Getting started with QuoteCloud

Managed services agreements on 24 and 36-month terms

Hosted voice, licences and 24/7 support on one agreement, with a support level the client chooses, terms your legal team locked and an expiry date you can see coming.

QuoteCloud lets MSPs and UCaaS providers send managed services agreements with repeating monthly charges on a fixed term, a support level the client picks, agreement terms from a locked content library and a legally binding eSignature. Each agreement has an expiry date, so renewals show up in the Expiring Soon filter.

Three pages of a sample managed services agreement from a fictional provider, Tallwire Communications, for Saltmarsh Freight Co.: a cover for managed voice and IT on a 36-month term; a service-level schedule comparing the Essential, Business and Premium support levels, with Business chosen; and the agreement terms, starting 1 November 2026 and expiring 31 October 2029.

Support levels the client compares, then chooses

The support levels are a single-choice group in the agreement, and the service-level schedule sits right under them. Pick a level and its column lights up.

What the rep edits, what the client chooses, what stays locked

One 36-month agreement for hosted voice, contact centre licences, Microsoft 365 and 24/7 support, read part by part.

  1. Rep edits

The client, the scope and the start date

The parts that change with every deal: who it's for, what's included and when the term starts. Reps fill these in from the template; everything else is already written.

What a managed services agreement holds

Built once as a template, so every MSP or UCaaS deal goes out with the same structure.

  • Hosted voice and UCaaS

Seats, Teams calling and contact centre licences as repeating charges with quantities.

  • Licences and managed IT

Microsoft 365 and other licences per user per month, from the product catalogue with their billing term.

  • Support levels

Good, better and best support as one single choice, priced per month, with the client's pick on record.

  • Service levels

Your response and restoration targets as a schedule, written by you and saved as a locked block.

  • Moves, adds and changes

A clause that says how changes are quoted: send each one as a variation for the client to sign.

  • Term and expiry

Start date, length and an expiry date on the document, so the agreement shows up in Expiring Soon before it ends.

Every agreement carries the date it ends. When it gets close, it appears in the Expiring Soon filter, so your account team can send the next agreement before this one runs out. Nothing renews by itself.

Set up the agreement once, send it every time

What a provider's sales operations or legal team does before the first rep sends one.

  1. Convert your agreement

Send your current agreement during the trial and QuoteCloud converts one template free on Essentials and up.

  2. Lock the legal wording

Save the terms and service-level schedule to the company content library and lock them (Business plan).

  3. Load the services

Add seats, licences and support levels to the catalogue with their price, cost and billing term.

  4. Set the term

Give the template its term and an expiry date, so every agreement sent from it has one.

  5. Send and sign

Reps change only the client, quantities and support level, send one link and get it signed online.

Managed services agreement questions

Can QuoteCloud send managed services agreements on 24 or 36-month terms?

Yes. Price tables support repeating price items with Term and Monthly Price columns, so seats, licences and support show as monthly charges for the term you set, beside any once-off set-up. The agreement also carries a start and expiry date. Price tables are on Essentials and above.

Does QuoteCloud bill the monthly charges?

No. QuoteCloud prices the agreement, gets it signed and can take an upfront payment on signing through Stripe or PayPal. The monthly charges are billed from your own billing system. Zapier, Make or the API can pass the signed agreement to it.

Can clients choose their support level in the agreement?

Yes. Put your support levels in a single-choice group so the client picks one, such as Essential, Business or Premium, and the price follows. Your service-level schedule can sit beside it as your own text. QuoteCloud holds and sends that schedule; it doesn't measure the service.

Can we stop reps editing the legal terms?

Yes, on the Business plan. Save your terms and service-level wording to the company content library and lock them. Reps can add locked blocks to an agreement but can't edit them; only admins or permitted roles can unlock them. Role permissions control who can use and change the library.

How do moves, adds and changes work?

Quote each change as its own document from a variation template, with the new seats or services and their monthly charges, and have the client sign it online. The original agreement stays as it was signed, with its history.

Do agreements renew automatically?

No. Each agreement has an expiry date, and the Expiring Soon filter shows the ones ending next, so your team can send a new agreement or re-contract offer before the term ends. Nothing renews or sends itself.
