What is content locking in QuoteCloud?

Content locking protects approved content in your Company Content Library. When a content block is locked, your team can still drag it into quotes, proposals and contracts, but nobody can change its wording or settings unless they have permission to unlock it. It keeps legal text, pricing notes, warranties and brand copy exactly as they were approved.

How do I lock or unlock a content block?

Open Libraries, then Content Libraries, find the block you want to protect and use the lock toggle beside it. The lock icon shows whether a block is locked or unlocked, and clicking it again switches it back. Locking doesn't rename, move or change the block; it only controls whether it can be edited.

Can locked content still be used in documents?

Yes. Locked blocks can be dragged into any document and used as normal. They simply stay non-editable there, so the approved wording and pricing appear the same way in every quote and proposal your team sends.

Who can lock and unlock content?

Administrators, and anyone whose role has been given the permission. In Users, Teams & Roles you choose, role by role, who can create, modify or delete content blocks in the Content Library, so control over protected content stays with the right people, such as Legal or Finance.

Can I restrict which content libraries a team can see?

Yes. Access to content libraries is controlled by user role, so some roles can have full access while others can only use content, or don't see a library at all. Blocks a role can't access won't appear in their document builder.

Can I hide part of a document from the client?

Yes. Right-click a section tab, or a container, and choose Hide from Recipient. The hidden content is shaded in the editor so your team can still see it, and it doesn't appear in the recipient's view. It's useful for internal notes, margins or approval comments that belong with the document but not in front of the client.

What if a rep needs a different version of locked content?

Keep the approved block locked and create an editable copy for the exception, or ask an administrator to make one. That way the approved version stays intact for everyone else, and the variation is clearly separate.
