Getting started with QuoteCloud

What QuoteCloud with ServiceM8 can and can't do

ServiceM8 and QuoteCloud meet through Zapier, or through Make if you build your own. Here's what the Zaps on this site do, where ServiceM8's Zapier app stops, and what we haven't confirmed yet.

Through Zapier, a ServiceM8 job can draft a QuoteCloud proposal, a signed or paid proposal can create a ServiceM8 job at Work Order, and clients can be copied one way. ServiceM8's Zapier app can't update, note or attach to an existing job, or search for one. Make with ServiceM8's API can, as a bring-your-own build.

What can the ServiceM8 Zaps do?

Each one a Zap built with QuoteCloud's Zapier app, on Essentials and up.

  • Proposals from jobs

Job Queued or New Job, then Create Document: a draft from your template with the job's details in data items.

    Proposals from jobs
  • Work Order on signature

Document Signing Complete, then Create Job at Work Order with the customer, address, job contact and reference.

    Signed to Work Order
  • Job on deposit

Document Part Paid, then Create Job: only paid jobs reach the job list.

    Book on deposit
  • Clients, one way

New Client, then Find or Create Contact; or New Contact Created, then Create Client.

    Clients matched
  • Tell the office

Any QuoteCloud event, then a Slack or Microsoft Teams message naming the quote and the job.

    Status, notes & files
  • File the signed PDF

Generate or Fetch Document PDF Link, then upload it straight away to a shared Google Drive folder.

    Google Drive filing

Where does it stop?

None of these are bugs. Knowing them up front saves an afternoon of testing.

  • No updates to existing jobs

ServiceM8's Zapier app creates jobs and clients only. It can't change a job's status, add a diary note or attach a file.

  • No look-ups in ServiceM8

There's no ServiceM8 search in Zapier, so a Zap can't find a job or check whether a client exists. Create Client always adds a new client.

  • A Zap doesn't choose for the client

Create Document fills data items and price-table rows. It never ticks options or chooses content blocks.

  • No line items on the job

Create Job has no line-item or material fields. The job gets a description and the quote's reference.

  • Each Zap runs one way

From its trigger to its steps. Running both client Zaps makes duplicates, because ServiceM8 can't be searched.

  • Nothing moves without a Zap

There's no direct ServiceM8 connection on any plan: ServiceM8 hears about a quote only when a Zap or a Make scenario tells it.

Zapier or Make: which route suits you?

Both reach the same QuoteCloud events and actions. The difference is what you can do on the ServiceM8 side, and how much you build.

  • Zapier: ready-made steps

QuoteCloud's triggers and actions beside ServiceM8's own Zapier app: create jobs and clients, no code. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

    Connect it, step by step
  • Make: bring your own

Make's built-in OAuth to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's ServiceM8 modules or ServiceM8's own API, which can update jobs, add notes and attach files. You design, test and maintain each step.

What we haven't confirmed yet

We haven't confirmed which fields QuoteCloud's triggers carry, such as a document's data items, the total, or the option the client chose. The recipes map the title, reference, recipient and data items, and tell you to check your Zap's test data before relying on them.

On the ServiceM8 side, we read the field lists Zapier publishes, not the trigger outputs. Check what Job Queued and New Job send in your own test data, especially the client's email. For Make, the per-document fee isn't stated either way: if your scenarios will create documents, ask us for the fee that applies.

Questions about the limits

Is there a direct ServiceM8 integration?

No. QuoteCloud has no direct ServiceM8 connection on any plan. ServiceM8 connects through Zapier, with QuoteCloud's Zapier app on Essentials and up, or through Make as a bring-your-own setup with QuoteCloud's API.

Can a Zap move a ServiceM8 job between statuses?

Only when it creates the job. Create Job sets the status of the new job, such as Work Order, but ServiceM8's Zapier app has no action that updates an existing job's status. Updating the original job takes a person, or a Make scenario using ServiceM8's API.

Can ServiceM8 start a QuoteCloud quote with the client's choices already made?

No. A Zap fills the template's data items and can add price-table rows, but it never ticks options or chooses content blocks. The client makes the choices when they open the proposal.

Can a completed ServiceM8 job trigger anything in QuoteCloud?

ServiceM8's Job Completed trigger exists in Zapier, so a Zap could, for example, draft a follow-up document from a template when a job is completed. We haven't built a recipe for it on this site, and each document a Zap creates carries the per-document fee.

Does Make let me do more with ServiceM8?

It can, if you build it. ServiceM8's own API has calls to update a job, add a note and attach a file, which a Make scenario can use beside QuoteCloud's API. There's no ready-made QuoteCloud app or template on Make, and we haven't tested such a scenario.
