Getting started with QuoteCloud

Chargeable weight and rate calculators inside the quote

Your own rate spreadsheet as a block in the lane quote: cube, cubic and actual weight, zone rate or minimum and fuel surcharge, with the results written into the price lines.

QuoteCloud's Spreadsheet block is a full spreadsheet inside the quote, on Essentials and up. Carriers rebuild their rate calculator there or import the .xlsx: chargeable weight, zone lookups, minimums and fuel surcharge. Any cell connects to a price line's description and unit price, and the quote total comes back into a cell.

A drawing of one pallet on a platform scale beside the dashed outline of its cube, with dimension strings of 1200 by 1000 millimetres and its height, and the scale's readout on a post, shown enlarged. A live route runs from the scale to the lane calculator. Two loads take turns. Light homewares: 6 pallets 1.5 metres high at 180 kg each, so the cube is 10.80 cubic metres, cubic weight 2,700 kg beats actual weight 1,080 kg, and the linehaul line to Port Ellery is $837.00. Stoneware: 10 pallets 1 metre high at 620 kg each, cube 12.00 cubic metres, cubic weight 3,000 kg, actual weight 6,200 kg wins, and the linehaul line to Lakeview is $1,364.00. In each, the chargeable weight cell is =MAX(B7,B8), and the linehaul line's description and unit price come from cells C14 and B14 of the Quote tab.

Every cell that prices the quote, wired to its line

Choose a connection, or point at a cell or a line. Two cells set each freight line, and the quote total comes back into the sheet.

Quote!C14 sets the linehaul line's description (“Linehaul Northgate → Port Ellery · 6 pallets · 2,700 kg chargeable”) and Quote!B14, =MAX(B9*B12,B13), sets its unit price: $837.00.

Connecting a cell to a price line sets that line's description and unit price. Quantities stay on the line, so each freight line is one consignment. Accessorials are ordinary optional lines with your prices.

Your rates on their own tab, where one change reaches the next quote

The Rates tab holds what Callan's desk agrees once and uses all year: which zone each lane falls in, the rate per kg and minimum for each zone, the cubic conversion factor, this month's fuel surcharge and the accessorial prices.

The Quote tab looks them up with XLOOKUP, so a new fuel percentage typed into the template's Rates tab is in the next quote that leaves the desk. Click a cell to see its value or formula, and switch tabs at the bottom.

Formulas freight pricing desks already use

Normal spreadsheet formulas, including lookups and cross-tab references. Use your own; these are the ones in Wexmoor's sample.

  • Chargeable weight

=MAX(B7,B8) charges the greater of cubic weight and actual weight.

  • Cubic weight

=B5*B6 multiplies the cube by your conversion factor, kept on the Rates tab as =Rates!B11.

  • Zone from the lane

=XLOOKUP(B10, Rates!A2:A5, Rates!B2:B5) finds the zone, and the same lookup finds its rate and minimum.

  • Rate or minimum

=MAX(B9*B12,B13) charges the weight at the zone rate, or the minimum when that's higher. IF works too.

  • Fuel surcharge

=ROUND(B14*Rates!B12,2) applies this month's percentage to linehaul, rounded to the cent.

  • Storage per month

    =B2*B3*B4 gives pallets × weeks × rate for a 3PL proposal's storage line.

The same idea for warehousing: pallets × weeks × rate

Tomasz's 3PL pricing model sits in the warehousing proposal as its own Spreadsheet block. The customer's forecast goes into the typed cells; your storage, receiving, pick and pack and packaging rates sit beside them.

Each charge cell is connected to a monthly line in the proposal, description and price, so the customer sees the basis of every line. The monthly charges are shown in the agreement; Wexmoor invoices actual volumes from its own systems.

Turning your rate spreadsheet into a calculator in the quote

Done once, in the template. Every quote made from it then prices itself the same way.

  1. Import your .xlsx

Add a Spreadsheet block to your lane template and import the calculator, with its tabs and formulas.

  2. Mark the inputs

Label the cells your desk types into: pallets, height, weight, lane. Zapier can fill them from a booking form.

  3. Connect the lines

Connect the linehaul and fuel cells to their price lines' description and unit price.

  4. Bring the total back

Send the price table total into a cell for the all-in price per pallet or a margin check.

  5. Lock what reps shouldn't change

On Business, lock fixed blocks such as your conditions of carriage. Locking is per block, so the calculator stays editable.

Rate calculator questions, answered

Can we import our existing rate spreadsheet?

Yes. The Spreadsheet block imports .xlsx files and supports normal spreadsheet formulas, several tabs and cross-tab references, on Essentials and up. Import your calculator, label the input cells, then connect the cells that hold each line's description and unit price.

Does a cell set the quantity on a line?

No. A connected cell sets a price line's description and unit price, and a price table total can come back into a cell. Quantities stay on the line as usual, so a consignment line is usually quantity one with its price from the sheet.

Does QuoteCloud know our fuel surcharge or distances?

No. Your fuel surcharge, cubic conversion factor, zone rates, minimums and lanes are cells on your own Rates tab. QuoteCloud runs the formulas you set up; it doesn't fetch fuel indexes, distances, tolls or carrier rates from anywhere.

Can our booking form fill in the calculator?

Yes, through Zapier, on Essentials and up. A zap can create the quote from your template and write the booking form's pallets, height, weight and lane into the input cells. Writing cells through the QuoteCloud API isn't confirmed, so use Zapier for that step.

Can we stop reps changing our terms and wording?

On the Business plan you can lock whole blocks in a template, such as your conditions of carriage and claims wording. Locking works on blocks, not single cells, so keep the calculator your desk types into in its own unlocked block and protect the wording around it.

Can the calculator handle volume breaks?

Yes, in your own sheet: put the weight breaks in a table on the Rates tab and look the rate up with a formula. QuoteCloud's price table itself has no tiered pricing rules, so the sheet does that work and sets the line's unit price.
