Getting started with QuoteCloud

Connect simPRO to QuoteCloud, step by step

simPRO connects to QuoteCloud through Zapier, one Zap per job. Here's how to set up the first one, the tender-to-job Zap, how a Zap finds the right customer, site and job, and where Make fits if your team builds its own.

simPRO connects to QuoteCloud through QuoteCloud's Zapier app, on Essentials and up. In Zapier, create a Zap, pick a trigger such as QuoteCloud's Document Signing Complete, sign in to QuoteCloud and simPRO, add simPRO steps such as Find or Create Site and Create Service Job and map the fields. Test with a test customer, then turn it on.

Step 1: QuoteCloud's Document Signing Complete trigger; the test found HC-C-0731, signed by Hamish Grant and Leah Okonjo. Step 3: simPRO's Find or Create Site on the Site data item, for the customer found in step 2; it found 42 Orchard Lane. Step 4: simPRO's Create Service Job with the customer, the site, the reference as the order number and the title as the name; it created job 30455.

How do I connect simPRO to QuoteCloud?

Through Zapier, one Zap per job. Here's the tender-to-job Zap; every recipe on this site is built the same way.

  1. Check your plans

QuoteCloud's Zapier app is on Essentials and up. You also need simPRO and a Zapier plan that covers the tasks your Zaps will run.

  2. Create a Zap, pick the trigger

Choose the app the event happens in, such as QuoteCloud's Document Signing Complete or simPRO's Quote Updated.

  3. Sign in to both apps

Zapier asks you to connect QuoteCloud and simPRO the first time you use each. Use accounts that can see the templates, customers, sites and jobs.

  4. Add steps, map fields

Add each step, such as Find or Create Site then Create Service Job, and map fields from earlier steps. The field map lists them.

  5. Test, then turn it on

Test each step with a test customer, a test site and an @example.com contact, check both apps, then switch the Zap on.

Step 1: the trigger, and its test data

Choose QuoteCloud, then Document Signing Complete. Zapier fetches a recently signed document as test data.

Check it has what the simPRO steps will search on: the Prepared for and Site data items, the reference and the title. If a field is missing, sign a complete test document from the right template and load fresh data.

Steps 2 and 3: find the customer, then the site

simPRO keeps sites under customers, so find the customer first and pass its ID into Find or Create Site's Customers field. The numbers show which step each value comes from.

  • Find or Create adds a customer or site only when the search finds none: spell names as simPRO has them.
  • Use Find or Create Individual Customer for homeowners.
  • Renewals and variations use Find instead, because the customer and job already exist.

Step 4: Create Service Job, mapped

Choose simPRO and Create Service Job. Map the customer's and the site's IDs from steps 2 and 3, the document's reference as the order number and its title as the name. Order Number is what later Zaps search on with Find Job.

Then add Generate or Fetch Document PDF Link and Attach File to Job straight after, in the same Zap: the PDF link only works for a short time.

Can I connect simPRO through Make instead?

Yes, if your team builds its own. Make is a bring-your-own route: you add a connection to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario. The simPRO side uses Make's own tools for simPRO, or simPRO's API, whichever your Make account offers.

There is no ready-made QuoteCloud app or list of modules on Make, so you design each step yourself. The recipes on this site are shown as Zaps; the same QuoteCloud events and actions are there when you build them in Make.

Before you start

  • Essentials for Zapier

QuoteCloud's Zapier app and API, custom data items and QuoteCloud Payments are on Essentials and up.

  • A Zapier plan

Zapier bills separately: choose a plan that covers the tasks your Zaps will run each month.

  • Test records only

A test customer and site in simPRO, a test template and @example.com contacts, so nothing reaches a real client or crew.

  • Names that match

Customer and site names in your templates' data items spelled exactly as simPRO has them.

Set-up questions

Is there a simPRO setting inside QuoteCloud?

No. QuoteCloud has no direct or native simPRO connection on any plan. simPRO connects through Zapier, with QuoteCloud's Zapier app on the Essentials plan and up, or through Make as a bring-your-own setup with QuoteCloud's API. Each job, such as opening a job on signature, is a Zap you build.

Do I need a developer to connect simPRO?

No. Zapier is built for people who aren't developers: you pick a trigger, steps and the fields to map, and both QuoteCloud and simPRO have Zapier apps. A developer who wants more control can call QuoteCloud's API from their own code or a Make scenario instead, on the same Essentials plan.

Which accounts should I connect in Zapier?

Connect QuoteCloud and simPRO with accounts that can see the templates, documents, customers, sites and jobs the Zap uses. Many contractors use a shared admin account so Zaps keep running when someone leaves. Each Zap runs one way, from its trigger to its steps.

How do I test without opening real jobs?

Use a test customer and test site in simPRO, a test template and contacts at @example.com addresses. Zapier tests run against your real apps: testing Create Service Job opens a real job in simPRO, so keep tests few, on test records, and archive the test jobs afterwards.
