Getting started with QuoteCloud

What QuoteCloud with Dynamics 365 can and can't do

An honest list: what the Zaps do, where they stop and why, and how Zapier and Make compare. Read it before you promise anything to your sales team.

Through Zapier, QuoteCloud can draft quotes from Dynamics 365 opportunities, write sent, viewed, signed, expired and lost to opportunity columns, match accounts and contacts, and post to Microsoft Teams. It can't close opportunities as won, add notes or files to the timeline, copy product lines into price tables or connect to Business Central.

What can the Dynamics 365 Zaps do?

  • Draft quotes from opportunities

From your template, with data items, a recipient and price-table rows you map. Quotes from opportunities.

  • Show status on the opportunity

Sent, viewed, signed, expired, lost and paid, in columns your views can use. Status.

  • Track several signers

Each signature and the last one, on the opportunity. Several signers.

  • Alert Microsoft Teams

Channel posts and chats from any QuoteCloud event. Teams alerts.

  • Match accounts and contacts

Find or create by email, under the right account. Accounts & contacts.

  • Work with approvals

Zap-drafted quotes go through QuoteCloud's approval workflow when a person sends them. Business. Approvals.

Where does it stop?

Most limits come from what Zapier's Dynamics 365 app offers, and from keeping people in charge of what the buyer sees.

  • No native connection, nothing syncs by itself

Every job is a Zap or a Make scenario you build. Each runs one way, from one trigger.

  • It doesn't close opportunities as won

Zaps write Signed to a column and tell the owner. Closing as won stays with your team, through Dynamics' own close step.

  • No notes, tasks or files on the timeline

Zapier's Dynamics 365 app has no action for them, so status goes into columns and alerts into Teams.

  • No product lines into price tables

An opportunity's or Dynamics quote's product lines don't become price-table rows. Create Document adds only rows you map from fields.

  • No ticking options or choosing blocks

The template sets the content; buyers tick options; reps edit and send.

  • No ERP or Business Central

This is Dynamics 365's sales side only. QuoteCloud doesn't create orders or invoices in a finance system.

Zapier or Make: which route suits you?

  • Zapier

QuoteCloud's Zapier app has ready-made triggers, actions and searches, beside Zapier's Microsoft Dynamics 365 CRM and Microsoft Teams apps. Every recipe here. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

  • Make

Bring your own: Make's built-in OAuth connection to QuoteCloud and calls to QuoteCloud's API or Zapier endpoints, beside Make's own Dynamics 365 modules. No ready-made QuoteCloud app on Make; your team designs and maintains each step.

What we haven't confirmed yet

Some details depend on your own Dynamics set-up or on test data we haven't seen. The recipes are written so they work either way, and tell you what to check.

  • Whether Update Opportunity can close an opportunity: not claimed.
  • Whether QuoteCloud's triggers carry the document's data items, such as the opportunity ID: the recipes find the opportunity on its topic.
  • Whether Updated Opportunity returns the account and contact as names or IDs.
  • Whether Document Review Requested fires when a quote is sent for approval.
  • Whether documents created from a Make scenario carry the per-document fee: ask us.

Questions about the limits

Is QuoteCloud's Dynamics 365 connection native?

No. There's no direct or native Dynamics 365 connection on any plan. Everything runs through Zaps with QuoteCloud's Zapier app, on Essentials and up, or through Make as a bring-your-own setup with QuoteCloud's API.

Can QuoteCloud add a note to the opportunity's timeline?

Not with the recipes here. Zapier's Microsoft Dynamics 365 CRM app has no action for notes or tasks, so the Zaps write to columns on the opportunity and post alerts in Microsoft Teams instead.

Can a Zap tick options or choose content in the quote?

No. A Zap fills data items, the title, the recipient and any price-table rows you map. The template sets the content, the buyer ticks options and your rep edits and sends.

Does it connect to Dynamics 365 Business Central?

No. QuoteCloud's Dynamics 365 connection covers the sales side, through Zapier's Microsoft Dynamics 365 CRM app. There's no Business Central or other ERP connection.

Is the opportunity marked won when the quote is signed?

No. A Zap can write Signed to a column and tell the owner in Teams; closing as won stays with your team in Dynamics.
