Getting started with QuoteCloud

A Friday digest of expired and lost quotes in Slack

Instead of a post every time a quote lapses, Zapier's digest collects expired and lost quotes through the week and posts the list once, so Monday starts with the follow-up calls.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up: Document Expired adds each expired quote to a Digest by Zapier digest, released every Friday afternoon, and Slack's Send Channel Message posts the list. A second Zap on Document Lost can add lost quotes. QuoteCloud's Expiring Soon filter shows what's about to lapse.

Two overlapping panels with sample data. Behind, Fernleigh & Sloane Property's documents in QuoteCloud filtered by Expiring Soon: listing proposals for 27 Myrtle Street, 4/16 Fig Tree Lane, 52 Corella Close and 9 Quoll Track, with days left. In front, an illustration of a team chat channel, #listings: a Zap's Friday 4 pm digest listing three proposals that expired or were lost this week, then the principal asking the agent to call the Okonkwos on Monday, and the agent's reply.

Why a digest instead of a post for each one?

Fernleigh & Sloane Property sends listing proposals that are valid for 14 or 21 days. Most are signed; some expire while the vendors think it over, and a few are lost to another agency.

A post every time one lapses is noise. One list on Friday afternoon is a meeting agenda: the principal, Laura Sloane, reads it, picks the ones worth a second try, and the agents start Monday with the calls. Before a proposal expires, QuoteCloud's Expiring Soon filter already shows the team what's about to lapse.

  • Recipe: every expired quote is added to a weekly digest, posted on Friday at 4 pm.
  • Optional: a second Zap adds lost quotes to the same digest.
  • What's still live but close to expiry: QuoteCloud's Expiring Soon filter.

How does Zapier collect expired quotes into one post?

Digest by Zapier holds each entry until the time you set, then the next step runs once.

To add lost quotes, build a second Zap: Document Lost, then Append Entry and Schedule Digest with the same digest title. Test that both feed one list.

FS-1431 for Sam and Ivy Okonkwo expires on Saturday 21 November and FS-1424 for Ruth Calder on Tuesday 24 November; each adds a line to the digest. At 4 pm on Friday 27 November, #listings gets one post with all of the week's lines.

Result

One post a week, with every expired quote on it, at the time the team plans next week.

Variations on the digest

  • One digest per team

Use a different digest title and channel for each office or desk, with a Filter by Zapier step on the owner.

  • Monday morning instead

Release the digest on Monday at 8 am if your team plans the week then. The schedule is set in the digest step.

  • Prefer Microsoft Teams?

The same QuoteCloud triggers and digest work with Teams' own Zapier actions: QuoteCloud with Microsoft Teams.

  • Build it in Make instead

Bring your own: connect Make to QuoteCloud with Make's built-in OAuth, collect expired documents from QuoteCloud's API or Zapier endpoints, and post the list with Make's own Slack modules.

Turn lapsed quotes into Monday's calls

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and set up a test digest.

Build the expired digest in five steps

  1. Start with Document Expired

In Zapier, choose QuoteCloud and the trigger, and test it with a document that has expired.

  2. Add the digest step

Add Digest by Zapier's Append Entry and Schedule Digest, name the digest and write one line per quote.

  3. Set the schedule

Release it weekly, on Friday afternoon, or whenever your team plans the week.

  4. Post the list

Add Slack's Send Channel Message after the digest step, with the digest's content as the message.

  5. Add lost quotes

Build a second Zap on Document Lost that appends to the same digest, test both, then turn them on.

Questions about the expired digest

Can Slack tell us when a QuoteCloud quote expires?

Yes, with a Zap. QuoteCloud's Document Expired trigger fires when a document expires. You can post each one with Send Channel Message, or, as on this page, collect them with Digest by Zapier and post one list a week.

Can Slack warn us before a quote expires?

Use QuoteCloud for that. Its Expiring Soon filter lists documents nearing their expiry date. A Slack list of quotes about to expire would need a scheduled Zap to read expiry dates from QuoteCloud, which we haven't confirmed, so this page posts what has expired.

Can lost quotes go in the same digest?

Yes. Build a second Zap that starts with QuoteCloud's Document Lost trigger and appends to a digest with the same title. Test it once, so you can see both kinds of line in one Friday post before you rely on it.

Does the digest need a paid Zapier plan?

Digest by Zapier is one of Zapier's built-in tools, and each Zap step uses tasks on your Zapier plan. Check Zapier's plans for your volume. On QuoteCloud's side, the Zapier app is on Essentials and up, and these Zaps carry no per-document fee.
