Getting started with QuoteCloud

QuoteCloud implementation for security firms

Templates first, then the pricing sheet, then the connections: an MCP assistant, Zapier for exports, payments, and your analysts trained.

A QuoteCloud implementation for a security firm sets up report and quote templates, imports your remediation pricing sheet as a Spreadsheet block, connects payments and your CRM, and sets up the MCP connection for your AI assistant with drafts-only access. Onboarding and professional services are available from the QuoteCloud team; timings are sample planning.

A fictional security firm's remediation calculator after it was imported into a QuoteCloud quote template as a Spreadsheet block: the Findings tab, with finding counts by severity (2 critical, 7 high, 18 medium, 31 low), the firm's hours for each, the engineer rate of $185 an hour, and the line description and unit price each row sets in the quote's price table, plus the quote total brought back into a cell. A second tab holds the firm's rates.

A sample four-week plan for a fictional 12-person security firm. Each phase says what you bring, what QuoteCloud gives you and how you know it's done.

  1. Phase 1, Week 1

Convert your report and quote templates

    You bring
Last month's scan report, a remediation quote and your proposal, with your branding.
    QuoteCloud gives you
One template converted free during the trial (Essentials, Business, Enterprise), and the template library to start the rest.
    Done when
An analyst can start a branded report and quote from your templates.
  2. Phase 2, Weeks 1–2

    Bring in your pricing sheet

    You bring
Your remediation calculator as an .xlsx: findings by severity, hours each, your rates.
    QuoteCloud gives you
A Spreadsheet block in the quote template, with cells connected to each price line's description and unit price, and the total brought back into a cell.
    Done when
A test quote prices itself from typed-in counts, and quantities stay on the lines.

  3. Phase 3, Weeks 2–3

    Connect payments, CRM and accounting

    You bring
Your Stripe or PayPal account, your CRM and your accounting system.
    QuoteCloud gives you
Payments on signing; Pipedrive through Zapier or Make, HubSpot and Zoho via Zapier; Xero and QuickBooks native on Business, otherwise via Zapier.
    Done when
A signed test document takes a deposit and updates your CRM.

    Integrations & automation
  4. Phase 4, Week 3

    Set up the MCP connection

    You bring
Your AI assistant, and a decision about what it may read and do.
    QuoteCloud gives you
QuoteCloud's MCP service, set up so the assistant creates drafts for review and sends nothing. Consultancy and integration setup are available from the QuoteCloud team.
    Done when
The assistant drafts a report and quote for a sample client, and an analyst reviews both.

    MCP: Essentials and up

    AI-drafted reports & quotes
  5. Phase 5, Week 4

Pilot with one client, then go live

    You bring
One friendly client, and the analysts who'll review drafts.
    QuoteCloud gives you
A 45-minute training session on paid plans; tracking and comments on the pilot documents.
    Done when
The pilot's report and quote are signed and paid, and the rest of the team follows.

Sample planning, not a promise: your timing depends on your templates, your pricing sheet and the tools you connect.

Connect the sheet to the price lines once

After the import, each priced row of the Findings tab is connected to a line in the quote's price table: the cell with the description to the line's description, the cell with the price to its unit price. The price table total comes back into the sheet, so the cost per finding fixed works itself out.

Do it once, in the template, and every remediation quote after that is priced the same way. The client still ticks the options, such as the retest, and quantities stay on the lines.

What's different once it's live

The jobs that change for a security firm after a QuoteCloud implementation.

The jobTodayWith QuoteCloud
A new analyst's first report Copy last month's report for another client and hope nothing from the old one is left in. Start from the report template, with the client's details filled in.
Pricing a remediation A calculator nobody else can find, and a quote typed from its numbers. The calculator lives in the quote, and its cells set the line prices.
Using AI on client data Pasting findings into a chat window and copying the answer back. An assistant connected through MCP, with the access you chose, creating drafts your analyst reviews.
Getting paid to start An invoice for the deposit after the purchase order arrives. A deposit or full payment through Stripe or PayPal when the client signs.
Knowing what's due A spreadsheet of contract end dates someone updates now and then. Expiry dates on every agreement, and the Expiring Soon filter.

What "live" means for a security firm

You're live when the documents your clients see every month come from QuoteCloud: the report, the quote that prices the fix, the authorisation before a test and the managed agreement. Live doesn't mean every step is automated. You can run for months with an analyst typing the counts in, and add a Zapier step or an assistant later.

QuoteCloud never becomes part of your testing or monitoring: it doesn't scan, test or certify anything. It holds the documents, the signatures and the payments on signing, and connects to the tools that do the security work.

  • Report and quote templates in use by every analyst
  • The pricing sheet in the quote template
  • Payments on signing connected
  • The assistant, if you use one, creating drafts only

Questions about implementation

How long does a QuoteCloud implementation take for a security firm?

It depends on your templates, your pricing sheet and the tools you connect. A sample plan runs about four weeks: templates, then the pricing sheet, then payments and your CRM, then the MCP connection, then a pilot client. Treat that as planning, not a promise.

Can we import our existing pricing spreadsheet?

Yes. The Spreadsheet block has formulas and tabs, and imports .xlsx files. Connect any cell to a price line's description and unit price, and bring the price table total back into a cell. Quantities stay on the price lines. The Spreadsheet block is on Essentials and up.

Who sets up the MCP connection for our AI assistant?

Your own team can, or the QuoteCloud team can help through consultancy and integration setup. Set it up so the assistant creates drafts for review and reads only what it needs. QuoteCloud's MCP service is on Essentials and up.

Is training included?

Paid plans include a 45-minute training session. Plan it once your templates are ready, so analysts learn on the documents they'll really send, including how to review a draft and accept or rewrite a flagged summary.

Do we have to automate everything to go live?

No. You can go live with analysts typing the counts into the quote's sheet, then add a Zapier step or an AI assistant once the templates have settled. The documents, signatures and payments work the same either way.
