Getting started with QuoteCloud

Security & fire contractor questions, answered

Reports, defect quotes, AI and MCP, device calculators, monitoring agreements, payments and integrations: the questions security and fire contractors ask most.

QuoteCloud helps security and fire contractors send inspection and test reports, defect rectification quotes, system proposals and monitoring agreements, signed online. It doesn't inspect, test or certify; an AI assistant can be set up through the MCP service to draft documents for review; monitoring charges are shown in the agreement and invoiced by you.

Inspection reports and defect quotes

Can QuoteCloud produce inspection and test reports?

Yes. Each site's routine inspection becomes your own branded report in QuoteCloud: results by system, every defect with its device, location and finding, photos marked up on site, and signatures from your technician and the building manager. You see when it's opened, and the signed copy carries a certificate of authenticity.

Does QuoteCloud certify that a building's systems comply?

No. QuoteCloud doesn't inspect, test, certify or decide what is compliant. The results, the severity of each defect and any certification under the standard that applies to the site are your licensed technicians' and your business's. QuoteCloud presents your documents, tracks them and collects the signatures.

How do defects become a quote the building manager can approve?

Each defect becomes an optional price line from your price book, with its device id, location and severity in the note, beside the required visit charge. The building manager ticks the defects to fix, the total follows the ticks, and they sign. Price tables are on Essentials and up.

Can I send a report and a defect quote together?

Yes. Many contractors send the report and the defect quote at the same time: the report records what was found, and the quote prices the fixes for approval. Each is its own document with its own signature, so a building manager can acknowledge the report and approve only some of the defects.

What QuoteCloud doesn't do, so you know where it stops

Clear limits, so nobody promises a building manager something the software doesn't do.

  • Inspect or certify

Testing, results and any certification under the standard that applies to the site are your licensed technicians'. QuoteCloud presents and gets them signed.

  • Bill monitoring

Monitoring and servicing are repeating charges shown in the agreement. You invoice them; nothing is billed, reminded or renewed by itself.

  • Send without a person

An assistant set up through the MCP service creates drafts. A person reviews and sends, and approval rules still apply.

  • Tick the client's choices

Automations create documents and add lines; the building manager ticks the defects to fix and the options they want.

AI assistants and QuoteCloud's MCP service

What is QuoteCloud's MCP service?

MCP is a standard way for an AI assistant to work with other software. QuoteCloud's MCP service, on Essentials and up, lets an AI assistant your business connects work with your QuoteCloud account: it can be set up to find a client, create a document from a template as a draft, add lines from your price book, write a section and check approval rules.

Can an AI assistant turn our inspection results into a report and quote?

It can be set up to. With access to your inspection app's results or an export, and through QuoteCloud's MCP service, an assistant can create the report and the defect quote as drafts from your templates and price book. A person reviews, edits and sends them. Reading your inspection app is the assistant's own connection, not QuoteCloud's.

Will the assistant send anything to clients by itself?

No. Documents created through the MCP service are drafts for a person to review. Nothing is sent without a person, approval rules still apply to anything the assistant prepares, and it reads only what it's allowed to. The building manager still ticks the defects and signs.

Is the MCP service the same as the AI Co-Worker?

No. The AI Co-Worker, on the Business plan, helps your staff inside the QuoteCloud editor, and what it writes is flagged until someone accepts it. The MCP service, on Essentials and up, lets an AI assistant outside QuoteCloud work with your account, for example to draft documents from your inspection results.

System pricing and device calculators

Can I price CCTV, alarm and access control systems from a device count?

Yes. Put your device count in a Spreadsheet block in the proposal: cameras, sensors, readers and detectors per zone, cable runs and rates. Connect any cell to a price line's description and unit price, so changing a count updates the line. You can also bring a price table total back into a cell. Essentials and up.

Do spreadsheet cells set quantities on the price table?

No. Cells set a line's description and unit price; quantities stay on the price line as usual. Many contractors price each equipment line as one lot, with the count in the description, such as 27 IP cameras, so the sheet sets the whole line.

Can clients choose options in a system proposal?

Yes. Add upgrades as optional lines the client ticks, or put alternatives in a single-choice group, such as monitoring tiers. The totals and any deposit update as they choose. Costs and margins can stay hidden from the client. Price tables are on Essentials and up.

Can I import my existing pricing spreadsheet?

Yes. The Spreadsheet block imports .xlsx files and supports formulas such as SUM, ROUND, IF and XLOOKUP, with several tabs that refer to each other. Zapier can also write values into cells; writing cells through the API isn't something we can confirm.

Agreements, signing and payments

Does QuoteCloud bill monitoring fees?

No. Monitoring and scheduled servicing appear in the agreement as repeating charges with a term, so the client knows what they're signing for, and you invoice them from your accounts system. QuoteCloud doesn't bill recurring charges, send payment reminders, take instalments or renew agreements automatically.

How do renewals work for service and monitoring agreements?

Each agreement has an expiry date, and the Expiring Soon filter lists the ones ending next. To renew, prepare a new agreement, for example by duplicating last year's, and send it, or bulk-send one template to many sites. The client signs the new agreement; nothing renews by itself.

Can I take a deposit on new installations?

Yes, on Essentials and up. Ask for a deposit as a percentage or a fixed amount, or full payment, and the client pays through Stripe or PayPal as they sign. Later payments are invoiced by you; there are no instalments or payment reminders in QuoteCloud.

Can several people sign, or sign in person on site?

Yes. Add as many signers as a document needs, such as an operations manager and a finance director; nobody needs an account. A building manager can also sign in person on your tablet at the end of a visit or at handover. eSignatures are on every plan, with a certificate of authenticity and audit trail.

Integrations, plans and getting started

Which systems does QuoteCloud connect to?

An AI assistant through the MCP service; your inspection app or job system through the API, Zapier or Make where it has a connector; simPRO, ServiceM8, HubSpot and Zoho through Zapier; Pipedrive through Zapier or Make; Xero and QuickBooks Online natively on Business, otherwise through Zapier; and Stripe and PayPal for payments.

Are there fees for documents created by automation?

Documents created through the API or Zapier have a per-document fee: US$2.00 each for up to 1,000 a month, US$1.80 for 1,001 to 5,000 and US$1.60 above that. No per-document fee is stated for Make. Bulk send has its own volume-based costs.

Which plan does a security and fire contractor need?

Essentials ($39 per user per month) covers price tables, the Spreadsheet block, the Product Library, payments, bulk send, expiry dates, MCP, the API, Zapier and Make. Business ($59) adds approval workflows, Gantt charts, content locking, version history, the AI Co-Worker and native Xero and QuickBooks Online. eSignatures are on every plan.

Is there a free trial, and can you set up our templates?

Yes. There's a 14-day free trial with no credit card. One template conversion is free during the trial on Essentials, Business and Enterprise, and paid plans include a 45-minute training session. Extra conversions, training and integration set-up are available as professional services.
