Getting started with QuoteCloud

Rate reviews signed before the old rates expire

Expiring schedules found 60 days out, next year's rates sent to every contract customer, and each one accepted online before 31 December.

QuoteCloud helps carriers run the annual rate review: expiry dates and the Expiring Soon filter show which schedules end first, bulk send (Essentials and up) sends next year's schedule to every contract customer as a personalised copy, tracking shows who opened it, and customers accept online. Nothing renews by itself.

Last reviewed by the QuoteCloud team

A fictional carrier's QuoteCloud documents list on the Expiring Soon filter: four contract rate schedules end in the next 60 days: Bramblewood Homewares and Coldwater Fresh Co. on 31 December (38 days), Tessaly Medical Supplies on 15 January (53 days) and Orchard & Pine Furniture on 19 January (57 days), each accepted last year.

One rate review, sent to every contract customer

Build next year's schedule once as a template, then bulk send it to your contract customers as personalised copies: each customer gets their own lanes, rates and signers, and their own link.

The send list shows who has opened, who has accepted and who hasn't looked yet. Bramblewood has signed one of two; Coldwater and Tessaly have opened theirs; Orchard & Pine is the call to make today.

  • One template, personalised per customer
  • Sent, opened and accepted at a glance
  • Or schedule the send for a set date (Business)

Last year's rate beside next year's, on every lane

A rate increase lands better when the customer can see exactly what moved. Wexmoor's schedule shows each zone's 2026 rate struck through beside the 2027 rate and the change, with minimums and full-pallet rates alongside.

Your fuel surcharge clause and conditions are written once and reused. Both of the customer's signers accept the new schedule online; the old one simply reaches its expiry date.

  • Was → now on every zone, with the change
  • Expiry date on the new schedule for next year's review
  • Several signers, no account needed

Next year's rates accepted before this year's run out

No auto-renewals and no surprise increases: each customer sees the new rates, has a chance to question a lane, and signs.

Rate review questions

Does QuoteCloud renew rate schedules automatically?

No. Each schedule has an expiry date and the Expiring Soon filter shows which are due; your team prepares next year's rates and sends them, one at a time or with bulk send on Essentials and up. Customers accept online, and nothing renews or increases by itself.

Can we send next year's rates to all contract customers at once?

Yes. Bulk send (Essentials and up, with volume-based costs) sends one template as a personalised copy to each customer on your list, with their own link. The send list shows which customers have opened and accepted their schedule. Each customer signs their own copy online.

Can we schedule the rate review to go out on a set date?

On the Business plan, Scheduled Document Send lets your team choose when a prepared document is sent. Someone on your team still prepares, approves and schedules each send; QuoteCloud doesn't decide to send a rate review by itself. Bulk send is on Essentials and up.

How do we see who hasn't looked at the new rates?

Document tracking shows when each customer opens their schedule. Account managers can call the customers who haven't opened it and leave the rest. QuoteCloud doesn't send payment or signing reminders. The bulk send list also shows sent, opened and accepted for every customer in the review.

What if a customer wants to renegotiate one lane?

They can comment in the schedule and your account manager replies there. Update the lane and send a revised version for signature; on the Business plan version history keeps each version. A new rate below your card can go back through approval first.
