Salesforce fields go into QuoteCloud documents as data items, contact fields and optional price-table rows through Create Document. QuoteCloud events come back as Opportunity fields, notes and Tasks through Update Record, Create Note and Create Record. The Opportunity ID kept in a data item is how Zaps that start in QuoteCloud find the right Opportunity.

Which Salesforce fields map to QuoteCloud?
One row per mapping, grouped by Zap. Each Zap runs one way, so a field that travels both ways is two rows.

Salesforce names are standard field labels; your org may label them differently. Data item names are the ones in your template. All values are sample data. With the Salesforce Sync add-on there is nothing to map for status: it comes back to the linked Opportunity.
The one field every return Zap needs
Zaps that start in QuoteCloud, on a signature, an expiry or a loss, have to find the right Opportunity. The Opportunity ID is unique, so keep it in a data item when a Zap creates the document, and search on it with Find Record.
Without it, search on the Opportunity Name used as the document title, and test with Opportunities whose names look alike.

Salesforce field types to watch
Picklists
Stage and Type take one of your org's values exactly as spelled, such as Closed Won.
Dates
Close Date and Due Date want a date. Zapier offers Create Record (UTC) and Update Record (UTC) when you work in UTC.
Currency
Amount wants a number. Map the total without currency symbols if the test fails.
IDs and lookups
Owner, Account and Related To take Salesforce IDs. Find Record turns them into names, and back.

Questions about the field map
What are data items in a QuoteCloud document?
Custom fields in your template that a Zap or the API fills when it creates the document, such as Opportunity name or Salesforce Opportunity ID. They show in the document's text where you place them. Custom data items are on QuoteCloud's Essentials plan and up.
Can a Zap fill the QuoteCloud price table from Salesforce?
Partly. Create Document can add price-table rows with a label, note, price, quantity, term, tax and discount from values you map. Copying every Opportunity Product into rows isn't covered by these recipes, and a Zap never ticks optional items for the buyer.
Can I map Salesforce custom fields?
Yes. Zapier loads your org's fields, custom ones included, into Salesforce triggers and actions, so a custom Opportunity field such as Quote status can be read or written. Create the field in Salesforce before you build the Zap, then refresh the fields in the Zap editor.
Which fields does the Salesforce Sync add-on map?
The add-on fills the template with the Opportunity's account and contact details and sends document status back to the linked Opportunity; there is nothing to map in Zapier for it. Confirm the exact fields with QuoteCloud when you set it up. This field map covers the Zaps.
More on QuoteCloud and Salesforce
Six use cases, each marked add-on or Zapier, then how to set up both routes and what they cost.
- Create QuoteCloud documents from a Salesforce OpportunitySalesforce Sync add-on: reps start the quote from the Opportunity, and the document stays linked to it.
- See document status on the Salesforce OpportunitySalesforce Sync add-on: delivered, first viewed and signed come back to the linked Opportunity. Or build it with Zaps.
- Move the Opportunity to Closed Won on signatureZapier: when every signer has signed, a Zap updates the Opportunity's stage, amount and close date.
- Create quotes when an Opportunity changes stageZapier: an Opportunity reaches your quoting stage and a draft quote is created from your template, for teams without the add-on.
- Keep Salesforce and QuoteCloud contacts matchedZapier: new Salesforce contacts found or created in QuoteCloud, and new QuoteCloud contacts found or created in Salesforce with their account.
- Follow up expired and lost quotes in SalesforceZapier: an expired quote becomes a Task for the Opportunity owner; a lost one moves the Opportunity to Closed Lost.
- Set up the Salesforce Sync add-onBusiness plan: connect your Salesforce org with OAuth, start documents from Opportunities and see their status come back.
- Connect Salesforce to QuoteCloud through Zapier, step by stepSign in to both apps in Zapier, pick a trigger, map the fields, test with sample records and turn the Zap on.
- Test and troubleshoot the Salesforce connectionTest with sample records, then fix the usual problems: no Opportunity found, missing fields, echoes, expired PDF links.
- Salesforce Sync add-on or Zapier: which to useThe two routes side by side: plan, where you work, what each one does and when to use both.
- What the Salesforce connection can and can't doThe honest limits of both routes: no ticked options, short-lived PDF links, one way per Zap, plans and fees.
- What the Salesforce connection costsThe plan each route needs, and the per-document fee for documents created through Zapier, worked out for your volume.
