Test and troubleshoot the Slack Zaps
Test each Zap with a sample quote and a private channel first, then fix the few things that usually go wrong.
- 5/5 on G2
- 4.2 on Capterra
- Building QuoteCloud since 2013
Test every Zap with a sample quote sent to an @example.com address and a private test channel. Most problems are one of five: the Zap is off, the trigger never fired, Find User by Email didn't match the owner, Recipient Signed Document posted once per signer, or a field wasn't in the trigger's test data.

How do I test the Slack Zaps?
- 1
Make a test channel
Create a private channel, such as #zap-test, and point every new Zap at it first.
- 2
Send a sample quote
Send a quote to an @example.com address you can open, with a fictional client name.
- 3
Act as the client
Open it as the recipient, comment, sign and, for payment Zaps, use your gateway's test mode if you have one.
- 4
Check each post
Each moment should post once, within a few minutes, to the right place, with no blank fields.
- 5
Move to the real channel
Change the channel to #deals or #finance, or the user to the real owner, and turn the Zap on.
The usual problems, and the fix
Nothing posts
Check the Zap is on and look at its history in Zapier. For first-open Zaps, open the quote as the recipient: the trigger is for identified recipients.
The wrong person gets it
Find User by Email needs the rep's Slack email to match the email in QuoteCloud. Zapier recommends searching by email or ID, not by name.
Two posts for one deal
Recipient Signed Document fires for every signer. For a channel, use Document Signing Complete, which fires once when every signer has signed.
Blank fields in the message
The field wasn't in the trigger's data for that document. Re-test with a document that has it, or use fixed text.
The private channel isn't listed
Check the Slack account you connected in Zapier is in that channel, then refresh the channel list in the step.
Too many messages
Add Filter by Zapier's Only continue if..., send owner news as direct messages, and digest what can wait: noise control.
What a good test leaves behind
After testing the win Zap, the test channel should have one post, with the title, the signers, the total and the owner, and nothing else.
If a field is blank or the wording is off, change the step and test again before the Zap points at #deals. People notice a broken message in a busy channel.

Why keep test data fictional?
Tests talk to the real apps. A test of Send Channel Message posts a real message, and anyone in that channel reads it.
Use a fictional client, an @example.com address and a private test channel, so a test never looks like a real win, and never puts a real client's name or amount in front of the wrong people.
Troubleshooting questions
Why didn't my first-open Zap post anything?
Usually because the quote wasn't opened by an identified recipient. Recipient First Viewed Document fires when a recipient you sent the document to first opens it, so open your test quote as that recipient, from the email it was sent to. Then check the Zap is on and look at its history in Zapier.
Why did one signed deal post twice?
The Zap probably uses Recipient Signed Document, which fires once per signer. A document with two signers posts twice. For a wins channel, use Document Signing Complete, which fires once, when every required signature is complete.
Why does the direct message go to the wrong person?
Find User by Email matches on the email address. If a rep's Slack email differs from the one used in QuoteCloud, the search finds nobody or someone else. Use the same email in both, or send to a fixed person.
