Getting started with QuoteCloud

Connect QuoteCloud to your TMS, CRM and accounts

A booking form or TMS can create a quote from your template, signed quotes can pass to your systems, and your CRM and accounts connect the way each one really connects.

QuoteCloud connects to a freight business's systems through the API, Zapier and Make (Essentials and up): a booking form or TMS can create a quote from a template with data items and price lines, and Zapier can send signed and paid events onward. HubSpot and Zoho connect via Zapier, Pipedrive through Zapier or Make, Xero and QuickBooks natively on Business.

Three pages of a fictional carrier's lane quote taking turns at the front. First, the lane calculator in the quote with the request typed in: 6 pallets, 1.5 m high, 180 kg each, Northgate to Port Ellery, written into the input cells by Zapier from a booking form. Second, the price table: the linehaul and fuel lines priced by connected cells, a tail-lift ticked, $1,165.84 inc tax. Third, the activity: quote opened, accepted online with a certificate of authenticity, and a booking request sent to the carrier's transport management system through Zapier on the Signed Document trigger.

Where each field from a booking request lands in the quote

When your booking form or transport management system has a Zapier or Make connector, or can call an API, a request can become a draft lane quote from your template, without anyone retyping it. Illustratively, for a pallet request:

  • Customer, contact and site → the quote's recipient and data items
  • Pallets, height and weight → the calculator's input cells (Zapier can write cells; the API writing cells isn't confirmed)
  • Lane → the calculator's lane cell, so your Rates tab finds the zone
  • Extra charges asked for, such as a tail-lift → price-table rows added when the document is created
  • Your rates, minimums and fuel surcharge → already in your sheet: nothing is fetched

An accepted quote becomes a booking request, not a phone call

QuoteCloud doesn't book, dispatch or track freight: your transport management system does. What it can do is pass the accepted quote on. Zapier triggers on events such as Signed Document, Document Payment Event, Status Changed and Form Submitted on Document, and a Zap can create the booking request in your system where it has a connector.

Sophie accepts the Port Ellery quote at 2:18 pm; the booking request reaches Wexmoor's TMS with the lane, pallets, collection date and accessorials from the quote, and the signed PDF link for the file.

  • Triggers: signed, paid, status changed, form submitted
  • Actions back in QuoteCloud: send, update status, generate a PDF link
  • Illustrative: the fields depend on your system's connector

Four ways in, one template

Pick the route your systems already support. Each creates documents from your QuoteCloud templates.

  • QuoteCloud API

Your TMS or booking form creates a quote from a template, fills data items and adds price rows at creation. Per-document creation fee by volume.

    Document automation API
  • Zapier

No-code Zaps on signed, paid and form events, and values written into spreadsheet cells. Per-document creation fee by volume.

  • Make

Scenarios that create documents from templates and pass events on, for teams that already run Make.

Setting up a request-to-quote connection

A typical order for a carrier connecting its booking form and TMS. Your developer or Zapier builder does steps 2 to 4.

  1. Finish the template

Your lane quote template with the calculator, connected cells and accessorial lines.

  2. Map the request

Decide which request fields fill data items, which go into input cells and which add price rows.

  3. Create the draft

The API, a Zap or a Make scenario creates the quote from the template as a draft.

  4. Review and send

Your pricing desk checks it and sends it; approvals apply as usual.

  5. Pass the acceptance on

A Signed Document trigger sends the booking request to your TMS.

Integration questions

Can our TMS create quotes in QuoteCloud?

Where your TMS or booking form can call an API or has a Zapier or Make connector, it can create a quote from your template with data items and price lines, on Essentials and up. API and Zapier documents carry a per-document creation fee by volume (US$2.00, $1.80 or $1.60).

Can a booking form fill in our rate calculator?

Zapier can write values into Spreadsheet block cells, such as pallets, heights and weights from your booking form; your formulas then price the connected lines. Writing cells through the API isn't confirmed. Quantities stay on the price lines as usual.

Does QuoteCloud send accepted quotes to our TMS?

Not natively. Zapier triggers on events such as Signed Document and Document Payment Event, and a Zap can create a booking request in your TMS where it has a Zapier connector. Make and your own developer using the API are the other routes.

Which CRMs and accounting systems connect?

HubSpot and Zoho CRM connect through Zapier, and Pipedrive connects through Zapier or Make. Xero and QuickBooks Online are native integrations on the Business plan, otherwise through Zapier. Payments on signing go through Stripe or PayPal. Your TMS connects through the API, Zapier or Make where it has a connector.

Can Microsoft Teams or Slack tell us when something happens?

Yes, for document updates, comments and actions, through the Microsoft Teams and Slack integrations. For a specific event such as a signed quote, use a Zapier trigger to post wherever your team works. Zapier and Make are on Essentials and up.
