Getting started with QuoteCloud

Connect Zoho CRM to QuoteCloud, step by step

Zoho CRM connects to QuoteCloud through Zapier, one Zap per job. Here's how to set up the first one, find the deal again from QuoteCloud, fix the usual problems, and where Make fits if your team builds its own.

Zoho CRM connects to QuoteCloud through QuoteCloud's Zapier app, on Essentials and up. In Zapier, create a Zap, pick a trigger such as Zoho CRM's Updated Module Entry or QuoteCloud's Document Signing Complete, sign in to both apps, add the steps and map the fields. Test with a test deal and an @example.com contact, then turn it on.

Step 1: Zoho CRM's Updated Module Entry trigger on the Deals module; the test found deal 48769100023, Bramblewood Homewares · Interstate lanes. Step 2: Filter by Zapier, only continue if the stage exactly matches Proposal/Price Quote. Step 3: QuoteCloud's Create Document, with the deal name as the document title and the deal ID and owner in data items; the test created draft WF-Q-4870.

How do I connect Zoho CRM to QuoteCloud?

Through Zapier, one Zap per job. Here's the stage Zap; every recipe on this site is built the same way.

  1. Check your plans

QuoteCloud's Zapier app is on Essentials and up. You also need a Zoho CRM account and a Zapier plan that covers the tasks your Zaps will run.

  2. Create a Zap, pick the trigger

Choose the app the event happens in, such as Zoho CRM's Updated Module Entry on Deals or QuoteCloud's Document Signing Complete.

  3. Sign in to both apps

Zapier asks you to connect QuoteCloud and Zoho CRM the first time you use each. Use accounts that can see the deals, modules and templates.

  4. Add steps, map fields

Add each step, such as a filter on the stage, then Create Document, and map fields from earlier steps. The field map lists them.

  5. Test, then turn it on

Test each step with a test deal and an @example.com contact, check both apps, then switch the Zap on.

Step 1: the trigger, and its module

Choose Zoho CRM, then Updated Module Entry, and pick the Deals module. Zapier fetches a recently updated deal as test data.

Check it has what you plan to use: the deal's Id, Deal Name, Stage, Deal Owner and any custom fields. Zoho CRM's Zapier app suggests the instant module-entry triggers for paid Zoho CRM plans.

Step 3: Create Document, mapped

Choose QuoteCloud and Create Document, pick your template, and map the deal name into the document's title and the deal's details into the template's data items. The numbers show which step each value comes from.

  • Use the deal name as the title: return Zaps find the deal by it.
  • Keep the deal's Id in a data item such as Zoho deal ID.
  • A Zap never ticks options or chooses content blocks: the template decides the content.

How does a Zap find the deal again?

Zaps that start in QuoteCloud have to find the Zoho CRM deal. Zoho CRM's Find Module Entry searches a module, here Deals, on a field both apps share: the deal name, used as the document's title.

Keep deal names distinct, and test with deals whose names look alike. When your QuoteCloud trigger's test data shows the Zoho deal ID data item, you can map it straight into Update Module Entry instead.

What usually goes wrong, and the fix

The problems Zoho CRM teams meet in their first week, and what to change.

  • No deal found

The document's title doesn't match the deal name: someone renamed one of them. Keep the title as the Zap set it, or search on the deal ID data item.

  • Two drafts for one deal

Updated Module Entry fires on every edit. Filter on the stage and on an empty QuoteCloud status field, and set that field after Create Document.

  • Blank data items

The data item names in the template and the fields mapped in the Zap don't match, or the deal's field was empty. Refresh the test data and check both.

  • The stage won't change

A blueprint may control the stage on your account. Write a QuoteCloud status field instead and let your team move the stage.

  • The PDF didn't attach

The PDF link is short-lived. Generate or Fetch Document PDF Link must be the step right before Add Attachment, in the same Zap.

  • Duplicate contacts

Use QuoteCloud's Find or Create Contact and Zoho CRM's Create/Update Module Entry, matched on email, instead of plain create steps.

Can I connect Zoho CRM through Make instead?

Yes, if your team builds its own. Make is a bring-your-own route: you add a connection to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Zoho CRM modules.

There is no ready-made QuoteCloud app or list of modules on Make, so you design each step yourself. The recipes on this site are shown as Zaps; the same QuoteCloud events and actions are there when you build them in Make.

Before you start

  • Essentials for Zapier

QuoteCloud's Zapier app and API, custom data items and the product library are on Essentials and up.

  • A Zapier plan

Zapier bills separately: choose a plan that covers the tasks your Zaps will run each month.

  • Test records only

A test deal, a test lead, a test template and @example.com contacts, so nothing reaches a real client.

  • Fields first

Add the custom deal fields the Zaps write (QuoteCloud status, Signatures) and the template's data items before you build.

Set-up questions

Is there a Zoho CRM setting inside QuoteCloud?

No. QuoteCloud connects to Zoho CRM through Zapier, with QuoteCloud's Zapier app on the Essentials plan and up, or through Make as a bring-your-own setup with QuoteCloud's API. There's no native Zoho CRM connection on any plan: each job is a Zap you build.

Do I need a developer to connect Zoho CRM?

No. Zapier is built for people who aren't developers: you pick a trigger, steps and the fields to map. A developer who wants more control can call QuoteCloud's API from their own code or a Make scenario instead; it's on the same Essentials plan as the Zapier app.

Which Zoho CRM trigger should I use for deals?

New Module Entry on the Deals module for every new deal, and Updated Module Entry with a filter on the stage for deals reaching your proposal stage. Zoho CRM's Zapier app recommends these instant module-entry triggers for paid Zoho CRM plans.

How do I test without contacting a real client?

Use a test deal, a test template and contacts at @example.com addresses. Zapier tests run against your real apps: a test of Create Document makes a real document in QuoteCloud and a test of Update Module Entry changes a real deal, so keep tests few and on test records.
