- Building QuoteCloud since 2013
QuoteCloud lets security and fire contractors send system design proposals with a cover, the zone plan, equipment priced from a device-count spreadsheet, installation, options the client ticks, monitoring set out as a repeating charge, a Gantt install programme (Business), several signers and a deposit paid on signing through Stripe or PayPal.

An engineered drawing of the Penrose Cold Stores depot, a fictional cold-storage warehouse, cut away: three cold rooms, offices and reception, racking on the warehouse floor, dock levellers with two trailers, and the fenced yard with its gate. The five survey zones are outlined and numbered: 1 office and reception, 2 loading dock, 3 cold rooms, 4 warehouse floor, 5 perimeter and yard. Zone by zone, the cameras' fields of view light up and a card counts that zone's devices from the device-count spreadsheet into a running total: 27 cameras, 12 intruder sensors, 7 readers and 22 detectors. At the last zone, proposal HF-SP-0418 from Harrowfield Fire & Security totals $47,372.60 inc tax, with a 30% deposit of $14,211.78 on signing.

Priced from the device count
The count per zone is a Spreadsheet block in the proposal. Its cells set each equipment line's description and unit price, so a changed count re-prices the line. How the calculator works.

Options the client chooses, totals that follow
Tick the licence plate camera at the yard gate or the extra 30 days of recording, and the total and the 30% deposit follow. The equipment lines priced by the count stay as they are.
Monitoring sits in its own group as a monthly charge shown in the agreement, so the client sees what they'll pay each month without it being added to today's deposit.

System proposal questions
Can the proposal be priced from our device count?
Yes. Put your device count in a Spreadsheet block in the proposal template, on Essentials and up. Any cell can be connected to a price line's description and unit price, so camera, sensor, reader, detector and cable totals become the equipment lines.
Can the client choose options?
Yes. Add options such as extra storage or a licence plate camera as optional lines. The client ticks what they want, and the total and the deposit follow.
How is monitoring shown in a proposal?
As a repeating monthly charge in the price table, so the client sees it beside the installation price. Your business invoices it: QuoteCloud doesn't bill repeating charges or renew them automatically.
Can we take a deposit for a new install?
Yes, on Essentials and up. Ask for a deposit as a percentage or a fixed amount, or full payment, paid through Stripe or PayPal as the client signs. The balance is your own invoice.
Can we include the zone plan and datasheets?
Yes. Place your plan drawing as an image or PDF block and attach each device's datasheet as a PDF block, so everything the client's team needs is in one document.
Can large proposals need a director's approval?
Yes, on the Business plan. Approval rules trigger on a document's total value or on a discount percentage, so a large system waits In Review until it's approved, then you send it.
