Getting started with QuoteCloud

See every quote's status on the Salesforce Opportunity

With the Salesforce Sync add-on, delivered, first viewed and signed come back to the linked Opportunity as they happen. Without it, two small Zaps write the same moments as notes and a field.

With the Salesforce Sync add-on on QuoteCloud's Business plan, the status of each document linked to an Opportunity, such as delivered, first viewed and signed, is sent back to that Opportunity as it happens. On Essentials, a Zap on Recipient First Viewed Document or Document Signing Complete can add a note or update a field instead.

Call while the quote is still on their screen

Tallwire Communications quotes fibre, voice and mobile for multi-site businesses. When account manager Jordan Hale sends Saltmarsh Freight Co. the proposal for its new Port Ellery depot, the best moment to call is the moment Priya Nair opens it, not two days later.

Jordan works in Salesforce all day. So the proposal's status belongs on the Opportunity, where he and his sales manager already look.

  • Route: the Salesforce Sync add-on on Business, or Zapier on Essentials and up.
  • Every view and signature is recorded in QuoteCloud either way; the route decides how it reaches Salesforce.
  • The sales manager sees which deals are waiting on whom, without asking around.

How does quote status get onto the Opportunity?

With the add-on, it comes back by itself. Tuesday, 11:52 am: Priya opens the proposal, and the linked Opportunity shows Viewed.

Thursday, 2:14 pm: signed

Priya signs on Thursday morning and Owen Pryce, Saltmarsh's finance manager, signs after lunch. The proposal's status on the Opportunity moves to Signed, and Jordan starts the order without waiting for an email.

Moving the Opportunity's stage is a separate job: a Zap on Document Signing Complete can set it to Closed Won.

Without the add-on: a note when the quote is first viewed

On Essentials, two small Zaps write the same moments into Salesforce. Neither creates a document, so neither carries the per-document fee.

Get quote status onto the Opportunity

  1. Choose the route

The Salesforce Sync add-on on Business, or Zaps on Essentials and up. Compare them.

  2. With the add-on: link the document

Start the document from the Opportunity, so it stays linked and its status comes back to it.

  3. With Zapier: keep the ID

Documents a Zap creates keep the Opportunity ID in a data item, so Find Record can find it again.

  4. Test with a test Opportunity

Send a test quote to an @example.com contact, open and sign it, then check the Opportunity.

Questions about quote status in Salesforce

Which document statuses show on the Salesforce Opportunity?

With the Salesforce Sync add-on, QuoteCloud sends back the status of each linked document, such as delivered, first viewed and signed, as it happens. With Zapier you choose: Recipient First Viewed Document, Recipient Signed Document, Document Signing Complete, Document Expired and Document Lost can each update the Opportunity.

Do I need the add-on to see quote views in Salesforce?

No. On Essentials and up, a Zap on QuoteCloud's Recipient First Viewed Document trigger can find the Opportunity with Salesforce's Find Record and add a note with Create Note or set a field with Update Record. The add-on does it without building Zaps, on the Business plan.

Does the Opportunity's stage change when the quote is signed?

Not by itself. The add-on sends the document's status back to the Opportunity. To move the stage to Closed Won, build a Zap on Document Signing Complete that runs Salesforce's Find Record and Update Record. It works on Business alongside the add-on.

Do these status Zaps carry the per-document fee?

No. Zaps that read QuoteCloud events and update Salesforce don't create documents, so they carry no QuoteCloud fee. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API. Each Zap step uses Zapier tasks.
