Getting started with QuoteCloud

What QuoteCloud with Stripe can and can't do

The Stripe connection does one job very well: the payment that comes with the signature. Here is everything it covers, where it stops, and where Zapier or your own invoices take over.

With Stripe connected, QuoteCloud asks for one payment per document when it's signed: a percentage of the total, a fixed amount or the full amount, paid by card and marked Paid. It sends automated payment reminders. It doesn't store cards, issue invoices or schedule later payments; Zapier can pass each payment to your accounting app.

What does the Stripe connection do?

Everything here works with Stripe connected and no Zap at all.

  • A payment set per document

A percentage of the total, a fixed amount or the full amount, with a description, instructions and a discount: deposits.

  • Worked out from the price table

Recalculated when the client ticks optional items or changes quantities before signing.

  • Sign, then pay, on one page

The payment request appears when the client signs; they pay by card: the card payment.

  • Marked Paid

The status changes to Paid, the Paid filter lists it, the history records it: the dashboard.

  • Automated payment reminders

Set with a click, they follow up a payment on a signed document: reminders.

  • A Stripe account per team

Each team connects its own account in Payment Settings, for brands or units that bank separately.

Where does Zapier take over?

After the payment. QuoteCloud's Zapier app, on Essentials and up, has three payment triggers.

  • Document Paid, Document Part Paid, Document Payment Event

Fully paid, partially paid, and any payment received, failed or refunded. Each can start a Zap: after-payment automation.

  • Your accounting app

Xero and QuickBooks Online connect through Zapier, or Make as a bring-your-own setup. There's no native connection, so an invoice is created by a Zap, not by QuoteCloud.

Where does it stop?

None of these are bugs. Knowing them up front saves an awkward conversation with a client.

  • No card storage

Card details go to Stripe and QuoteCloud doesn't keep them. Each payment here is made by the client, on a document.

  • No schedule of later payments

One payment per document. Milestones are your invoices or later documents: part payments.

  • No invoices from QuoteCloud

QuoteCloud records the payment on the document. Invoices come from your accounting app, by hand or by a Zap.

  • No subscriptions

Repeating charges can be shown in an agreement, but QuoteCloud doesn't bill them each month through Stripe.

  • No refunds from QuoteCloud

Refunds are made in your Stripe Dashboard: fees and refunds.

  • Instalment plans: PayPal

QuoteCloud's instalment plans are a PayPal option. With Stripe, it's a deposit, a fixed amount or the full amount.

What we haven't confirmed yet

We haven't confirmed how automated payment reminders are timed or worded, or whether they stop by themselves once the payment is made. This site says only that they exist and follow up an unpaid payment.

We haven't confirmed whether a document with only its deposit paid shows Paid or a part-paid status on the dashboard, or which of Document Part Paid and Document Paid fires for a deposit. The recipes use Document Part Paid for deposits and Document Paid for payments in full, and ask you to check the test data.

We haven't confirmed which payment methods beyond debit and credit cards your clients can use through Stripe, what QuoteCloud sends to Stripe with each payment, or whether a refund changes the document's status. And QuoteCloud's own fee per payment, if any, isn't stated: this site says nothing about it either way.

Questions about the limits

Does QuoteCloud keep the card for later payments?

No. Card details go to Stripe, and QuoteCloud doesn't store them. Each payment described on this site is made by the client on a document, such as the deposit on signing. Later amounts are your invoices, or later documents with their own payment.

Does QuoteCloud create invoices from Stripe payments?

Not by itself. QuoteCloud marks the document Paid and records the payment. A Zap on Document Paid or Document Part Paid can create the invoice in Xero or QuickBooks Online, which connect through Zapier or Make.

Can a QuoteCloud document take more than one Stripe payment?

This site describes one payment per document, asked for when it's signed: a deposit, a fixed amount or the full amount. For later stages, send a later document with its own payment or invoice from your accounting app.

Does QuoteCloud support recurring billing through Stripe?

No. An agreement can show repeating charges, but QuoteCloud doesn't bill them through Stripe each month. Use your accounting or billing system for recurring invoices.
