Getting started with QuoteCloud

Connect ServiceM8 to QuoteCloud, job to Work Order

Run your jobs in ServiceM8 and send the bigger quotes from QuoteCloud: three systems to choose from, add-ons to tick, job photos, a signature and a deposit. When the client signs, a Zap creates the Work Order job in ServiceM8.

QuoteCloud connects to ServiceM8 through QuoteCloud's Zapier app, on the Essentials plan and up, or through Make as a bring-your-own setup. A ServiceM8 job can start a QuoteCloud proposal, and a signed or paid proposal can create the ServiceM8 job at Work Order. ServiceM8's Zapier app creates jobs and clients; it doesn't update existing jobs.

Illustration with sample data: on the left a generic ServiceM8 job for Hannah Whitfield, hot water, 18 Kestrel Way; on the right QuoteCloud's job quote RT-4127 from Ridgeline Trade Services; a thread joins them (Zapier). Six jobs play in turn, the data riding the thread: 1, Quote: Mia puts job 2071 in the QuoteCloud proposals queue and a Zap drafts RT-4127 from the template (Job Queued then Create Document). 2, Propose, in QuoteCloud: Mia adds job photos; Hannah picks the 270 L heat pump and ticks the safe tray. 3, Sign and pay, in QuoteCloud: Hannah signs on site and pays the $1,523.94 deposit through Stripe. 4, Work Order: a Zap creates job 2072 in ServiceM8 at Work Order with the address and the quote reference (Document Signing Complete then Create Job). 5, Notify: one more step tells the office in Slack or Microsoft Teams, so they close the enquiry job (Send Channel Message). 6, what if the quote expires instead: the office gets a message to call Hannah (Document Expired then Send Channel Message). It ends on the signed quote and the Work Order job.

What can QuoteCloud do with a ServiceM8 job?

Six steps from the enquiry to the booked job. Four are Zaps; two happen inside the QuoteCloud proposal itself.

  1. Draft from the job

Put a job in a queue, or log it in a job category, and a Zap drafts the proposal from your template with the job's details.

    • Job Queued
    • Create Document
  2. Offer real choices

Good, better and best systems, add-ons to tick, job photos, a marked-up photo and a plan, all in one document.

  3. Sign and pay

The client signs on your phone or theirs, then pays the deposit in the same document through Stripe or PayPal.

  4. Work Order

When every signer has signed, a Zap creates the ServiceM8 job at Work Order with the client, address and quote reference.

    • Document Signing Complete
    • Create Job
  5. Book on deposit

Or wait for the money: the job is created only once the deposit is paid in the quote.

    • Document Part Paid
    • Create Job
  6. Clients matched

New ServiceM8 clients are found or created in QuoteCloud, and new QuoteCloud contacts become ServiceM8 clients.

    • New Client
    • Find or Create Contact

ServiceM8's Zapier app creates jobs and clients; it can't change a job that already exists. What that means for the job you started from.

What moves between ServiceM8 and QuoteCloud?

Job details go into the proposal. A signed or paid proposal comes back as a new job. The client's choices stay in the proposal.

  • From the job into the proposal

The job's number, address and description, and the staff member, mapped into your template's data items, when your trigger's test data shows them.

  • What stays with people

A Zap never ticks options or chooses content blocks: the client chooses. Scheduling, job cards and invoicing stay in ServiceM8.

What it can and can't do

Do I quote in ServiceM8 or QuoteCloud?

Both, for different jobs. ServiceM8 has its own quotes, with quote options and online acceptance. QuoteCloud is for the proposals that need more.

  • Keep it in ServiceM8

Call-outs, repairs and small fixed-price jobs you price from your ServiceM8 price list and the client accepts there. The quote stays on the job.

  • Send it from QuoteCloud

Replacements and installs with real choices: good, better and best systems, add-ons, photos and plans, more than one signer, and a deposit paid in the document.

Zapier or Make: how do you want to build it?

There's no direct ServiceM8 connection on any plan. Both routes reach the same QuoteCloud events and actions.

  • Zapier: QuoteCloud's Zapier app

Ready-made QuoteCloud triggers and actions beside ServiceM8's own Zapier app: the recipes on this site. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

    Connect it, step by step
  • Make: bring your own

Connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's ServiceM8 modules. No ready-made QuoteCloud app on Make: you design each step.

ServiceM8 questions, answered

How does QuoteCloud connect to ServiceM8?

Through Zapier or Make, with no direct connection. QuoteCloud's Zapier app, on Essentials and up, sits beside ServiceM8's own Zapier app: a Zap starts from one event, such as a ServiceM8 job being queued or a QuoteCloud quote being signed, and runs steps in the other app. Make works as a bring-your-own setup with QuoteCloud's API.

Can a signed QuoteCloud quote create a ServiceM8 job?

Yes. QuoteCloud's Document Signing Complete trigger fires once every signer has signed, and ServiceM8's Create Job action creates the job at the status you choose, such as Work Order, with the customer, job address, description, job contact and the quote's reference mapped across.

Can the Zap update the ServiceM8 job the quote started from?

No. ServiceM8's Zapier app has two actions, Create Job and Create Client, and no search, so a Zap can't find, update, add a note to or attach a file to an existing job. Teams either create the Work Order job from the quote, or let the office update the original job. Make with ServiceM8's own API is the build-your-own alternative.

Which QuoteCloud plan do I need for ServiceM8?

Essentials or higher: Zapier and API access are on QuoteCloud's Essentials plan and up, as are payments and custom data items. Documents created through Zapier or the API carry a per-document fee of US$2.00, $1.80 or $1.60 by volume. Zaps that only create ServiceM8 jobs or clients don't create documents.

Why not just quote in ServiceM8?

For many jobs you should. ServiceM8 has its own quotes, with quote options and online acceptance, and the quote stays on the job. QuoteCloud earns its place on the bigger jobs: good, better and best systems with add-ons in one price table, photos and plans, several signers and a deposit paid in the document.
