Getting started with QuoteCloud

Translation quotes priced from your word counts

New words, fuzzy matches and repetitions go into your rate-card sheet, its cells price each language line, and the client ticks the languages, signs and pays.

QuoteCloud is quoting, proposal and eSignature software for translation agencies, localisation vendors and interpreting services. Import the word-count analysis your translation tool produces into a Spreadsheet block, let your rates, match-band weights, rush fee and minimum charge price each language line, and send a quote the client signs and pays. Delivery reports and certificates go from the same account.

Last reviewed by the QuoteCloud team

An engineered axonometric drawing for a fictional agency, Larkmoor Language Services. On the left, the client's source files as a stack of sheets; in the middle, the word-count analysis as four raised bars by match band (new words, fuzzy 75–94%, fuzzy 95–99%, repetitions and 100% matches) above rows of source and target segments; on the right, the quote standing up with its ticked language lines, total and signature, and a certificate of translation with a seal behind it. A circular detail lists the counts: 6,720 new words at 100%, 1,570 at 60%, 840 at 30% and 2,410 at 25%, 8,517 weighted words. Below, the rate-card sheet's Pricing tab and the quote card for Kestrel Robotics take turns through three choices: translation only, $5,240.60 inc tax delivered in 4 working days; translation and editing, $7,011.28 in 5 working days; translation and editing with rush delivery, $8,718.72 in 3 working days.

What changes when the rate card prices the quote

The jobs a project management team does every day, before and after QuoteCloud.

The jobTodayWith QuoteCloud
Pricing a job Counts copied from the analysis into a spreadsheet, then retyped into a quote. The analysis imported into a Spreadsheet block in your quote template; its cells price each language line.
Rush and minimums Remembered, or missed, by whoever writes the quote. Your rush percentage and minimum charge are cells in the sheet, applied the same way every time.
Adding a language A revised quote emailed back and forth. Every language you offer is an optional line; the client ticks the ones they need and the total follows.
Getting the go-ahead "Please confirm by email" and a purchase order chased by phone. Signed online with a certificate of authenticity, a deposit or full payment through Stripe or PayPal.
Handing over Files in an email, the checks and queries in someone's inbox. A delivery report the client acknowledges with a signature, from the same account as the quote.

Translation quotes from word counts

Try it: word counts that price the quote

Change the service level, switch rush on or include another file in Tobias's sheet, and watch the connected lines follow. Then tick a language as the client would, sign and pay the deposit.

  1. 1Analysis imported
  2. 2Tobias sets the level
  3. 3Client ticks languages
  4. 4Signed & deposit paid

Demo with fictional data: nothing is sent, stored or charged. The counts come from the analysis your own translation tool produces; QuoteCloud doesn't count words. Rates, weights, the rush fee and the minimum are the agency's own. The Spreadsheet block (Essentials and up) connects any cell to a price line's description and unit price and brings a price table total back into a cell.

Rate cards, rush fees & minimum charges

Your AI assistant drafts it, your project manager sends it

With QuoteCloud's MCP service (Essentials and up), an AI assistant your agency uses can be set up to read the word counts your translation tool produces and draft the quote from your rate card, then prepare the delivery report when the job is done. Every document is a draft until a person reviews it.

From the client's files to a paid quote in five steps

What happens between a client sending files and your team starting work.

  1. Run your analysis

Analyse the client's files in your own translation tool, as you do today, and export the counts by match band.

  2. Bring in the counts

Import the export into the Analysis tab of your rate-card sheet, or let your AI assistant draft the quote.

  3. Set the level and deadline

Choose translation, editing or proofreading and switch rush on if needed; each language line follows.

  4. Send the quote

Review it and send. The client ticks the languages they need and sees the total change.

  5. Signed and paid

They sign online and pay a deposit or the full amount through Stripe or PayPal.

Translation quote questions, answered

What is QuoteCloud for translation agencies?

QuoteCloud is quoting, proposal and eSignature software for translation agencies, localisation vendors and interpreting services. You send quotes, localisation proposals, interpreting bookings, framework agreements, delivery reports and your own certificates of translation from templates, with price lines clients tick, online signatures and a deposit or full payment through Stripe or PayPal on signing.

Can QuoteCloud price a translation from word counts?

Yes, from the counts you bring in. Import the analysis your translation tool produces into a Spreadsheet block, apply your match-band weights, rates, rush percentage and minimum charge with ordinary formulas, and connect cells to each language line's description and unit price. QuoteCloud doesn't count words or analyse files itself.

How do clients choose which languages they need?

Add every language you offer as an optional line in the price table and tick the ones the client asked for as the default selection. The client can tick or untick languages in the quote, and the subtotal, tax, total and deposit update before they sign.

Can an AI assistant prepare our quotes?

QuoteCloud's MCP service, on Essentials and up, lets an AI assistant work with QuoteCloud. It can be set up to read the word counts your translation tool produces and draft a quote from your template and rate card, as a draft your project manager reviews and sends. Approval rules still apply and nothing is sent without a person.

Can we charge rush fees and minimum charges?

Yes. Your rush percentage and minimum charge per language are cells in your rate-card sheet. A rush cell raises each connected language price by your percentage, and a MAX formula applies your minimum when a short job comes in under it. They are your own rules, applied the same way in every quote.

Does QuoteCloud certify translations?

No. A certificate of translation is your agency's own statement. You lay it out once as a template, lock the wording on the Business plan, and have your translator sign it in QuoteCloud. The signed document carries QuoteCloud's certificate of authenticity for the signature, not for the translation.

How do clients pay?

Connect Stripe or PayPal on Essentials and up and set payment on signing as a percentage deposit, a fixed amount or the full total. The client pays as they sign. Later invoices, such as the balance on delivery, stay in your accounting software.

Which plan do translation agencies need?

Essentials covers price tables, templates, the Spreadsheet block, payments, the API, Zapier, Make and the MCP service. Business adds approval workflows, Gantt charts, content locking, version history, the AI Co-Worker and native CRM and accounting integrations. eSignatures are on every plan, including Free.
