Getting started with QuoteCloud

What QuoteCloud with Zoho CRM can and can't do

Zoho CRM and QuoteCloud meet through Zapier, or through Make if you build your own. Here's what the Zaps on this site do, how the two routes differ and where each one stops.

QuoteCloud connects to Zoho CRM through Zapier, with QuoteCloud's Zapier app on Essentials and up, or through Make as a bring-your-own setup. Zaps draft proposals from deals and converted leads, update deal fields and stages, add tasks, convert leads, attach signed PDFs and add products. They don't copy line items, tick options or run both ways at once.

What can the Zoho CRM Zaps do?

Six jobs, each built with QuoteCloud's Zapier app on Essentials and up and Zoho CRM's own Zapier app.

  • First proposal at conversion

New Module Entry on Deals, then Create Document; and Convert Lead when a lead signs first.

    Lead to first proposal
  • Stage-driven drafts

Updated Module Entry with a filter on the stage, including stages a blueprint transition sets.

    Stages & blueprints
  • The buyer's choices on the deal

Document Signing Complete, then Update Module Entry: Closed Won and, when carried, the signed amount.

    Beyond Zoho Quotes
  • Several signers

Recipient Signed Document for each signer, Document Signing Complete for the last, Add Attachment for the PDF.

    Multi-signer approvals
  • Views, comments, expiry

Deal fields and Tasks entries from Recipient First Viewed Document, Document Comment Event and Document Expired.

    Quote activity
  • Products

New Zoho CRM products into the library with Find or Create Product; QuoteCloud changes back with Create/Update Module Entry.

Zapier or Make: which route suits you?

Both reach the same QuoteCloud events and actions. The difference is how much you build yourself.

  • Zapier: QuoteCloud's Zapier app

Ready-made QuoteCloud triggers, actions and searches, such as Document Signing Complete and Create Document, beside Zoho CRM's own Zapier app. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

    Connect it, step by step
  • Make: bring your own

Connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Zoho CRM modules. There's no ready-made QuoteCloud app on Make, so you design each step. API access is on Essentials and up.

    Make questions, answered

Where does it stop?

None of these are bugs. Knowing them up front saves an afternoon of testing.

  • Nothing moves without a Zap

There's no native connection on any plan: Zoho CRM hears about a proposal only when a Zap or a Make scenario tells it.

  • A Zap doesn't tick options or pick blocks

Create Document fills data items and price-table rows. Optional items stay for the buyer, and the template decides the content.

  • Line items aren't copied

Turning a Zoho CRM quote's or deal's line items into price-table rows isn't confirmed. Keep packages in the template's price table.

  • Blueprints aren't triggers

Zapier sees the record update a transition makes, not the transition. Filter on the stage, and check whether your blueprint lets a Zap change it.

  • Prices go one way

QuoteCloud's Zapier app can't update an existing product, so price changes made in Zoho CRM don't reach the library. Change prices in QuoteCloud.

  • Each Zap runs one way

From its trigger to its steps. Both directions means two Zaps, and only the events you choose are copied.

  • PDF links don't last

Generate or Fetch Document PDF Link is short-lived: run Add Attachment in the same Zap.

  • A Zap can't guess the deal

It needs a shared value: the deal name as the document's title, or the deal's Id in a data item.

  • Sent documents don't change

Editing the deal in Zoho CRM doesn't change a proposal already sent. Revise it in QuoteCloud.

What we haven't confirmed yet

We haven't confirmed whether QuoteCloud's triggers carry a document's custom data items, such as the Zoho deal ID, so the recipes find the deal by its name and tell you to check your Zap's test data first.

Zoho CRM's Find Module Entries search mentions line item support, but we haven't confirmed that QuoteCloud's Create Document can take a list of line items as price-table rows, so this site doesn't promise it.

For Make, the per-document fee isn't stated either way: it's confirmed for documents created through Zapier or the API. If you plan to create documents from a Make scenario, ask us for the fee that applies to your volume.

Questions about the limits

Does QuoteCloud update Zoho CRM deals automatically?

Only through Zaps you build. QuoteCloud has no native connection to Zoho CRM, so a deal changes when a Zap tells it to: a new stage, a status field, a task, a converted lead or an attached signed PDF. Each Zap runs one way, from its trigger to its steps.

Does information flow both ways between Zoho CRM and QuoteCloud?

In the ways you build, not as a copy of everything. A Zap can take a deal's details into a new document, and other Zaps bring a document's views, comments, signatures, expiry and signed PDF back to the deal. Products can move with one Zap each way.

Can a Zap tick optional items or choose content blocks?

No. Create Document fills data items and can add price-table rows you map, but it never ticks options or chooses content blocks. Your template decides the content and the buyer ticks the options they want before signing, so the signed total is what they chose.

Is there a fee for every Zap?

No. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API, such as the first-proposal and stage Zaps on this site. Zaps that update Zoho CRM, add tasks, attach PDFs or add products don't create documents.

Is there a QuoteCloud app on Make?

No ready-made app, but Make works with QuoteCloud. It's a bring-your-own model: you add the connection with Make's built-in OAuth and call QuoteCloud's API or Zapier endpoints in your scenarios, beside Make's own Zoho CRM modules, so you choose every step. These pages show each recipe as a Zap.
