Why sync the catalogue at all?
Tanbark Trade Supply changes trade prices every quarter in its own system. When QuoteCloud's product library is a copy someone updates by hand, a rep sooner or later quotes last quarter's price on a 40-carton order.
With a sync, Tanbark's system sends each changed product to QuoteCloud by SKU. Reps add products to a quote from the library as usual, at today's price, with the description and image Tanbark's shop uses.
- Your system stays the source of truth; QuoteCloud follows it by SKU.
- Lock the price or label so reps can't edit them in a quote.
- Prefer a file? The user guide's CSV import loads a whole list.
What does a product call carry?
Create Product adds a product, or updates one when you pass its QuoteCloud product ID. It carries the product's unique short name, folder and sub folders, the line-item name your client sees, SKU, description, price, published or draft, default quantity, term pricing, up to five images and the locks.
Find or Create Product finds a product by exact SKU, or creates it when there's no match. List Products pages through the library, up to 100 at a time, with a cursor.
- Key everything on SKU, and keep short names unique.
- Images: public JPG, PNG, GIF, SVG or WebP URLs up to 15 MB.
- Page through with Next Page Cursor; don't assume one page holds everything.

Can a spreadsheet drive the catalogue?
If your price list lives in Google Sheets, a Zap keeps QuoteCloud in step without code.

Your own system can make the same two calls through the API. Make works as a bring-your-own scenario.
Dev Malhotra updates the cup prices on Tanbark's price list on the first of the quarter. By the time the reps open QuoteCloud, every quote they start uses the new price.
Result
One price list, and a QuoteCloud library that follows it product by product.

Decide the source of truth
Sync one way, from your system to QuoteCloud, and make price changes there. Product Changed tells you when someone edits a product in QuoteCloud instead.
Page through, don't assume
List Products returns a bounded page of 1 to 100 products and a cursor for the next one. Find Product only finds active products.
Products don't fill a quote
Products sent from your system sit in the library for reps to add. To price a document from your data, send price-table rows in the create call.
Try it on a copy of your catalogue
Start a free 14-day trial and sync a handful of products before you point it at the whole list.
Sync your catalogue in four steps
- 1
Set up the folders
Create the folders your products belong in, matching your categories, in QuoteCloud's product library.
- 2
Load the first copy
Import the current list once by CSV, or run Find or Create Product for each SKU.
- 3
Send each change
When a product changes in your system, send it with Create Product and its QuoteCloud product ID.
- 4
Watch the other way
Optionally, a Zap on Product Changed tells your system when someone edits a product in QuoteCloud.
Catalogue sync questions
Can I add products to QuoteCloud through the API?
Yes. Create Product adds a product to QuoteCloud's product library, or updates it when you pass its QuoteCloud product ID, with its SKU, names, folder, description, price, images and locks. Find or Create Product finds a product by exact SKU or creates it. Product Library is on Essentials and up.
How do I find a product by SKU?
Find Product finds active QuoteCloud products by exact SKU or by product ID: choose which in Search By, then give the exact value. Find or Create Product also matches an exact SKU and creates the product when nothing matches, which suits a first-time sync.
Can my system hear when someone edits a product in QuoteCloud?
Yes, through Zapier. QuoteCloud's Product Changed trigger fires when a product is created, updated, activated or deactivated, and you can limit it to one kind of change. A Zap can pass it to your system with Webhooks by Zapier or update a spreadsheet directly.
Do products I send appear in quotes automatically?
No. Products you send sit in the product library for your team to add to a quote. To price a document from your own data, send price-table rows in the call that creates the document, with each row's label, quantity and price.
