Getting started with QuoteCloud

Message the owner when a client opens or comments

Two Zaps send the quote's owner a direct message in Slack: one the first time a client opens it, one when someone asks a question in the document.

Build two Zaps with QuoteCloud's Zapier app, on Essentials and up. Recipient First Viewed Document fires when a recipient first opens a quote; Document Comment Event fires on comments. Slack's Find User by Email finds the owner and Send Direct Message tells them, so the follow-up call or the reply lands while the client is still reading.

Two overlapping panels with sample data. Behind, the activity on Ambergrove Digital's retainer proposal AD-R-2207 in QuoteCloud: sent to Elena Marsh and Daniel Kwan at Kinroy Outdoor Co., opened by Elena on Tuesday 20 October at 2:48 pm, a comment from Daniel asking whether paid search can start before the summer sale, and Rina Takahashi's reply. In front, an illustration of a team chat direct message to Rina: a Zap's message that Elena opened the proposal, then one with Daniel's comment and a link to reply in QuoteCloud.

Why send opens and comments to the owner?

Ambergrove Digital's account director, Rina Takahashi, sends retainer proposals of $8,000 to $10,000 a month. The best time to call is when the client has just opened the proposal; the worst is two days later, after they've shown it to someone else.

QuoteCloud already shows who opened a document and when. A Zap puts that in front of the one person who should act on it, as a direct message, instead of in a busy channel where a teammate might take the call or nobody does.

  • Recipe 1: a recipient's first open becomes a direct message to the owner.
  • Recipe 2: a new comment in the document becomes a direct message, with the question in it.
  • Replies still happen in the document, where the client sees them.

How does a first open become a direct message?

Find the owner in Slack, then message them.

If your trigger's test data doesn't include the owner's email, send the message to a fixed person, or add Paths by Zapier with one path per rep.

Rina sends AD-R-2207 to Elena Marsh and Daniel Kwan on Tuesday morning. Elena opens it at 2:48 pm, and a minute later Rina has a direct message saying so, with a link back to the proposal. She calls at three, while Elena is still reading the channel scopes.

Result

The owner, and only the owner, hears about each recipient's first open within a minute.

At 3:31 pm Daniel, Kinroy's finance director, asks in the proposal whether paid search can start before the summer sale on 26 December. Rina reads it in Slack, replies in the document that campaigns go live in week three, and both sign the next morning.

Result

A client's question reaches the person who can answer it, while the proposal is still open on their screen.

Variations on these recipes

  • To a channel instead

Swap Send Direct Message for Send Channel Message to post opens to #sales, as a shared view of what clients are reading. Keep comments as direct messages.

  • Only the first recipient

The trigger fires for each identified recipient. If two people get the quote and you want one message, filter on the recipient's email or role.

  • Prefer Microsoft Teams?

The same QuoteCloud triggers work with Teams' own Zapier actions: QuoteCloud with Microsoft Teams.

  • Build it in Make instead

Bring your own: connect Make to QuoteCloud with Make's built-in OAuth, take the view and comment events from QuoteCloud's API or Zapier endpoints, and send them with Make's own Slack modules.

Build the first-open Zap in five steps

  1. Start with Recipient First Viewed Document

In Zapier, choose QuoteCloud and the trigger, then test it with a quote you've sent and opened as the recipient.

  2. Check the owner's email

Look for the document owner's email in the test data. If it isn't there, plan a fixed person or one path per rep.

  3. Find the owner in Slack

Add Slack's Find User by Email, searching on that email.

  4. Send the message

Add Send Direct Message to the user the search found, with the recipient's name, the time and the document number.

  5. Test, then turn it on

Open a test quote sent to an @example.com address, check the direct message arrives, then switch the Zap on.

Questions about open and comment alerts

Can Slack tell me when a client opens my quote?

Yes, with a Zap. QuoteCloud's Recipient First Viewed Document trigger fires the first time an identified recipient opens the document. Slack's Send Direct Message can tell you, or Send Channel Message can post it to a team channel. QuoteCloud's own activity always shows every view as well.

How does the message reach the right rep?

With Slack's Find User by Email, searching on the document owner's email, when the trigger's test data includes it. If it doesn't, send every message to one person, or use Paths by Zapier with one path per rep. Each rep's Slack email must match the one used in the Zap.

Can I reply to a comment from Slack?

Reply in the document. The Slack message carries the comment and a link back, and your reply in QuoteCloud is what the client sees, beside the part of the document they asked about. Keeping the conversation in the document also keeps the record in one place.

Will resolving a comment send another message?

Only if you let it. Document Comment Event fires when a comment is created, resolved or reopened. Add a Filter by Zapier step that continues only for new comments, using the field in the trigger's test data that says which event it was.
