Proposals that go beyond the Zoho CRM Quotes module
Zoho CRM's Quotes module keeps your quotes as records for your team. QuoteCloud is what the buyer opens: packages to choose from, extras to tick, questions in comments, a legally binding eSignature and the deposit, with the deal updated when they sign.

- Building QuoteCloud since 2013
Keep Zoho CRM for the deal and send the buyer a QuoteCloud proposal. They choose a package, tick extras, ask questions in comments, eSign on any device and pay the deposit through Stripe or PayPal. A Zap with QuoteCloud's Document Signing Complete trigger then finds the deal and moves it to Closed Won. eSignature is on every plan; Zapier on Essentials.

Behind, Harrowfield Fire & Security's CCTV proposal HF-SP-0436 for Simone Achebe of Larchmont Property Group: three camera packages, Core $18,400, Plus $24,900 (recommended) and Complete $31,600, and a price table with installation and two optional extras, the licence-plate camera ticked. In front, an illustration of the Zoho CRM deal at Closed Won with its amount updated to $33,100.00.

Illustration with sample data: a generic CRM record, not Zoho CRM’s screen.
What does the buyer get that a quote record doesn't give them?
Harrowfield Fire & Security tracks every job in Zoho CRM. For a building like Calder House there is no single right answer: sixteen cameras, twenty-four or thirty-two, monitoring or not, a plate-reading camera at the gate or not. A fixed quote with one total means a round of emails for every change.
So Marcus Teo sends Simone Achebe a QuoteCloud proposal instead. She compares three packages side by side, ticks the gate camera, asks whether it reads plates at night, signs on her phone and pays the deposit. Zoho CRM stays the record of the deal, and a Zap brings the outcome back to it.
- Keep using Zoho CRM's Quotes module for internal records if your team relies on it; the buyer's experience is the proposal.
- The buyer's choices change the total in front of them, so the signed amount is the amount they chose.
- eSignature is on every QuoteCloud plan; taking the deposit through Stripe or PayPal is on Essentials and up.

Simone, here are three ways to replace Calder House's cameras, from the lobby and lifts to the car park. Plus is what we'd fit. Choose a package, tick any extras, ask us anything in the comments, then sign and pay the deposit to book the install.

Questions answered on the proposal
Simone asked about night-time plate reading in a comment; Marcus answered it there. A Zap can turn each comment into a task in Zoho CRM.
Comments as tasksQuestions on this proposal
- Install over four weekdays, out of hours in the lobby
- Existing camera cabling reused where it tests sound
SASimone AchebeWill the gate camera read plates at night? Residents come in late.
WFMarcus TeoYes: it has its own infrared lighting, so plates read day and night. We'd aim it at the gate's slow zone.

How does the signed proposal update the deal?
The buyer's choices changed the total, so the deal should hear about it. Every name is the exact event you pick in Zapier.

Simone signs at 8:45 on Wednesday morning, with the Plus package and the gate camera. A minute later the Calder House deal is Closed Won and its amount reads $33,100.00, the total she chose before tax, instead of the $31,650.00 it was when Marcus sent it.

Questions about the Quotes module and QuoteCloud
Do I have to stop using Zoho CRM's Quotes module?
No. Many teams keep Zoho CRM as the system of record and send the buyer a QuoteCloud proposal instead of a fixed quote document. The two aren't joined by a Zap on this site: the recipes keep the deal current, which is where pipeline reports look.
Can the buyer choose options in a QuoteCloud proposal?
Yes. A proposal can offer packages side by side and optional extras the buyer ticks, and the total, tax and deposit update as they choose. A Zap never ticks options for them: the buyer's choices are what they sign.
Are QuoteCloud eSignatures legally binding?
Yes. QuoteCloud's eSignatures are eIDAS compliant, protected with 256-bit encryption and come with a certificate of authenticity and an audit trail, with an optional one-time passcode. eSignature is included on every QuoteCloud plan, including Free.
Can the deal's amount change to what the buyer signed?
Yes, when your trigger carries the total. A Zap on QuoteCloud's Document Signing Complete finds the deal and runs Zoho CRM's Update Module Entry with the stage and the amount. Check the trigger's test data for the total first; if it isn't there, set the stage and update the amount by hand.
