Getting started with QuoteCloud

Post every signed deal to your Slack wins channel

When the last signer signs, a Zap posts the deal to #deals in your team's own words, and a second Zap can add the deposit when it lands.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up. QuoteCloud's Document Signing Complete trigger fires once every signer has signed, and Slack's Send Channel Message posts the deal to the channel you choose, with the fields you map. A second Zap on Document Part Paid can post the deposit when the client pays it.

Two overlapping panels with sample data. Behind, Fernleigh & Sloane Property's listing proposal FS-1427 for 14 Linden Crescent, signed by both vendors, Claire and Tom Whitaker, with the $4,070.00 campaign deposit paid through Stripe. In front, an illustration of a team chat channel, #listings-won: a Zap's post saying both vendors signed, with the agent, the method and the campaign total, a second post for the deposit, and the principal's reply.

Why post wins to a Slack channel?

At Fernleigh & Sloane Property, a signed listing proposal starts a lot of work: photography, the drone, the copywriter, the signboard. Sales agent Nina Castellan often has the vendors sign at their kitchen table in the evening, and the rest of the office hears about it the next morning.

A wins channel fixes that. The moment both vendors sign, a Zap posts the listing to #listings-won, so the people who start the campaign see it first, and the principal can say well done while it still means something.

  • Recipe 1: every fully signed document is posted to the wins channel.
  • Recipe 2: the deposit paid inside the document follows as its own post.
  • Opens and comments go to the owner instead: direct messages.

How does a signed quote become a post in #deals?

One trigger, an optional filter, one message.

ZapSigning complete: post the win

    • Signers

  2. Only if Filter by ZapierFilterOnly continue if... the template is your listing proposal (optional), so other signed paperwork stays out of the channel.
  3. Then SlackActionSend Channel MessageTo #listings-won, written the way your team talks.Mapped in

    • Message Text

Use Document Signing Complete, not Recipient Signed Document, for a wins channel: the second fires for every signer, so a two-signer deal would post twice.

Claire Whitaker signs FS-1427 at 7:58 pm on Saturday, and Tom signs at 8:06 pm. One minute later #listings-won has the post: both vendors signed, 14 Linden Crescent, Nina's name, an auction in four weeks and the campaign total.

Result

One post per signed deal, as soon as the last signer signs, in the channel the whole office reads.

For payment in full use Document Paid. Finance usually wants these in their own channel: see payments to finance.

The Whitakers pay the $4,070.00 campaign deposit through Stripe inside the proposal, straight after signing, and a second post confirms it. Nobody has to check the payments screen before booking the photographer.

Result

The win and the money arrive in the same channel, as two short posts.

Variations on the win post

  • Only the big ones

Add a Filter by Zapier step so only deals over an amount you choose are posted, and smaller wins stay with their owner. More in noise control.

  • Tell the delivery team too

Add a second Send Private Channel Message step to the same Zap, so onboarding or operations can start the job from the same moment.

  • Prefer Microsoft Teams?

The same QuoteCloud trigger works with Teams' own Zapier actions: QuoteCloud with Microsoft Teams.

  • Build it in Make instead

Bring your own: connect Make to QuoteCloud with Make's built-in OAuth, take the signing event from QuoteCloud's API or Zapier endpoints, and post with Make's own Slack modules.

Make the next win everyone's news

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and post a test win to a private channel.

Build the win-celebration Zap in five steps

  1. Pick the channel

Create #deals or #listings-won in Slack, or choose an existing channel the whole team reads.

  2. Start with Document Signing Complete

In Zapier, choose QuoteCloud and the trigger, then test it with a document every signer has signed.

  3. Filter, if you need to

Add Filter by Zapier's Only continue if... for the template or the amount you celebrate.

  4. Write the post

Add Slack's Send Channel Message, choose the channel and write the message with the title, signers, total and owner from the trigger.

  5. Test, then turn it on

Sign a test quote sent to an @example.com address, check the post in a private test channel, then point it at the real one.

Questions about win posts

Can Slack announce when a QuoteCloud quote is signed?

Yes, with a Zap. QuoteCloud's Document Signing Complete trigger fires once every signer has signed, and Slack's Send Channel Message posts to the channel you choose. You write the message and drop in fields such as the document title, the signers and the total.

Why not use Recipient Signed Document for a wins channel?

Because it fires each time one signer signs. A document with two signers would post twice, and the first post would celebrate a deal that isn't closed yet. Use Recipient Signed Document for a direct message to the owner, and Document Signing Complete for the channel.

Can the deposit be posted too?

Yes. When the client pays a deposit inside the document through QuoteCloud Payments, the Document Part Paid trigger can start a second Zap that posts it. Document Paid fires when a document is paid in full. QuoteCloud Payments is on Essentials and up.

Do win posts carry a QuoteCloud fee?

No. They read QuoteCloud events and post to Slack; they don't create documents. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies only to documents created through Zapier or the API.
