Getting started with QuoteCloud

Translation tools, CRM and accounting, connected honestly

Word-count exports as .xlsx imports, Zapier writing cells, your AI assistant over MCP, and your CRM and accounts the way each really connects.

QuoteCloud connects to the rest of an agency's stack in several ways: import your translation tool's analysis into a Spreadsheet block, let Zapier write values into its cells, set up your AI assistant through QuoteCloud's MCP service, or use the API or Make. HubSpot and Zoho connect through Zapier, Pipedrive through Zapier or Make, and Xero and QuickBooks natively on Business.

Two overlapping documents from a fictional agency, Larkmoor Language Services. Behind, the price table of quote LM-Q-2614 for Kestrel Robotics in the editor: the file preparation line and six language lines, French, German and Japanese ticked, each with chips showing that its description and unit price come from cells on the Pricing tab of the rate-card sheet, for example French at $1,839.67 from Pricing!C2. In front, the quote's activity: draft created from the analysis with the rate card applied, reviewed and sent by Tobias Wren, opened and signed by Hana Sorensen, and the $3,505.64 deposit paid through Stripe.

What connects, and how each one connects

Your translation tool's analysis comes in as an .xlsx import into a Spreadsheet block, through Zapier (which can write values into its cells) or through your AI assistant over QuoteCloud's MCP service. The API, Zapier, Make and MCP are on Essentials and up. HubSpot and Zoho connect through Zapier, Pipedrive through Zapier or Make; Xero and QuickBooks Online are native on Business, otherwise through Zapier.

The analysis comes in, the counts price the lines

Most translation tools export their word-count analysis as a spreadsheet. Tobias imports Kestrel's export into the Analysis tab of the quote's Spreadsheet block: new words, fuzzy matches and repetitions per file, exactly as the tool counted them. QuoteCloud doesn't count words or read source files.

From there the sheet does what it does in every quote: an Include cell per file, your band weights, the weighted total, and connected cells on the Pricing tab that set each language line's description and unit price. If your tool can trigger a Zap, Zapier can write the counts into the cells instead of an import.

Four ways your data reaches a quote

Pick the one that suits your volume and your tools. Many agencies start with the first and add the others later.

  • Import the export

Your project manager imports the .xlsx analysis into the quote's Spreadsheet block. No set-up beyond the template.

  • Zapier

Create a quote from a template, fill data items and add price rows, or write values into sheet cells. Triggers include signed, paid and form submitted.

  • Your AI assistant

Through QuoteCloud's MCP service it can be set up to read the analysis and draft the quote for a project manager to review.

  • API and Make

Your developers create documents from your project system. Documents created through the API or Zapier have a per-document fee from US$2.00.

Signed and paid, then on to your accounts and project system

When Hana signs and pays, the quote's activity shows it, and Zapier can pass the Signed Document and Document Payment Event triggers on to your project system or a spreadsheet so the job opens without retyping. Treat these as illustrative: what happens next depends on what your system accepts.

Xero and QuickBooks Online are native on the Business plan; on other plans they connect through Zapier. HubSpot and Zoho connect through Zapier, and Pipedrive connects through Zapier or Make. Slack and Microsoft Teams can show alerts for document updates, comments and actions.

Bring your word counts into a quote in five steps

The import route, which needs nothing but your template.

  1. Export the analysis

Export the counts by match band from your translation tool as a spreadsheet, as you do today.

  2. Start the quote

Create the quote from your word-count template and choose the client.

  3. Import the counts

Import the .xlsx into the Analysis tab of the Spreadsheet block.

  4. Check the lines

The connected cells price each language line; set the level and rush if needed.

  5. Send it

Review and send. When it's signed and paid, hand it on to your accounts.

Integration questions

Does QuoteCloud connect to our translation tool?

There is no built-in connector for a particular translation tool. Most tools export their word-count analysis as a spreadsheet, which you import into a Spreadsheet block in your quote. Where your tool or project system can trigger Zapier, Make or the API, those can create quotes, and Zapier can write values into sheet cells. Your AI assistant can also be set up through MCP.

Can Zapier fill in the word counts?

Yes. Zapier can write values into cells of a Spreadsheet block, so a Zap from your project system can put the counts where your formulas expect them. Writing cells through the API isn't confirmed, so use Zapier or an import for that part.

Which CRMs work with QuoteCloud?

HubSpot and Zoho connect through Zapier, and Pipedrive connects through Zapier or Make. Other CRMs can be reached through Zapier, Make or the API where they have a connector, for example to create a quote when a deal reaches a stage.

Do signed quotes go into Xero or QuickBooks?

Xero and QuickBooks Online are native integrations on the Business plan. On other plans they connect through Zapier, using triggers such as a signed document or a payment event. Later invoices, such as balances on delivery, are raised in your accounting software.

What does an integration cost?

The API, Zapier and Make are on Essentials and up. Documents created through the API or Zapier have a per-document fee: US$2.00 each for up to 1,000 a month, $1.80 up to 5,000 and $1.60 above that. Zapier and Make have their own plans.
