Getting started with QuoteCloud

Website proposals with the phases, pages and price in one

Discovery, design, build and launch on a timeline, the sitemap as the page count and a deposit your client pays when they sign.

With QuoteCloud a web studio sends a website build proposal from its own template: discovery, design, build and launch grouped in the price table with subtotals, the number of pages as the quantity on the build line, the phases on a Gantt chart (Business plan), optional features the client ticks and a deposit paid on signing through Stripe or PayPal.

A sample website build proposal, GS-2611, from a fictional studio, Glasswing Studio. Its sitemap draws node by node: Home, then Shop with Bouquets, Gift boxes and Weddings, Workshops with a Calendar, About with Our story and Delivery, Journal and Contact. Each page drops into a counter that reaches 12 pages from 5 page templates, which becomes the quantity on the build line: 12 pages at $280, $3,360. The phases then grow on a 14-week timeline (discovery, design, build with the shop and bookings, testing), and the project fee of $21,098.00 including tax lands with a 40% deposit of $8,439.20, stamped Paid.

A website proposal, read the way your client reads it

Glasswing Studio's proposal for Sparrow & Pine Florist, part by part: what Mia fills in for this client, what Ella and Luca choose, and what stays exactly as the studio wrote it.

  1. Studio edits

The client, the brief and an expiry date

The cover names the client, says what the site is for and when the offer ends. Everything below it comes from Glasswing's website development template, so Mia only writes what's new.

The phases on a Gantt chart

Fourteen weeks from discovery to launch, with design overlapping discovery and the CMS training after launch. It's Glasswing's plan, set out in the proposal so the client knows when they'll be asked for content and approvals.

  5. Locked block

    Scope and revision rounds, locked

What's included, what isn't, the two design revision rounds and how changes are handled sit in a locked content block. Project managers can use it in every proposal; only permitted roles can change it.

    Included

    • 12 pages built from 5 page templates, editable in the CMS
    • Online shop for up to 60 products, and workshop bookings
    • Two rounds of revisions on the design, one on the built site
    • Redirects from the old site's pages at launch

    Not included

    • Copywriting and photography (unless ticked as add-ons)
    • Product data entry beyond the first 20 products
    • Paid advertising and ongoing SEO

Anything outside this scope is quoted as a change request: a revised version of this proposal you sign before we start the work.

  6. Client asks

    Questions answered in the proposal

Ella asks about message cards for gift boxes in a comment, and Ravi replies in the same thread. The answer stays with the document she signs, not in someone's inbox.

    Notes from discovery

    • Workshops sell out: show spaces left on each date.
    • Same-day delivery cut-off 11am, Tuesday to Saturday.
    • Keep the existing domain and email as they are.

Ella ManciniCould gift boxes have a message card option at checkout?

Ravi, GlasswingYes, a free-text card message is included in the shop. No change to the price.

  7. Client signs

Both owners sign, the deposit is paid

Ella and Luca each sign in their own signature block, then the 40% deposit is paid through Glasswing's Stripe account. The signed proposal carries a certificate of authenticity and an audit trail.

Tick a feature and the deposit follows

This is the price table Ella opens. Untick the online shop, or add the second language and copywriting, and every subtotal, the tax, the total and the 40% deposit update as she reads.

Whatever is ticked when she signs is what she agreed to. The care plan stays a separate monthly line, shown in the agreement and invoiced by the studio after launch.

Six questions every website proposal has to answer

Clients compare studios on price and on whether they understand what they're buying. Each answer has its own place in a QuoteCloud proposal.

  • What am I getting?

The sitemap and page templates, placed as an image or table block after discovery, with the features marked where they live.

  • Why does it cost that?

Phases with subtotals, and pages, templates and hours as quantities, so the price reads as the work.

  • What can I add or leave out?

The shop, bookings, languages and add-ons as optional items the client ticks before signing.

    Optional features
  • When will it be live?

Discovery, design, build and launch on a Gantt chart inside the proposal (Business plan).

  • What happens if we change our minds?

Scope, revision rounds and change requests in a locked block, the same in every proposal (Business plan).

    Change requests
  • What happens when I sign?

A deposit paid on signing, later milestones set out as content and invoiced by you.

Build a website proposal in five steps

From your notes after the discovery call to a proposal the client can sign and pay a deposit on.

  1. Pick the template

Start from your template for this kind of site: brochure, small business or online shop.

  2. Count the pages

Drop in the sitemap and set the page and template counts as quantities on the build lines.

  3. Plan the phases

Set discovery, design, build and launch on the Gantt chart, with the client's content dates (Business plan).

  4. Offer the extras

Add the shop, bookings and add-ons as optional items, and keep the scope in your locked terms.

  5. Send, sign, pay

Set an expiry date and a 40% deposit, then send. The client ticks, signs and pays in one visit.

Website proposals: your questions

What should a website proposal include?

The client's goals, the sitemap and number of pages, the price by phase, optional features and add-ons, a timeline, what is and isn't included, how changes are handled, the payment milestones and a place to sign. In QuoteCloud each is a block in your template, so every proposal covers the same ground and only the client-specific parts change.

Can I price a website by the number of pages?

Yes. Put your page rate in the product catalogue and add it to the build section with the page count as the quantity, and do the same for page templates. Change the count and the line, the section subtotal, the total and the deposit all follow. Price tables and the catalogue are on the Essentials plan and up.

Can I show a project timeline in a website proposal?

Yes, on the Business plan. A Gantt chart block shows discovery, design, build, testing and launch in weeks, with milestones. You set the phases yourself: it's your plan in the proposal, and QuoteCloud doesn't work out durations or track the project once it starts.

Can both business owners sign the proposal?

Yes. Add each signer and they sign in their own signature block; no account is needed to sign, and you can require a one-time passcode by email. The signed proposal carries a certificate of authenticity and an audit trail of who opened and signed it, and when.

When does the client pay the deposit?

Straight after signing, through your connected Stripe or PayPal account, from the Essentials plan. Set the deposit as a percentage or a fixed amount, or take the full fee. Later milestones are written into the proposal and invoiced by you; QuoteCloud doesn't take instalments or send payment reminders.

Can I see when a client opens my website proposal?

Yes. Document tracking shows when the proposal is opened and how long it's read, and you get a notification. You can set an expiry date so the offer ends on a date you choose, and answer the client's questions in comments on the proposal itself.
