Getting started with QuoteCloud

Seat-based order forms customers can adjust

Seats and term the customer changes on the price lines, add-ons to tick, and the totals following before anyone signs.

With QuoteCloud, a software vendor's order form is a price table with repeating seat lines. Turn on quantity and term editing, and the customer changes the seat count and picks 12, 24 or 36 months; optional add-ons can be ticked. The monthly amount, total contract value and any deposit recalculate before they sign online.

An engineered isometric drawing of Plinthwork's order form for Tidemark Property Services, PW-2340, lying on a plinth. Its plan line, Growth seats (1), is lifted out of the table with a seat stepper on it (2); above it a term switch with 12, 24 and 36 month keys (3), the chosen key in aqua; the totals bar sits at the foot (4). Beside the form, a stack of seat blocks, ten seats each (5), grows as the customer adds seats, and a strip along the front fills to the chosen term. A circular detail enlarges the stepper showing 60 seats. The drawing steps through 50 seats for 12 months, 60 seats for 24 months and 75 seats for 36 months. A card shows what Theo sees: the order form opened, then the seats and term changed by the customer on the price lines. The totals card shows 60 Growth seats at $1,920.00 a month plus single sign-on at $250.00: $2,170.00 a month over 24 months, $66,580.00 total contract value and a $7,250.00 + tax deposit on signing.

Tidemark's order form: try it as Lena would

Plinthwork's order form puts the plan, the seats and the term on the price lines. Lena picks the plan, changes the number of seats and switches the term; the monthly amount, the total contract value and the implementation deposit follow before she signs.

Change the seats, pick another plan, tick an add-on or switch to 36 months. Theo sees each change in the document's activity, and Marcus signs as the second signer when he's ready.

  • Plan as a single choice: Starter, Growth or Scale
  • Seats editable on the line (quantity editing)
  • 12, 24 or 36 months (term editing)
  • Half the implementation fee paid on signing

One adjustable order form instead of three PDFs

Where a software deal's last week goes today, and what changes when the order form is a QuoteCloud document.

The jobTodayWith QuoteCloud
Ten more seats A new PDF and another email, then wait for the reply. The customer changes the seats on the line; the totals follow.
A longer term Re-price the deal for 24 months and send it again. 12, 24 or 36 months on a switch; the total contract value updates.
Add-ons A second quote for analytics and premium support. Optional lines the customer ticks before signing.
Two signers The PDF goes round by email until both have signed. Both sign online, with a certificate of authenticity attached.
The deposit An invoice for the implementation fee chased after signing. Half the fee paid by card on signing, through Stripe or PayPal.
Finance Retypes seats and term from whichever PDF was signed last. Reads the signed order form: final seats, term and add-ons in one place.

What your customer can change, and what stays yours

You decide which lines are editable when you build the template. Everything else reads as you wrote it.

  • Seats

Turn on quantity editing for a seat line and the customer sets the number of seats. The line and every total follow.

  • Term

With term editing, repeating lines show 12, 24 or 36 months. The total contract value follows the term they pick.

  • Plan and add-ons

A single-choice group for the plan, optional lines for add-ons. Plans and tiers shows the plan comparison.

  • Not the price

Prices come from your price book and the discount column you set. Customers change quantities and choices, never your rates.

  • Not your terms

Subscription terms and data protection sit in locked blocks (content locking, Business).

  • Not your billing

QuoteCloud shows the repeating charges for agreement and takes the deposit on signing. Your billing system invoices the subscription.

Every line comes from your price book

Plinthwork keeps its plans, add-ons and services in QuoteCloud's product catalogue, with a SKU, a billing term and a cost for each. Theo adds lines from it; the cost and margin stay on the team's side and never show to the customer.

When the price book changes each year, the deal desk imports a CSV, maps the columns and marks last year's prices inactive, so new order forms use the new prices.

  • SKUs, categories and billing terms
  • Costs and margins hidden from customers
  • CSV import with column mapping

Set up a seat-based order form template

Build it once for each motion (new business, expansion, renewal) and every account executive sends the same form.

  1. Import your price book

Plans, add-ons and services from a CSV, with SKUs, billing terms and costs.

  2. Build the price table

The plan as a single-choice group, seat lines with quantity editing and term editing for 12, 24 or 36 months.

  3. Add options and the deposit

Add-ons as optional lines, and a share of the implementation fee paid on signing.

  4. Send it

With an expiry date, to one or more signers. Opens and changes show in the activity.

  5. Hand it over

The signed version goes to finance and your CRM; your billing system invoices the subscription.

Order form questions, answered

Can customers change the number of seats in a QuoteCloud order form?

Yes. Turn on quantity editing for a line and the customer changes the number of seats in the document before signing. The line amount, the monthly total, the total contract value and any payment on signing update as they do. Which lines are editable is up to you when you build the template.

Can the customer choose a 12, 24 or 36-month term?

Yes. With term editing on a repeating line, the customer switches between the terms you offer, such as 12, 24 or 36 months, and the total contract value follows. Prices stay as you set them; QuoteCloud shows repeating charges for agreement and doesn't bill them.

Does QuoteCloud bill the subscription after the order form is signed?

No. QuoteCloud takes a deposit or full payment on signing through Stripe or PayPal if you ask for one, such as half the implementation fee. Your billing system invoices the subscription. QuoteCloud doesn't provision accounts, prorate, true up or renew agreements by itself.

Can the customer change our prices?

No. Customers change quantities, the term and their choices on the lines you make editable. Prices come from your price book and the discount you set on the line. If a discount goes over your limit, the approval workflow (Business) holds the document In Review until it's approved.

How do two people sign the same order form?

Add both as signers. Each signs online without needing a QuoteCloud account, with an optional one-time passcode by email, and the signed document carries a certificate of authenticity and an audit trail. Each signer signs when they're ready, and you see who has signed in the document's activity.
