Getting started with QuoteCloud

CRM in, signed orders out to provisioning and billing

Build proposals from the opportunity, send status back to the CRM, and pass every signed order on through Zapier, Make or the QuoteCloud API.

QuoteCloud connects to the systems a telco sells and delivers from. Zapier, Make and the QuoteCloud API are on Essentials, so a signed proposal can update a CRM deal or create a provisioning or billing task. Native CRM and accounting integrations, including Salesforce, HubSpot, Xero and QuickBooks, are on the Business plan.

Activity feed of a sample multi-site connectivity proposal from a fictional provider, Tallwire Communications, to Saltmarsh Freight Co.: proposal opened, 36 months and 4G failover chosen, signed online, deposit paid via Stripe, and the order sent to provisioning through Zapier or the API.

One telco deal, from the CRM to provisioning

Follow a sample three-site order for Saltmarsh Freight Co. through every system it touches. Nothing is retyped on the way.

  1. Opportunity in the CRM

The deal lives in Salesforce, HubSpot, Dynamics 365, Pipedrive, Zoho CRM or monday.com. An integration creates the proposal from it, with the company and contact filled in from the record.

  2. Proposal from your price book

Fibre, SD-WAN, voice seats and mobiles come from the product catalogue, grouped by site, with monthly and once-off charges on the term the client picks.

  3. Approved, signed, deposit paid

A discount past your limit is approved first on Business. The client signs online and pays the deposit on the once-off charges through Stripe or PayPal.

  4. Status back to the CRM

Sent, first viewed and signed can update the opportunity or deal, so the account manager sees where the order stands without opening QuoteCloud.

  5. Order out to the back office

The signed document can create the invoice in Xero or QuickBooks Online and start a provisioning or billing task through Zapier, Make or the API.

The signed proposal is the order

What the client signed is what your delivery team builds: every site, service, quantity, term and option sits in one price table, priced from your catalogue.

Hand those details on through Zapier, Make or the API instead of re-keying a three-site order into the CRM, provisioning and accounting. A signed proposal can become a Xero or QuickBooks Online invoice with the same lines, quantities and tax.

  • Sites, quantities and the chosen term in one table
  • Every line keeps its SKU from your price book
  • Options the client ticked, such as 4G failover, already priced
  • Monthly recurring, once-off and total contract value calculated
  • Signed online, with a certificate of authenticity and audit trail

How each system connects, and on which plan

Zapier, Make and the API are on Essentials. Native CRM and accounting integrations are on Business.

  • Salesforce

Two ways: the Salesforce Sync add-on connects your org by OAuth and pushes document status back to the Opportunity, or Zapier maps a QuoteCloud trigger to a Salesforce action.

    Salesforce integration
  • HubSpot

Through Zapier: a new deal can create the proposal with deal, contact and company details, and opens and signatures can update the deal or its timeline.

    HubSpot integration
  • Microsoft Dynamics 365

Through Zapier: a new QuoteCloud document or customer can create or update a record in Dynamics 365, such as the quote status on the opportunity.

    Dynamics 365 integration
  • Pipedrive

Through Zapier or Make: create the proposal from a deal, contact or organization, and write its status back to the Pipedrive record.

    Pipedrive integration
  • Zoho CRM and monday.com

Through Zapier: a deal becomes a proposal, and views and signatures can move the Zoho CRM deal or update the item on your monday.com board.

  • Xero and QuickBooks Online

Through Zapier: a signed proposal can create the invoice in Xero or QuickBooks Online with the same line items, quantities and tax.

  • Stripe and PayPal

Built in from Essentials: the client pays the deposit or upfront charges on the signed proposal. Monthly charges are billed from your own billing system.

    Online payments
  • Provisioning and billing

There is no built-in carrier, OSS or BSS connector. Zapier, Make or the GraphQL/REST API create the provisioning task or billing record when a document is signed.

A Zap from signed proposal to provisioning task

Four steps in Zapier, no code. Make works the same way with a scenario.

  1. Choose the QuoteCloud trigger

In Zapier, pick QuoteCloud as the trigger app and choose the event, such as a recipient signing a document or its status changing.

  2. Connect your QuoteCloud account

Sign in once so Zapier can see your QuoteCloud documents and contacts.

  3. Choose the action

Pick the app your delivery or billing team works in, such as a service desk, a project board or a spreadsheet, and the action, such as creating a task or a row.

  4. Map the order and turn it on

Match the client and document details to the action's fields, test it with a signed sample proposal and turn it on. Every signed order now starts its own task.

Your own provisioning or billing platform? Use the API

The QuoteCloud GraphQL/REST API lets any system that can make HTTPS requests exchange document data with your account: create a proposal from a template's data items, then act when the client views or signs.

It suits a telco with an in-house portal, provisioning platform or billing system that no app marketplace covers. Consultancy and integration setup for custom APIs is available from the QuoteCloud team.

  • GraphQL/REST API from the Essentials plan
  • Template data items filled in from your systems
  • Delivered as a web link, PDF or email
  • Per-document fees: US$2.00 each for 1–1,000 a month, US$1.80 for 1,001–5,000, US$1.60 above

CRM and integration questions

Does QuoteCloud integrate with Salesforce for telecom quoting?

Yes, in two ways. The Salesforce Sync add-on connects your Salesforce org from QuoteCloud by OAuth, keeps documents linked to their Opportunity and pushes document status back to it. Or connect through Zapier from the Essentials plan: choose a QuoteCloud trigger such as a recipient signing, then a Salesforce action, and map the fields.

How does QuoteCloud connect to HubSpot?

Through Zapier, with no code. A new HubSpot deal can create a QuoteCloud proposal, or copy one you use as a template, filled with the deal, contact and company details. When the client opens or signs it, a Zap can update the deal, move its stage or add the activity to its timeline. Zapier is included from the Essentials plan.

Which CRMs work with QuoteCloud?

Salesforce connects through the Sync add-on or Zapier; HubSpot, Microsoft Dynamics 365, Zoho CRM and monday.com connect through Zapier; Pipedrive connects through Zapier or Make and shows document status on the record. Zapier, Make.com and the API are on Essentials, and native CRM and accounting integrations are on Business. Other systems can be connected through Zapier, Make or the API.

Can a signed proposal start provisioning or billing?

Yes, through Zapier, Make or the QuoteCloud API, from the Essentials plan. A trigger such as a recipient signing can create a task, record or row in the system your delivery or billing team uses. QuoteCloud has no built-in carrier, OSS or BSS connector and does not bill monthly charges itself, so the order is handed to your own systems.

Can signed proposals create invoices in Xero or QuickBooks?

Yes. When a recipient signs, a Zap can create the invoice in Xero or QuickBooks Online with the same line items, quantities and tax, under the matching contact, and a received payment can update the document's status in QuoteCloud. Deposits taken on signing go through Stripe or PayPal, which are built into QuoteCloud from the Essentials plan.

What does the QuoteCloud API cost?

API access, Zapier and Make.com are included from the Essentials plan, at US$39 per user a month. Documents created through the API or Zapier carry a monthly per-document fee: US$2.00 each for 1 to 1,000, US$1.80 each for 1,001 to 5,000 and US$1.60 each above 5,000. Contact QuoteCloud sales for higher volumes.

Can QuoteCloud help us set up our integrations?

Yes. Consultancy and integration setup for Zapier, custom APIs and other platforms is available from the QuoteCloud team; contact sales for scope and pricing. Paid plans include a 45-minute training session, and Enterprise includes implementation support. Book a demo to walk through your CRM, accounting and back-office systems with the team.
