Getting started with QuoteCloud

Connect Dynamics 365 to QuoteCloud, step by step

From an empty Zapier account to a tested quote Zap: the columns to add in Dynamics, the accounts to connect, each step of the Zap with sample data, and the problems teams hit first.

Check you're on QuoteCloud's Essentials plan or higher, add Request quote, QuoteCloud reference and QuoteCloud status columns to the Dynamics 365 opportunity, then in Zapier connect QuoteCloud and Microsoft Dynamics 365 CRM with integration accounts. Build the quote Zap, test it on a test opportunity and switch it on.

How do I connect Dynamics 365 to QuoteCloud?

Six steps for the first Zap. The others follow the same pattern.

  1. Check the plan

QuoteCloud's Zapier app needs Essentials or higher; approvals need Business. Start a trial if you're not a customer yet.

  2. Add the columns

Your Dynamics admin adds Request quote, QuoteCloud reference and QuoteCloud status to the Opportunity table.

  3. Create integration users

One in Dynamics 365 with a limited security role, one in QuoteCloud with its own role. See the IT review.

  4. Connect both apps in Zapier

In a company-owned Zapier account, connect QuoteCloud and Microsoft Dynamics 365 CRM, signing in as the integration users.

  5. Build the quote Zap

Updated Opportunity, a filter, Find Contact, Find or Create Contact, Create Document, Add Document Recipient, Update Opportunity.

  6. Test, then switch it on

Tick Request quote on a test opportunity with an @example.com contact, check both apps, then turn the Zap on.

Step 1: the trigger, and its test data

Choose Microsoft Dynamics 365 CRM, then Updated Opportunity. Zapier asks you to sign in: use the integration user, so the Zap doesn't stop working when a rep's password changes.

Pull in a test opportunity that has Request quote ticked. Its fields are what every later step can use, so check the account, contact and your custom columns are there, and whether the account comes as a name or only an ID.

Step 2: the filter that stops loops

Updated Opportunity fires on every change, including the one the Zap makes itself when it writes the QuoteCloud reference back.

So the filter has two rules: Request quote is true, and QuoteCloud reference does not exist. A ticked opportunity gets one quote; the Zap's own update never starts a second.

Steps 3 and 4: draft the quote, write the reference back

In Create Document, pick the template and map the topic into the title and data items. Use the topic as the title: every return Zap finds the opportunity by it.

Then Update Opportunity writes the document's reference and Draft to your columns, using the opportunity ID from step 1.

The usual problems, and the fix

  • Two quotes for one opportunity

The filter is missing its second rule. Add QuoteCloud reference does not exist, so the Zap's own update can't start it again.

  • Find Opportunity finds nothing

The document's title isn't the opportunity's topic, or someone renamed one of them. Keep them equal, or search on an ID data item if your test data carries it.

  • Blank data items

The trigger's test data didn't have that field. Re-test with a complete opportunity; for the account name, check whether you get a name or only an ID.

  • The Zap stopped after a password change

It was connected as a person. Reconnect Dynamics 365 and QuoteCloud with the integration users.

  • Access needs an administrator

If your Microsoft tenant asks for administrator approval when you connect Zapier, your IT team approves it once.

  • A PDF link that stops working

QuoteCloud's PDF links are short-lived. Use Generate or Fetch Document PDF Link and upload the file in the same Zap; never save the link.

Can I connect Dynamics 365 through Make instead?

Yes, as a bring-your-own setup. QuoteCloud has no ready-made app or module list on Make. You connect Make to QuoteCloud with Make's built-in OAuth connection, then call QuoteCloud's API or Zapier endpoints from your scenario, beside Make's own Dynamics 365 modules.

The jobs and the field map on this site still apply; your team designs each call. API access is on Essentials and up.

  • Make suits teams that already run other Microsoft integrations in Make.
  • The recipes here name Zapier's events; in Make you build the equivalent calls yourself.

Before you start

  • Accounts

QuoteCloud on Essentials or higher, a Zapier plan for your volume, and a Dynamics 365 sandbox or test environment if you have one.

  • A template

The QuoteCloud template the quote Zap will use, with data items for the topic, account, opportunity ID and owner.

  • People

Your Dynamics admin for the columns and integration user, and someone in sales to test with real-looking opportunities.

Set-up questions

Do I need a developer to connect Dynamics 365 to QuoteCloud?

No, for Zapier. A sales or CRM admin can build the Zaps without code, though your Dynamics admin adds the opportunity columns and the integration user. Make is a bring-your-own setup with QuoteCloud's API, so it suits teams with someone technical.

Which Zapier app do I pick for Dynamics 365?

Microsoft Dynamics 365 CRM. It covers opportunities, accounts, contacts, leads, quotes and orders on Dynamics 365's sales side. Business Central is a separate Zapier app, and QuoteCloud doesn't connect to it.

Is there a ready-made Zap template for QuoteCloud and Dynamics 365?

No. Both apps are on Zapier, so you build the Zaps from their triggers and actions, following the recipes on this site. Each recipe names the exact events to pick.

How do I test without touching real customers?

Use a Dynamics 365 sandbox or a test opportunity, with contacts at @example.com addresses, and a test channel in Teams. Check each app after every step, then point the Zap at production and switch it on.
