Getting started with QuoteCloud

Create QuoteCloud quotes from Excel table rows

Your team logs requests in an Excel table they already use. Each new row drafts the quote from your template, with the customer, the details and a priced line, and the quote's reference lands back on the row.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up. Excel's New Row in Table starts it; QuoteCloud's Find or Create Contact and Create Document draft the quote from your template, filling data items and a price-table row from the row's columns; Excel's Update Row writes the quote reference back. Each document created this way carries the per-document fee.

Why start quotes from an Excel table?

At Wexmoor Freight & Logistics, Kai Moreno logs every pallet-freight request in a Requests table in the pricing desk's group drive: customer, contact, lane and pallets. The workbook's own Lanes sheet looks up the rate per pallet, fuel included.

When Kai adds Orchard & Pine Furniture's request for six pallets to Lakeview, a Zap drafts the lane quote from Wexmoor's template, priced from the row, and writes WF-Q-4857 back beside it. Pricing desk lead Callan Mercer checks it and sends it.

  • The request list stays in Excel, where the team already works and filters.
  • The quote is a draft: a person checks it and sends it, and the customer ticks any options.
  • Each document a Zap creates carries the per-document fee; see the cost.

How do I create a QuoteCloud quote from a new Excel row?

Five steps, one Zap. Every name is the exact event you pick in Zapier.

Kai adds R-2214 at 10:12 am on Thursday 29 October. By 10:14 the draft WF-Q-4857 is waiting in QuoteCloud, six pallets at $118.75, and the row reads WF-Q-4857 · Drafted. Callan sends it at 10:31.

Every request in the table becomes a priced draft within minutes, and the table shows which quote answers which request.

All values are sample data. Here one Excel row fills one price-table row; options such as tail-lift delivery stay in the template for the customer to tick.

Variations on this recipe

  • Start when the row is ready

Add a Ready column and use Excel's Updated Row trigger with Ready as the Trigger Column, plus a Filter for Yes, so a half-typed row never starts a quote.

  • Let the calculator price it

If the template holds your rate calculator in a Spreadsheet block, the Zap can write the row's pallets and weights into its cells instead, and the cells price the lines.

  • Send standard lanes straight away

For lanes you never adjust, add QuoteCloud's Send Document after Add Document Recipient. Keep a person in the loop for anything unusual.

  • Build it in Make instead

Bring your own: Make's own Microsoft Excel modules beside QuoteCloud's API or Zapier endpoints, through Make's built-in OAuth connection. No ready-made QuoteCloud app on Make.

Turn your request list into drafts

Build the quote Zap in five steps

  1. Prepare the template

In QuoteCloud, add the data items the row will fill and a price table, with any options for the customer to tick.

  2. Format the request list as a table

In Excel, make the list a table with headers, in a workbook in OneDrive for Business, SharePoint or a group drive.

  3. Start with New Row in Table

In Zapier, choose Excel's New Row in Table, pick the workbook, worksheet and table, and pull in a test row.

  4. Contact, then document

Add Find or Create Contact, Create Document with the template, data items and price-table row, then Add Document Recipient.

  5. Write the reference back

Add Excel's Update Row with the Quote and Status columns, test with a fictional @example.com request, then turn the Zap on.

Questions about quotes from rows

Can a new row in Excel create a QuoteCloud quote?

Yes. Excel's New Row in Table trigger starts a Zap that runs QuoteCloud's Create Document from one of your templates, filling data items and a price-table row from the row's columns. Find or Create Contact and Add Document Recipient add the customer, and Update Row can write the quote's reference back to the row.

Can the Zap fill the price table from the Excel row?

Yes, from the row's columns. Create Document's price-table row fields take the columns you map, such as the lane as the label, pallets as the quantity and the rate as the price. Each Excel row starts its own Zap, so several rows don't gather into one quote, and it never ticks options: your customer ticks those.

How quickly does the quote appear after I add a row?

Within minutes, not instantly. Excel's Zapier triggers check the table on a schedule that depends on your Zapier plan. If people type rows in by hand, add a Ready column and start the Zap with Updated Row on that column, so it only runs when the row is complete.

Does creating quotes from rows cost extra?

Yes, per document. Each document created through Zapier or the API carries a fee of US$2.00, $1.80 or $1.60 by volume, on top of QuoteCloud's Essentials plan or higher and a Zapier plan for your task volume. The Update Row step itself carries no QuoteCloud fee.
