Getting started with QuoteCloud

Good, better, best proposals for ServiceM8 jobs

Some jobs need a proper proposal: three systems side by side, add-ons the client ticks, photos from the visit, a plan of where it all goes, and a deposit paid when they sign. QuoteCloud builds that from a template; ServiceM8 keeps the job.

When a ServiceM8 job needs a bigger quote, a Zap drafts a QuoteCloud proposal from your template. The template holds good, better and best options as a single choice, add-ons the client can tick, job photos, a marked-up photo and a plan page. The client signs and pays the deposit in the same document, through Stripe or PayPal.

Three pages of Halden Climate Co.'s sample proposal HC-5124 for Arjun Rao, fanned out and taking turns at the front. Page 1: the cover and three ways to do it, two standard splits, two premium splits (recommended) and a multi-split on one outdoor unit. Page 2: a marked-up photo of where the outdoor unit goes and photos from the visit. Page 3: the price table, $7,076 plus tax, and Arjun's signature with a $3,891.80 deposit paid through PayPal.

When does a ServiceM8 job need more than a quote?

ServiceM8 has its own quotes, with quote options and online acceptance, and for a repair or a like-for-like swap they're the quickest way to a yes. Arjun Rao's call to Halden Climate Co. was a different kind of job: two rooms, three sensible ways to do it, a choice of outdoor unit position and a few extras worth explaining.

Jess Moreau logged it in ServiceM8 under the 'Split system installs' category. That category starts a Zap, so the QuoteCloud proposal was drafted before Leon Tsui arrived for the site visit. Leon added his photos and a marked-up photo of the side path from his phone, and sent it that morning.

  • Good, better and best options sit side by side, and the one Arjun picks sets the price table.
  • Add-ons are optional lines he ticks himself, and the totals and deposit follow.
  • He signs and pays the deposit in the same document, by PayPal. Halden's office sees it signed and paid.

What's in a proposal for a big job?

HC-5124, part by part. Choose a different option or tick an extra and the totals follow.

What goes back to ServiceM8 when he signs?

A new job at Work Order, if you build the Work Order Zap: the customer, the job address, a description with the quote's reference, and the job contact. The chosen option, the ticked extras and the photos stay in the signed proposal.

ServiceM8's Zapier app can't change job 3317 itself, so Halden's office closes the enquiry job when the Work Order job arrives.

Build the template once

Every proposal the Zap drafts starts from it, so the work goes into the template.

  • Packages

Your good, better and best options with what each includes, and the one you recommend marked.

  • Price table

Labour, parts and installation from your product library, plus optional extras the client can tick.

  • Photos and plans

Gallery and image blocks the tech fills on site, and a page for a plan or drawing.

  • Deposit

A payment amount on the document, as a percentage or a fixed amount, paid through Stripe or PayPal after signing.

  • Data items

Job number, job address and what the client asked for, for the Zap to fill.

  • Signers

One signer or several, such as both homeowners, with a certificate of authenticity on every signed document.

Questions about options proposals

Can ServiceM8 quotes have options too?

Yes. ServiceM8's own quotes support quote options and online acceptance, and for many jobs that's enough. Teams bring in QuoteCloud for the bigger proposals: options with what each includes, extras in one price table, photos, a plan page, several signers and a deposit paid in the document.

Can the client choose an option and tick extras themselves?

Yes. Good, better and best options work as a single choice that sets the price-table line, and extras are optional lines the client ticks. The totals and the deposit update as they choose. A Zap never ticks options or chooses content blocks for them.

Can the client pay a deposit when they sign?

Yes, on Essentials and up. Connect Stripe or PayPal, set the payment on the document as a percentage or a fixed amount, and the client pays straight after signing, in the same document. A Zap can then create the ServiceM8 job once the deposit is paid.

Do the chosen option and photos go to ServiceM8?

Not as such. The Work Order Zap creates a ServiceM8 job with the customer, address, job contact and a description with the quote's reference. The chosen option, extras and photos stay in the signed QuoteCloud proposal, which the team opens from the reference.
