Getting started with QuoteCloud

Microsoft Excel and QuoteCloud, priced to reported

Bring the pricing calculator your estimators trust into the quote itself, then let Zaps keep your Excel register current as every quote is sent, signed and paid.

QuoteCloud works with Microsoft Excel in two ways. The Spreadsheet content block imports your .xlsx calculator into a quote and sets the price lines from its cells. QuoteCloud's Zapier app adds and updates rows in Excel tables stored in OneDrive for Business or SharePoint, and can draft quotes from rows. Both are on Essentials and up.

Six jobs play in turn, the data riding the thread: 1, Log: Tessa creates the proposal and a Zap adds a row to the Estimates table (Document Created then Add Row to Table). 2, Price: in QuoteCloud, Corbel's cost book, imported from Excel into a Spreadsheet block, prices the lines, total $95,062.00 (no Zap). 3, Status: Tessa sends it; a Zap finds the row and writes Sent and the total (Document Status Changed then Update Row). 4, Signed: Grace Halloran signs; the row shows Signed and the date (Document Signing Complete then Update Row). 5, Deposit: the $4,753.10 deposit is paid through Stripe; the row's Deposit column fills (Document Part Paid then Update Row). 6, What if the quote expires instead: the row's status reads Expired (Document Expired then Update Row). It ends on the signed proposal and the up-to-date row.

What can QuoteCloud do with your Excel workbooks?

Six jobs, from pricing the quote to closing the month. The first runs inside QuoteCloud; the rest are Zaps between QuoteCloud and an Excel table.

  1. Price

Import your .xlsx calculator into a Spreadsheet block. Its cells set each price line's description and unit price.

    • Spreadsheet block
    • .xlsx import
  2. Create

A new row in a request table drafts the quote from your template and writes its reference back to the row.

    • New Row in Table
    • Create Document
  3. Log

Every new QuoteCloud document adds a row to your register table, with its reference, client and estimator.

    • Document Created
    • Add Row to Table
  4. Update

Sent, viewed, signed or expired: a Zap finds the document's row and writes the new status, total and dates.

    • Document Status Changed
    • Update Row
  5. Report

Deposits and payments land in the same rows, so the month-end pivot table is ready when finance opens it.

    • Document Part Paid
    • Update Row
  6. Tell the team

One more step in a Zap posts the signed quote to a Microsoft Teams channel, beside the row update.

    • Document Signing Complete
    • Send Channel Message

Every Zap runs one way, from its trigger to its steps: editing a row doesn't change a quote. The same jobs can be built in Make, bring your own. See Spreadsheet block or workbook? to choose where your pricing lives.

Two ways QuoteCloud works with Excel

Most Excel teams use both: the calculator moves into the quote, the reporting stays in the workbook.

  • Your calculator, inside the quote

Import the .xlsx into a Spreadsheet block. It keeps tabs and Google-Sheets-style functions such as IF, ROUNDUP and XLOOKUP; its cells set price lines, and the price table total can come back into a cell. No Zapier needed.

    Import your calculator
  • Your workbook, kept current by Zaps

Keep the register, request list or report in Excel. Zaps add and update rows as documents are created, sent, signed and paid, and can draft quotes from new rows.

    Log every document

What moves between Excel and QuoteCloud?

Rows go in, document news comes back. The buyer's choices stay with the buyer.

  • From a row into the quote

Columns such as customer, lane, pallets and rate map into data items, the recipient and a price-table row when a Zap creates the document.

    The full field map
  • From the quote into a row

Reference, client, status, total, signed date and deposit, written to an Excel table by Add Row to Table and Update Row.

    Month-end reporting
  • What stays with people

A Zap never ticks options or chooses content blocks, and editing a row never changes a quote. Your client ticks options; your estimator checks and sends.

What it can and can't do

Zapier or Make: how do you want to build it?

Excel connects through Zapier or Make. Both reach the same QuoteCloud events and actions.

  • Zapier: QuoteCloud's Zapier app

Ready-made QuoteCloud triggers, actions and searches beside Zapier's Microsoft Excel app: the recipes on this site. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

    Connect it, step by step
  • Make: bring your own

Connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Microsoft Excel modules. No ready-made QuoteCloud app on Make: you design each step.

Excel questions, answered

How does QuoteCloud connect to Microsoft Excel?

Two ways. The Spreadsheet content block imports your .xlsx calculator into a quote and sets price lines from its cells. For workbooks you keep in Excel, QuoteCloud's Zapier app adds and updates rows in an Excel table when documents are created, sent, signed or paid, and can create quotes from new rows. Make works too, as a bring-your-own setup.

Is there a native or two-way Excel integration?

No. There is no native or synced Excel connection. Workbooks connect through Zapier or Make, and each Zap runs one way, from its trigger to its steps, so editing a row doesn't change a quote. The Spreadsheet block is a copy of your workbook inside the quote, not a live link to the file.

Can I use my Excel pricing calculator inside a QuoteCloud quote?

Yes. Import the .xlsx into a Spreadsheet block, on Essentials and up. It supports tabs and functions such as IF, ROUNDUP and XLOOKUP, any cell can set a price line's description and unit price, and the price table total can come back into a cell. Macros and pivot tables don't come across.

Where does my workbook need to be for the Zaps?

In Microsoft 365: Zapier's Excel app works on workbooks stored in OneDrive for Business, a SharePoint site or a Group Drive. For SharePoint it lists folders in the default site only. The table steps, such as Add Row to Table and New Row in Table, also need the data formatted as an Excel table.

Which QuoteCloud plan do I need?

Essentials or higher. The Spreadsheet block and QuoteCloud's Zapier app are both on Essentials and up. Zaps that add or update rows carry no QuoteCloud fee; documents created through Zapier or the API carry US$2.00, $1.80 or $1.60 each by volume. You also need a Zapier plan for your task volume.
