Getting started with QuoteCloud

What QuoteCloud with PayPal can and can't do

What happens on the document, what PayPal does in its checkout, what a Zap adds, and the questions we're still confirming.

QuoteCloud's direct PayPal connection puts a PayPal button in quotes and proposals: after signing, clients pay a deposit, the full amount or an instalment plan with PayPal on the same page, and the document is marked paid. PayPal runs the checkout and sets its fees. Zapier payment triggers pass payments on to other apps.

What can QuoteCloud do with PayPal?

  • Connect directly

Link your PayPal account in QuoteCloud. No Zap is needed to take a payment.

  • Take a payment after signing

A PayPal button in the quote or proposal; the client signs, then pays on the same page.

  • Deposit or full amount

A part payment as a percentage or a fixed amount, and the client can choose Pay deposit or Pay in full.

  • Instalment plans

An instalment plan instead of a one-time payment, chosen when you add the button.

  • Payment reminders

Automated payment reminders, so you chase less by hand.

  • Mark it paid

The payment joins the document's history, and fully paid documents show under the Paid filter.

What PayPal does, not QuoteCloud

  • The checkout and the details

The client pays in PayPal's checkout, so their card and bank details stay with PayPal. QuoteCloud doesn't store card details.

  • How each client can pay

PayPal decides which ways to pay a buyer sees: their balance, a linked card or bank, PayPal Credit or pay-later options where PayPal offers them.

  • Fees and settlement

PayPal charges its own fees, which vary by country and currency, and settles the money on its own timing.

  • Currencies and conversion

PayPal lists the currencies it supports and converts between them at its own rate, including a spread or fee.

What it doesn't do

  • Collect a balance by itself

A deposit takes the amount you set. The balance is yours to collect, with your terms written into the document.

  • Ask for money before signing

The payment step comes once the document is signed. An unsigned or expired document asks for no payment.

  • Choose options for the client

Neither PayPal nor a Zap ticks options or chooses content blocks. The client's choices set the total.

Where Zapier and Make come in

  • Zapier: after the payment

Document Part Paid, Document Paid and Document Payment Event start Zaps in Slack, Google Sheets, Xero, QuickBooks Online and more. Zapier app: Essentials and up. After the payment.

  • Make: bring your own

Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own modules for the other app. No ready-made QuoteCloud app on Make.

Not confirmed yet

These are the questions we haven't been able to confirm from the User Guide or the live pages. We say so rather than guess: book a demo if one of them matters to you.

  • How an instalment plan's number of payments and timing are set, and how later payments are taken.
  • How automated payment reminders are set up, and when they're sent.
  • Where the PayPal account is linked, and whether each team can link its own account, as it can for Stripe.
  • Which currencies a document's PayPal button can charge in.
  • Whether one document can offer both a Stripe card payment and the PayPal button.
  • How a document with only a deposit paid shows on the dashboard.
  • Whether PayPal's own pay-later options appear in the checkout opened from a QuoteCloud document.

Questions about the limits

Does QuoteCloud store my clients' PayPal or card details?

No. The client pays in PayPal's checkout, so their card, bank and PayPal login details stay with PayPal. QuoteCloud doesn't store card details; it records that the document has been paid.

Can a client pay before signing?

No. The payment step comes once the document is signed: the client signs, then selects the PayPal option and pays on the same page. A document that expires unsigned asks for no payment.

Does QuoteCloud collect the balance after a deposit?

Not by itself. A deposit takes the part payment you set. State your terms for the balance in the document and collect it your usual way; QuoteCloud's automated payment reminders can help you chase less.

Does the PayPal connection need Zapier?

It's a direct connection: you link your PayPal account in QuoteCloud and the payment happens on the document, with no Zap. Zapier is optional, for passing payments on to other apps.
