts, your rates and your assumptions so they're easy to check.

  3. Connect

Connect each total's description and price cells to its equipment line (quantity 1).

  4. Bring back

Bring the price table total back into a cell, such as price per device.

  5. Lock

Lock the blocks designers shouldn't change (Business), and check a test proposal.

Device calculator questions

What can a spreadsheet cell change in the proposal?

A cell can be connected to a price line's description and unit price, and a price table total can be brought back into a cell. Quantities, optional items and choices stay on the price table as usual, so connected lines are usually quantity 1.

Is the Spreadsheet block a full spreadsheet?

Yes. It works like Google Sheets: formulas such as SUM, ROUND, ROUNDUP, IF and XLOOKUP, several tabs with cross-tab references, number formats and .xlsx import. It's available on the Essentials plan and up.

Can we import our existing device count spreadsheet?

Yes. Import your .xlsx into the Spreadsheet block, then connect the cells that should set each price line. Your formulas and tabs come with it.

Can survey counts fill the sheet automatically?

Zapier can write values into Spreadsheet block cells, for example counts from a site survey form, and the connected lines follow. Writing cells through the API isn't confirmed, so use Zapier for this.

Can we stop designers changing the formulas?

On the Business plan, content locking locks whole blocks in a template, such as your rates or terms. Locking is by block, not by individual cell.

Does QuoteCloud design the system for us?

No. The counts are your designer's survey and the rates are your own price book. QuoteCloud runs your spreadsheet inside the proposal and connects it to the price table.
